    Store Controller

    The job holder will be responsible for the effective stock control/management and offer an effective and efficient customer service delivery to all stakeholders in the supply chain and other regulatory requirements.

    Specification

    • Receive in-bound finished goods/packaging materials and bulk concentrate vide approved SANs/Indents/LPOs from the suppliers, Production/other warehouses to confirm the accurate transfer and condition of goods as per the stock policy and inspection of goods procedures.
    • Ensure the goods received are properly arranged or stacked in accordance with pre-marked lot/batch numbers with clear aisles / gangways left between adjacent stacks.
    • Coordinate and accurately maintain and update (real-time) bin cards and system posting for all the stock movements goods in the assigned stores at all times.
    • Accurately dispatch out-bound goods to the various company warehouses/stores, client’s Duty Free and or export trade on approved orders / customs entries, and correctly raising the Stock Advise Notes (SANs) and or Materials Stock Requisition Issue Notes (MSRNs), for each dispatched consignment and duly signed by the recipient promptly.
    • Coordinate requisitioning for the KRA Tax Stamps from the Finance Department and overseeing the application or affixing of the same on identified products – where applicable.
    • Coordinate reconciliation of Revenue Tax Stamps applied/affixed on identified products and ensure claims raised by outsourced/contracted entity/firm on stamps applications are accurate always before presenting them for approval and payment.
    • Keep proper custody of all stocks and store keys in the assigned store, responsible for opening and closing the store at the start and end of every day shift in line with the warehousing policies and procedures.
    • Plan and oversee the arrangement and cleaning of the assigned warehouse/store at all times as per the Healthy, Safety and Environment requirements.
    • Ensure proper stock rotation is practiced in the warehouse at all times and that First-in-First-Out (FIFO) rule is strictly observed and adhered to eliminate expiries on shelf-life products as per stock policy/procedures.
    • Conduct regular stock checks and quarterly stock-takes of all stocks in the warehouse and account justifiably for any observed stock variances promptly as per laid down stock procedures.
    • Carry out daily and or weekly ‘cross referencing’ on stock reconciliation/movements and ensure that the physical stocks, Bin Cards and the System stock status/history transactions tally at all times. Any variances so detected must be reported to the respective Assistant Warehousing Manager at once with full justifications thereof for corrective action.
    • Coordinate compilation of monthly ‘Excise Input Tax Return/summaries’ for all locally packaged goods dispatched ‘1A/1B’ and or duty free / export channels and related removals as at 10th every month using the KRA requisite forms and submit them for review/authenticity before final approval and filing with KRA as per the Excise Act regulations.
    • Keep track record and generate/submit weekly reports on stock movements to include; transferred/fulfilled orders, slow moving stocks, non-conforming stocks, out of stock list, quarantined stock items, nearing expiry stock etc. through your controlling manager for appropriate corrective action (CAPAs).
    • Compile annual bond returns/summaries for all customs goods balances in bonded warehouses at the end of every financial year, as at 30th June, for review by the Warehousing Supervisor and dispatching to KRA’s customs services department as per compliance/regulations.
    • Coordinate and prepare weekly analysis on work plans and resources mobilization/requirements in liaison with controlling Manager including accomplished tasks, pending tasks, scheduled assignments and stock order cycles.
    • Coordinate effectively handling of customer product returns from customer service/sales as per product return guidelines and customer complaint policy/procedures.


    Requirements

    1. A Bachelors’ degree in a business related field.
    2. Attained East Africa Customs and Freight Forwarders Practicing Certificate (EACFFPC – mandatory for store controllers under Bonded Warehouses category).
    3. At least three (3) years’ experience in stock management with at least one (I) year being in a supervisory position in a similar organisation.
    4. Practical experience in use of MS packages and ERP systems.
