    Customer Service Agent (Cargo) - H07-I

    Brief Description        

    • The ideal candidate will ensure efficient and effective cargo handling while adhering to our KQ Standard Operating Procedures (CHM), Standard Operating Models (SOMs) and KQ Way practices in compliance with regulatory requirements, Industry best practices, SLAs and customer expectations.

    Detailed Description        

    Principal Accountabilities (Responsibility) 

    • To consistently deliver cargo handling services in accordance with customer airline SLA’s and customer expectations. 
    • To deliver cost effective service to meet agreed customer airline SLA’s. 
    • Understand and apply all identified and applicable risk control measures. Assist with identification of hazards within operations/work areas and report to Duty Controller. 
    • Adhere to a healthy, safe and secure working environment in compliance with relevant legislative, regulatory, company procedures and requirements of customer airlines. 
    • Adhere to conformity with all regulatory requirements, organization standards and local procedures as well as requirements of customer airlines. 
    • To prepare and report accurately flight details on a timely basis, to enable cost effective service delivery and revenue management. 
    • To identify and report incidents, accidents and atleast one near miss/hazard per month. 
    • To ensure you are current on all mandatory and functional trainings at any given time.

    • Relevant Internship Experience in Airline Cargo Handling environment. 
    • Minimum 1 year experience delivering customer service in a demanding client environment.

    Procurement Specialist - H10

    Brief Description        

    • Implement and maintain cost effective procurement requirements for the Kenya Airways Group of companies to achieve a safe, sustainable and reliable Supply Chain and increase shareholder value and organizations profit.

    Detailed Description        

    Principal Accountabilities (Responsibility)  

    • Ensure 100% compliance on e-sourcing tool to execute sourcing activities 
    • Manage end to end procure to pay process 
    • Review PDI and confirm need before processing the PO. Align with user on need and budgetary allocation/availability 
    • Process PO within approved TAT 12 hours for stock items, 72 hours for non-stock item to ensure 100% delivery to the business. 
    • Expedite on released orders as per delivery schedule. Ensure supplier adheres to quality, compliance and invoice accuracy.

    Data Protection & Compliance Officer - H12

    Brief Description        

    • The role holder will support the Senior Manager Risk & Compliance in establishing and maintaining a robust and effective risk & compliance framework. The data protection and risk officer will play a pivotal role in the implementation of the data protection framework which has been designed for the company and will ensure the effective management of Kenya Airways’ data processes and subjects in compliance with the Personal Data Protection Regulations of Kenya and GDPR.     Principal Accountabilities (Responsibility)

    Compliance Management

    •   Support implementation of a compliance management framework and a compliance system to ensure compliance with industry regulations and internal policies covering the global operation.  
    • Keep abreast of regulatory developments within or outside of the company as well as evolving best practices in compliance control. 
    • Review compliance policies and procedures on a regular basis to ensure they comply with statutory and regulatory requirements. 

    Implementation of the Data Protection Framework

    • Implement a comprehensive enterprise-wide data protection program in line with essential elements of the Kenya Data Protection Regulations & GDPR such as principles of data processing, data subjects’ rights, privacy by design, records of processing activities, security of processing, breach escalation & records management. 
    • Implement the draft data protection policies and contract templates to remediate existing gaps with regards to data protection in Kenya Airways processes and ensure alignment with global standards (e.g., GDPR). 
    • Maintain records of all data assets and exports in conjunction with the relevant internal stakeholders. 
    • Identify and evaluate Kenya Airways’ data processing activities. 
    • Coordinate Data Protection Impact Assessments (DPIAs). 
    • Monitor data protection procedures and compliance within the Kenya Airway’s global operations.

    Data Breach Response Plan

    • Implement a data breach response plan and coordinate the activities of the plan. 
    • Ensure timely remediation of incidents, including impact assessments, breach response, complaints management, claims or notifications, and responding to subject access requests (SARs). 
    • Maintain the personal data breach log of the company.
    • Report data breaches to the Office of the Data protection commissioner of Kenya as provided for in the Data Protection Regulations as we as any other global structures.

    Stakeholder Management.

    • Act as point of contact with the office of the Data Protection Commissioner, other supervisory authorities, internal and external stakeholders. 
    • Coordinate and maintain relationships with various internal & external stakeholders including regulators for information sourcing, communication and achievement of timely actions as required
    •  Liaise with regulators and external networks on best practice and updates on data protection regulations and ensure that these are embedded within the company.
    • Collaborate with risk champions and internal audit to remedy control lapses/gaps.

    Reporting

    • Prepare and provide standard and ad-hoc information and data reports on compliance with data protection regulations to the leadership of the company. 
    • Provide relevant periodic reports to the Office of the Data Protection Commissioner of Kenya. 
    • Provide regular status updates to management and draw immediate attention to compliance exposures for remedial action.

