    Finance & Operations Manager

    Position Overview

    The Finance & Operations Manager will be responsible for overseeing all business processes of UAF-Africa. They will provide leadership in financial and operational systems, identify areas for improvement, and enhance the organization's sustainability, compliance, and efficiency

    Specific Responsibilities

    • Oversee the procurement, logistics, and administrative functions ensuring value, efficiency, and compliance with the organization’s policies.
    • Review and manage contracts with suppliers and ensure their compliance with relevant laws and donor requirements.
    • Maintain vendor relations and seek out cost-effective and value-aligned alternatives.
    • Update the fixed assets register & office equipment list and ensure safe use/custody, including conducting regular audits to ensure proper tracking and documentation of assets
    • Manage the disposal process of fixed assets that are no longer needed, including organizing sale of assets, donations or recycling efforts
    • Support the implementation of policies, procedures and internal controls to ensure compliance with statutory and regulatory requirements.
    • Monitor the programs’ budgets, track expenditures, and ensure that resources are allocated effectively and efficiently in accordance with the annual work plans.
    • Work closely with program teams to prepare program budgets, ensure monitoring and evaluation of program results, and guide on the financial implications of program decisions.
    • Monitor the execution of special projects and initiatives.
    • Prepare audit schedules for project audits and institutional audits with the support of the Finance & Operations teams.
    • Reconcile monthly activity reports, working closely with the Finance & Operations teams.
    • Ensure compliance with local tax laws and regulations.
    • Develop capacity of operations and administrative staff and support effective teamwork within the organization.
    • Engaging in bench marking activities to find ways of improving the way we work and making optimal use of time and resources.

    Qualifications

    • Master’s Degree qualification in a related field.
    • Management or Finance First Degree with professional qualification (ACCA/CPA III) and membership to the relevant professional body.

    Skills and Experience

    • 7- 9 years of experience in finance and operations, with at least 3 years at a senior management level.
    • Proven track record of developing and implementing organizational policies, procedures, and internal controls.
    • Experience in budgeting, financial analysis, and reporting, preferably in an NPO context.
    • Knowledge of various accounting software is required.
    • Some understanding of feminism is an added advantage.
    • Passionate about UAF-Africa’s mission, vision and values, committed to teamwork and achieving results.
    • Experience managing grants and compliance with donor requirements.
    • Sound supervisory skills.
    • Strong computer skills, including MS Office and accounting software.
    • Strong communication and interpersonal skills, with the ability to work effectively
    • with a diverse range of stakeholders.
    • Ability to work under pressure and under tight deadlines with minimal supervision.

    Work Environment

    Programmes Support Intern

    Position Overview

    The Programmes Support Intern will perform a range of project management, administrative and programme tasks across the programme’s portfolio of the Fund. They will assist in coordination and management of diverse projects ongoing within the Fund to ensure timely, quality delivery to high professional standards. They are a professional able to support projects and programs independently with the overall objective of achieving the Fund’s goals. This role will report directly to the Programmes Director.

    Specific Responsibilities

    • Supports the development of programmatic briefs and reports.
    • Supports information synthesis to generate trends on key programmatic areas.
    • Supports in the documentation of programmes learnings and successes.
    • Supports existing systems to monitor and track various programmes obligations including tracking budgets and programmatic commitments.
    • Supports in the monitoring, evaluation, accountability and learning processes and reporting
    • Identifies and flags key programmatic issues including publications.
    • Supports coordination of the Programmes Calendar including identify key milestones and deadlines and flag follow-up.
    • Assists in organizing and coordinating Programme internal and external meetings/events including scheduling and documentation of discussions.
    • Provide logistical support in organizing Programmes’ related events/meetings and any other related activities/initiatives. 

    Qualifications

    • Degree in Social Sciences, Women’s Studies, Political Sciences, International Development, Law or related fields

    Skills and Experience

    • At least 2 years experience in project management providing administrative, analytical, and technical support.
    • Excellent organizational skills (including organizing processes) and ability to multitask.
    • Excellent written and verbal communications in English. French is a plus.
    • Excellent communication skills.
    • Flexibility and willingness to travel on the African continent and beyond as and when required. 
    • An understanding of gender equality and womn’s rights issues, particularly in Africa.
    • Demonstrated understanding of a feminist political analysis and familiar with feminist movement building.
    • Passionate about UAF-Africa’s mission, committed to teamwork, and achieving results
    • Ability to perform detailed work, frequently and/or to handle a large volume of work systematically, optimally, and accurately.
    • Able to identify project needs, develop a detailed timeline for completion, oversee schedules, and milestone management.
    • Ability to organize, categorize, and synthesize information from a range of datasets existent within and outside the Fund.
    • Ability to contribute on a team and coordinate assignments to achieve common goals.
    • Excellent interpersonal, public speaking, writing, and negotiation skills.
    • Experience working in a virtual work environment is an added advantage.
