    Associate, Grants & Contracts

    Job Summary

    • The incumbent will support compliance, ethics, and biosafety processes for extramural research activities in East Africa. This role ensures adherence to institutional, national, and international research compliance requirements, including safeguarding & financial conflicts of interest (FCOI), research ethics, biosafety, and regulatory reporting.

    Responsibilities

    • Assist in developing a compliance oversight structure within the Research Office.
    • Conduct spot checks on grant activities to ensure compliance with the agency’s requirements and provide compliance review and approval on Pure AMM Grants Management System.
    • Undertake spot reviews of protocols approved by AKU-ISERC and their ethical compliance.
    • Provide support to establish a monitoring and evaluation system and visit to field offices to ensure adherence to compliance procedures.
    • Support in providing assurance reports with results on grant compliance and risk management activity.
    • Follow up on the implementation of recommendations and maintain updated tracking records.
    • Prepare and submit monthly reports on the status to the Research Office.
    • Conduct partner due diligence process for sub-awardees and facilitate Finance and Legal review of new funder due diligence.
    • Conduct risk-based inspection of labs, assessing onsite regulatory /policy compliance.

     Requirements

    • A Bachelor’s degree in finance/Audit or other relevant field.
    • Minimum of 2 years or more of relevant experience.
    • Experience with or ability to learn grant management and review system software and online training portals.
    • Related experience in coordinating and working in an academic setting would be an advantage.
    • Comprehensive knowledge of applicable local, state, and federal regulations as well as NIH, USDA, NIAID, and CDC guidelines. 
    • Strong knowledge of research compliance, ethics, and biosafety regulations.
    • Familiarity with donor compliance requirements (e.g., NIH, USAID, Wellcome Trust).
    • Experience in working with IRBs, ethics committees, and biosafety review boards.

    Head of Construction Services, Facilities Projects

    Responsibilities:

    • Manage regular site meetings with contractors- Act as Owner's representative on site for monitoring all contractors' construction activities and quality of work.
    • Establish a schedule of inspections with contractor to assure that work is inspected and approved prior to covering up.
    • Compare all aspects of contractor installations with contract documents including drawings, specifications, site meeting minutes and consultant / Owner directives to contractor
    • Report daily on all construction problems and risks associated with construction works.
    • Track and agree changes in Work, prepare respective cost estimates and negotiate of Change Orders with contractors; agree all changes in Work with the Client.
    • Maintain an excellent relationship with all governmental building authorities.
    • Establish an efficient system of documentation required for the governmental officials' permits, inspections and occupancy permits.
    • Assure contractors' progress according to established schedule. Take required actions in case of substandard works and time delays.
    • Establish a system of written notifications, protocols, and directives for the prompt and clear information flow to contractors, consultants and the whole team.
    • Review and sign punch lists of unit exteriors and interiors, utilities, infrastructure, prepared by Site Supervisors.
    • Work closely with the design team- Effectively manage RFI process
    • Any other duties as assigned by the Department Head

    Requirements:

    • Bachelor’s Degree in construction or engineering from a recognized university
    • At least 15 years of construction (on site) experience with relevant projects
    • Computer experience with Windows, MS Excel, MS Word, MS Project.
    • Understands fully the construction process including construction plans and specifications, relevant building code requirements and governmental permit.
    • Excellent communication, organizational and interpersonal skills
    • Must relate to contractors, consultants and all government authorities with a professional, honest attitude.
    • Excellent team building skills and able to motivate contractors in a positive way.
