    Operations Manager

    Role Description

    This is a full-time Operations Manager role at CHARLESON®, reporting directly to the Chief Operating Officer. We are seeking an experienced Operations Manager to lead and oversee all operational aspects of our dynamic marketing agency. As the Operations Manager, you will be responsible for managing strategy, processes, technology, and finance to ensure the agency operates efficiently, and effectively, and aligns with our strategic goals. You will play a key role in driving growth, optimizing workflows, and enhancing the overall performance of the agency.

    Key Responsibilities:

    Strategic Planning:

    • Collaborate with the executive team to develop and implement strategic plans for the agency's growth and success.
    • Ensure that operational objectives align with the agency's overall marketing and business goals.

    Financial Management:

    • Oversee budgeting, financial forecasting, and cost control for marketing operations.
    • Monitor and manage operational expenses, optimizing resource allocation for maximum efficiency.

    Process Optimization:

    • Identify and implement process improvements to enhance operational efficiency and reduce redundancies.
    • Streamline marketing workflows to improve productivity and reduce turnaround times.

    Technology and Tools:

    • Select, implement, and manage marketing technologies and tools that enhance operational performance.
    • Oversee the use of customer relationship management (CRM) systems, marketing automation platforms, and analytics tools.

    Project Management:

    • Supervise and coordinate marketing projects, ensuring they are executed on time, within budget, and meet quality standards.
    • Implement project management best practices to enhance project delivery.

    Vendor and Supplier Management:

    • Establish and manage relationships with vendors and suppliers of marketing-related services, materials, or technology.
    • Negotiate contracts, evaluate performance, and ensure cost-effective procurement.

    Quality Assurance:

    • Establish and enforce quality standards for marketing materials, campaigns, and deliverables.
    • Conduct audits and implement quality control measures to maintain high standards.

    Inventory and Supply Chain Management:

    • Oversee inventory and supply chain logistics for marketing materials and collateral.
    • Ensure timely delivery and efficient management of physical marketing assets.

    Data Analysis and Metrics:

    • Analyze marketing data and metrics to identify trends, assess campaign performance, and make data-driven recommendations for improvement.
    • Develop and report on key performance indicators (KPIs) for marketing operations.

    Team Management:

    • Manage and lead teams of marketing professionals, including project managers, campaign coordinators, and support staff.
    • Oversee hiring, training, and professional development to build high-performing teams.

    Risk Management:

    • Identify potential risks in marketing operations and develop risk mitigation strategies.
    • Ensure business continuity and minimize disruptions.

    Compliance and Regulations:

    • Ensure that marketing operations comply with industry regulations, data privacy laws, and ethical standards.
    • Uphold ethical and legal practices in marketing activities.

    Internal Communication:

    • Foster communication and collaboration among different teams within the marketing department and with other departments in the organization.
    • Promote a culture of teamwork and cross-functional coordination.

    Qualifications:

    • Bachelor's degree in Business Administration, Marketing, or a related field; a master's degree is a plus.
    • Proven experience in an operations management role within the marketing industry.
    • Strong financial acumen and budget management skills.
    • Proficiency in project management and process optimization.
    • In-depth knowledge of marketing technologies and tools.
    • Excellent leadership, communication, and interpersonal skills.
    • Data-driven mindset with the ability to analyze and leverage marketing metrics.
    • Familiarity with industry regulations and compliance requirements.
    • Strong problem-solving and strategic thinking abilities.
