    Senior Supervisor Stores

    Description

    Accountabilities

    • Manage stock from receiving, storage and dispatch to relevant users
    • Receive all items centrally based on approved purchase orders
    • Ensure good control of all materials under your custody. Maintain accurate and up to date records to control the same
    • Facilitate stock-takes in the most efficient manner
    • Keep the store neat and tidy
    • Comply with external stakeholders reporting such as KEPHIS, KFC and any other bodies.
    • Strict adherence to all HSEQ requirements.
    • Good staff management. Ensure good rotation programme and staff should not work over-time unless where unavoidable.
    • Efficiently manage dispatch of items from store to relevant users. All users to be notified when items they ordered for are received in the store, and same issued out in compliance with laid down procedures.

    Qualifications

    Critical Knowledge:

    • Knowledge of stores procedures.


    Critical Skills

    • Diploma in Store Keeping or Purchasing and Supplies.
    • SAP application

    Critical Experience

    • Monitor stock levels of all common farm inputs i.e., fertilizers, chemicals for spray, PPE, etc
    • Ordering of farm inputs against up-to-date stock levels.
    • Ordering of Non-common farm inputs done through prior approval by Department Head.
    • Facilitate dispatch of orders to approved suppliers; unless inputs are not available ad hoc ordering will be done outside approved list.
    • Follow up with supplier to ensure timely delivery of inputs to the Kenya Cuttings Store.
    • Proper stock ordering to eliminate errors in packaging/double ordering.

    Procurement Lead, Kenya Cuttings

    Role Purpose

    • To ensure smooth flow of Supply Chain activities, providing direction & leadership to the teams working in these areas to achieve business objectives.
    • To facilitate, source, order and ensure timely delivery of quality goods and services for smooth running of the farm

    Key Responsibilities

    • Trains & ensures development of the procurement team to enhance performance.
    • Sets logical targets and discusses them with relevant persons and ensures implementation of appropriate strategies for their achievement.
    • Evaluates the procurement team to measure performance & identify areas of improvement and follow up for appropriate intervention.
    • Ensures optimal production and shipment planning of weekly orders to ensure client satisfaction on Quality On time In Full (QUOTIF).
    • Negotiates best, rates, to ensure cost effective delivery and fulfillment of orders.
    • Ensures Service Level Agreements and Annual Maintenance contracts with the service providers are in place, adhered to and re-newed on time where appropriate.
    • Schedules performance evaluation for selected critical and value suppliers and ensure effective good representation of the user department in such evaluations.
    • Liaises with external & internal suppliers in delivery of consignments.
    • Ensures timely and effective communication to clients, customs and other government agencies on matters related to shipments to ensure smooth flow of consignments from port to port.
    • Ensures compliance to phytosanitary & other local and international regulations.
    • Prepares monitors & controls packaging materials budget.
    • Approves departmental requisitions for purchase of sundry items with a focus on cost efficiency.
    • Ensures all qualifying imports & agricultural inputs as per 5th Schedule of the EAC customs Management Act are applied for, followed up and exempted accordingly.
    • Ensures that imports not qualifying for remission have appropriate HS codes as stipulated in the Finance Act.
    • Carries out market intelligence from time to time to gather information on current procurement practices and alternative sourcing
    • Ensures adherence to procurement procedures, rules & regulations and other relevant regulatory frameworks e.g. SOX.
    • Supports and internalizes use of a tendering system for high value purchases.
    • Ensures update and use of an order tracking system.
    • Reviews current ways of working –i.e. from requisition to delivery of material with a view to enhance efficiency and time taken for the whole cycle whilst maintaining procurement integrity.
    • Ensures reduction of COD purchases by exploring other possibilities taking into account the country and supplier’s circumstances.
    • Drives the QUOTIF agenda as a business priority & ensures ownership by all team members.
    • Prepares & submits ad hoc and periodic reports on Statistical data, KPIs, QUOTIF & ROP to the site management and other relevant parties.
    • Enforces HSE rules and regulations and champions the implementation of the Syngenta HSE policy in all business decisions and activities.
    • Any other tasks & projects as may be allocated from time to time.

    Qualifications
