    Head of Supply Chain and Facilities

    Job Purpose:

    The Head of Supply Chain and Facilities will be responsible for devising and implementing the strategy for the Company’s supply chain and support operations within the Kenya Airways environment and ensure that they have the capability required to deliver outcomes that support the goals of the business and meet and exceed regulatory, customer and other stakeholder requirements.

    This position will have the overall accountabilities for facilities management for the Kenya Airways group spanning over facilities projects, physical facilities, all landed property and property management.

    The position will also provide team leadership, guide the sustainable change and performance improvement as well as leading and directing all facets of supply chain management and facilities management including, but not limited to, purchasing, logistics, warehousing, inventory management, material forecasting, capacity planning and sourcing, master scheduling, inventory control, financial costing and health and safety compliance from a facilities management perspective.

    Specific Responsibilities:

    Strategic accountabilities:

    • Accountable for the bottom-up aggregation of data across categories and outstations to inform the top-down target setting process.
    • Develop and execute Category Sourcing Strategies and ensuring they are aligned with the airline’s strategic objectives.
    • Develop cohesive Annual Sourcing Plans that align with the other airline Strategies.
    • Ensure that Functional Stakeholders are provided with timely and appropriate updates on Supply Chain’s activities.
    • Accountable for successful project mobilization and execution.
    • Ensure appropriate input from and communication with the relevant Business Partners during project mobilization and execution.
    • Accountable for the management of strategic supplier relationships as agreed in the supplier segmentation.
    • Implement consistent SLA´s and KPI’s with different stakeholders of the KQ ecosystem.
    • Ensure pro-active management of innovation with specific strategic suppliers.
    • Responsible for delivering optimal cost across in-scope categories that have substantial impact on Group’s bottom line and efficiencies.
    • Support and supervise Supply Chain Managers and Buyers efficiency, including the following parameters: cost, quality and on-time delivery.

    Operational accountabilities:

    Operational buying:

    • Accountable for the creation, application and completion of strategic sourcing activities for the in-scope categories, that include among others:
    • Jet Fuel (domestic & international).
    • Technical Materials, Tools & Services procurement (maintenance, repair & overhaul materials, spare parts).
    • International Offices’ Support (outstations-related purchases e.g. ground handling, passengers and crew layover).
    • Inflight Procurement (catering, dry goods, snacks & drinks, on-board equipment and inflight entertainment).
    • General Procurement (IT, Global Distribution Systems, professional services, outsourced services and marketing).
    • Support, provide input and supervise implementation of sourcing strategies across all categories to ensure application of best practice by Supply Chain Managers and Buyers undertaking operational sourcing activities.
    • Accountable for delivering an appropriate and reactive operational sourcing activities, while ensuring full compliance to procurement processes while maintaining a customer-centric mindset.

    Logistics & Warehousing:

    • Has oversight for the Logistics & Warehousing in:
    • Commercial planning (efficient planning of spare parts and products delivery in close cooperation with operations and other commercial-related departments).
    • Warehousing (optimize stock levels, ensure agreed quality and quantity of delivered products aiming at limitation of wastage).
    • Logistics and distribution of products and materials.
    • The major goal of this function includes shortening delivery lead-times, ensuring stock availability and implementing initiatives leading to consumption rationalization and reduction of products’ delivery costs.

    Processes & Systems:

    • Accountable for Procurement Processes and Systems through constant monitoring, optimization, and standardization when feasible.
    • Accountable for reviewing and monitoring compliance and adherence to Kenya Airways Procurement Procedure Manual and other related procedures.
    • Accountable for managing functionalities of selected IT systems, in particular procurement module of ERP and contracts management system.

    Facilities Management:

    • Accountable for administration function including Real Estate, Building and office management including asset tagging of the Group’s property e.g. office equipment etc.
    • Accountable for delivering the right service level to all departments with regular optimization and standardization of specifications where feasible.
    • Accountable for the overall achievement of the defined and approved budget.
    • Ensuring that all health & safety requirements are fully complied with across the company as concerns facilities management.

    People Performance and Talent Management:

    • Inspiring leadership to the Supply Chain and facilities team.
    • Accountable for ensuring the personal performance and talent management process is rigorously applied.
    • Accountable for ensuring optimal headcount of Supply Chain Department.

    Knowledge, Skills and experience:

    • Bachelor’s degree in Procurement, Purchasing and Supplies Management or any other related filed from a recognized institution. A post graduate qualification would be complementary and desirable.
    • Must possess professional qualifications in Purchasing and Supply Management from the relevant professional body, a member and registered with the relevant professional body. In this case the Chartered Institute of Purchasing & Supply Management/Kenya Institute of Supplies Management.
    • Minimum of 10 years’ experience in Supply Chain Management, 5 of which must be at senior management level.
    • Experience or exposure to facilities management.
    • Experience in supply chain management roles and environments in a similar role in comparable organizations in terms of scope of the operations and complexity.
    • Experience in multi-location and international procurement across different jurisdictions and understanding of the different requirements.
    • Experience/knowledge in the core areas highlighted in the role specifically purchasing, logistics, warehousing, inventory management, material forecasting, capacity planning and sourcing, master scheduling, inventory control, financial costing.
    • Understanding of Facilities and project management.
    • Understanding and exposure to technologies and efficiency tools in the supply chain management area, e.g., blockchain, smart tools, GPS tracking and so on etc.
    • Knowledge of the aviation industry and airport ground operations are is an added advantage.
    • Self-reliance and responsible for setting own goals and tasks.
    • Demonstrate a solid awareness in operational risk and quality in driving service excellence.
    • Knowledge of the risk management.
    • Managing complexity in an extremely complex operation and significantly large scope.
    • Superior team leadership, team working and co-operation skills with the ability to influence positively and engage direct and indirect reports and peers.
    • Excellent communication, negotiations & problem-solving skills with the ability to work confidently on high priority problems.
    • Ability to handle pressure and difficult situations with resilience, calmly and effectively.
    • Must be a person of unquestionable integrity.