    Training

    • Support the implementation of the compliance and data protection training and awareness calendar, to ensure that knowledge gaps are eliminated, and critical knowledge requirements are disseminated to staff on an ongoing basis. 
    • Coordinate development of training content and setup of training sessions.
    • Build capacity of risk & compliance champions across the institution.

    Job Requirements        
    Qualification (Minimum) 

    • bachelor’s degree in business, law or related fields. 
    • Minimum 5 years of experience implementing controls.  
    • Experience implementing data protection guidelines is essential.  
    • Sound knowledge of Kenya Data Protection Regulations & GDPR is essential.  
    • Qualifications in data protection would be beneficial but is not essential.

    Suppliers Officer - H07-I

    Brief Description        

    • The role is responsible for undertaking warehousing, receiving and inspection of stock and non- stock items, customer service and supply activities within Kenya Airways stores, the Supply Officer will ensure the delivery of the operational aspects of the supply function with a strong focus on safety, excellence, and integrity. The position also ensures 100% inventory accuracy is achieved. In addition, they are involved in disposal of obsolete and other company property approved as per disposal policy.

    • Physical receipt of stocks as per approved purchase orders and to KQ specifications and quality standards. 
    • Posting receipts, raising necessary documents and closing purchase orders with delivery notes to ensure data accuracy and to facilitate payment by finance. 
    • Warehousing of stock by binning for control, security and safety. 
    • Ensure non-stock goods are delivered to relevant users for physical receipt and accountability. 
    • Receive and verify stock returns from outstations and credit back into the system for accountability. 
    • Issuing of stocks to users against proper documentations to meet business requirements. 
    • Carry out stock takes as per the laid down procedures for stock control and accountability. 
    • Preparation of weekly reports for management review.
    • Weekly disposal of obsolete / scrapped used stocks / goods.

    Job Requirements        
    Qualification (Minimum)

    • bachelor’s degree in logistics, supply chain management or business administration.
    •  Previous experience as a warehouse officer or a similar position.

    Refund Processing Controller - H09

    Brief Description        

    • Ensure that all Head office refunds received are prorated and paid on a timely basis and that all other refund transactions are forwarded to the BPO centre for processing and billing, ensure timeliness in forwarding all GSA manual refund documents and completeness in processing and reconciling of refund transactions at the BPO.

    Principal Accountabilities (Responsibility) 

    • Ensure that all refund requests received are responded to within 72 hours (SLA) after receipt by either email, post or through the web. 
    • Perform detailed computation/proration on refund requests ensuring that amounts refunded are in accordance with tariff rules and / or interline refund procedures. 
    • Handle other airlines refunds and process only after receiving refund authority from such airlines. 
    • Compile all KQ Counters Refunds data and onward submission to the BPO for processing.
    • Review and authorize Agency Refund applications through BSP for the offline markets. 
    • Ensure that refund adjustments are made to other airlines for the applicable prorate in situations where the application has no refund value. 
    • Provide support to the Outstations regarding refund computation. 
    • Timely review of Error lists from the BPO for Dual refunded tickets and recharge to recover.

    • CPA/ACCA finalist. 
    • 3 Years experience in Revenue Accounting.

    Planning Engineer - H10

    Brief Description        

    • Originate, plan for, implement, analyze and refine short and long term maintenance activities to meet company business, aviation authority and third party requirements in the assigned area.

    Detailed Description        
    Principal Accountabilities (Responsibility) 

    • Prepare & update maintenance program for aircraft and components. 
    • Plan for the timely availability of ground time, capacity, materials, equipment and tooling and take all necessary actions to ensure a 100% executable package. 
    • Plan and prepare work packages for aircraft & component maintenance checks including the accomplishment of modifications, SB’s, AD’s and engineering orders. 
    • Control and evaluate the work progress on aircraft and component checks and give feedback on the status of the check. 
    • Communicate with production and other supporting areas on the status of planned maintenance actions and provide details of any further actions required. 
    • Prepare & update aircraft & component maintenance status records (mainly AD & mod status). 
    • Create and update detailed short-term maintenance plans on aircraft checks incorporating deferred defects, component changes etc for a window of at least 3 months.

    Job Requirements        
    Qualification (Minimum) 

    • Graduate engineer from a recognized university (mechanical, aeronautical electrical/electronic). 
    • Planning courses. 
    • Knowledge of a database software/MRO system. 
    • 2 years' experience in an Engineering or Maintenance environment or as a Graduate Trainee Engineer. 
    • Demonstrated ability during the course of attachments.
