    Office Manager (m/f/d)


    Job description

    Key responsibilities:

    • Support team members in all day-to-day activities as required for the effective office management, incl. calendar management, paying utility bills, connectivity or rent, ordering office supplies, etc.
    • Travel management for the local staff and visitors
    • Partner with HR on all visa and salary related matters, incl. preparation of payroll
    • Onboarding of new hires, organizing working place, stationaries, providing with initial required introduction and guidance
    • Manage payment transactions (basic office accounting) and petty cash incl. budgeting and monthly reporting to the head office
    • Manage contract and price negotiations with office vendors, service providers and property management company
    • Assist in the coordination of the information flow between the local office, the partner institutions and the head office

    What we expect:

    • Relevant, sound experience in an office-based, secretarial or customer-facing work experience
    • Excellent written and verbal communication skills in English
    • Higher education degree
    • Good organizational, communication, problem-solving, negotiation and relationship-building skills
    • Advanced MS Office skills (Excel, Word, PPT)
    • Good interpersonal and time management skills, reliability and discretion
