    Product Referent Assistant

    Objective of the Position:

    • Assist in identifying and validating sources of logistic items in terms of quality, check the quality of the logistic items at the reception or delivery at the KSU warehouses, perform the quality control assessment based on the defined product specifications and maintain or further develop the data base management for the KSU’s ERP system and MSF’s online catalogue.

    Tasks & Responsibilities:

    • Support the Product Referent in researching for new suppliers/manufacturers to source a wide range of logistic products based on the sourcing strategy defined by his/her manager
    • Support the Product Referent in visiting the newly identified or validated suppliers/manufacturers for assessing the quality of their products including to obtain all the necessary documents for further quality assessment.
    • Support the Product Referent in establishing the MSF’s East Africa standard for certain logistic products in term of quality assurance.
    • Communicating with suppliers/manufacturers in order to obtain the product spefications for quality assessment, KSU’s ERP database, and MSF’s online catalogue.
    • Performing the data entry of logistic product information in the KSU’s ERP system as well as in the MSF online catalogue
    • Assist the Product Referent to manage a technical request from the missions in collaboration with KSU Customer Service Officer according to the procedures defined by the manager
    • Assist the Product Referent to check the quality of the logistic product ordered at the time of delivery at the KSU’s warehouse
    • Establishing a digital library of the sourced or validated logistic products with all the relevant documents regarding the quality.
    • Assisting the Product Referent to further enlarge and maintain the network with MSF stakeholders, other humanitarian actors and suppliers/manufacturers.
    • Ensuring timely reporting on the daily or weekly progress and performing any other task assigned by his/her manager.

    Qualifications & Requirements:
    Education

    • Bachelor’s degree in an engineering or related engineering field (preferably water and sanitation, and civil engineering).

    Experience

    • At least 2 years’ experience in technical sales and sourcing

    Skills/ Competences

    • Technical knowledge of products, sourcing, research and analysis of technical information, product database management and information management, computer literacy

    Added Value 

    • Familiar with procurement process and market knowledge is an added value. Humanitarian field experience is an asset.

    Language:

    • Proficiency in written and oral English & Swahili. French is an added value.

    Storekeeper

    Main Purpose

    • Executing the stock management activities (receptions, storage, and deliveries to projects or other departments of medical supplies, food items, spare parts, tools, equipment and other logistics materials), according to the warehouse supervisor instructions and MSF standards and protocols, in order to ensure the overall functioning of the MSF activities within Kenya.

    Accountabilities

    • Supervising materials and goods orders and dispatch in order to ensure its rational use.
    • Receiving orders and deliveries, identifying and reporting potential discrepancies against cargo manifest or others. Stores materials in accordance with the system in force in order to ensure continuous availability.
    • Updating and/or creating stock cards for all stock items immediately after reception of goods. Checking the received cold boxes and controlling the cold chain-monitoring card.
    • Storing materials in accordance with the system in force in order to ensure continuous availability ensuring that all items are well organised and correctly stored, well protected, fully identified and easily accessible (cleanliness, security, access, etc.).
    • Monitoring the store temperature and ensuring Cold Chain items are stored in an adequate temperature. Keeping a special control of “sensitive” goods: numbers of lots, expiry dates, packaging and special storage conditions
    • Preparing orders on time before sending goods, and packs (according to transport means) weighs and labels freight with corresponding shipping number, destination, number of shipping units, waybill number, weight and mode of transport in accordance with the line manager’s instructions.
    • In conjunction with the line manager, performing physical stock counts in accordance with the frequency previously defined. Following up stock levels with regards to alarms thresholds, stock out and expiry dates
    • Controlling warehouse limited access to authorized personnel and ensuring doors and other exits are secured. Immediately informing the line manager of any problems arising in the course of the work, particularly with regard to damage, loss, attempted break-ins or theft in the warehouse
    • Assisting the line manager with preparation of the stock reports

    Requirements

    Education

    • Education in Storekeeping, Warehouse and Supplies management or related studies

    Experience

    • Experience in warehousing activities is essential.
    • Experience with MSF is essential.
    • Experience on UniField is desirable.
    • Experience with the use of warehouse equipment (forklift, pallet stacker, …) is considered as an asset

    Languages

    Construction Manager

    Main Purpose

    • Planning, coordinating and monitoring all logistics activities in the project related to construction and rehabilitation according to MSF protocols and standards in order to ensure that construction works meet the needs of MSF programmes

    Accountabilities

    • In collaboration with the Construction Team Leader and the Logistics / Technical Logistics Coordinator, planning, establishing and reviewing all the construction and/or rehabilitation activities in the mission/project, including its budget, in order to identify and give a response to the needs of the mission and the targeted population.
    • Monitoring and ensuring the implementation of the construction and/or rehabilitation activities in the project ensuring compliance to MSF standards, protocols and procedures, and reporting to the construction team leader on the development of the ongoing programmes. This includes the following: 
      • Planning construction/rehabilitation projects to be performed in the mission, participating in the project design and development and ensuring that technical aspects are met and are in compliance with the local construction habits
      • Coordinating purchase orders related to the work activity and checking the materials in stock and warehouse inventory control
      • Participating in the preparation of budgets associated to construction/rehabilitation projects, preparing invoices for payment of the works and anticipating the cash-flow required for monthly payments
      • Providing safety equipment for people who work in construction so as to ensure that all workers comply with safety standards
    • Ensuring technical support for his area of activity and provides coaching to logistics staff under his/her responsibility.
    • Organizing and supervising call for tenders inorder to ensure the best technical and financial conditions in collaboration with the Construction Team Leader.
    • Supervising and leading the logistics team under his ?her responsibility including the definition of each person's task ( daily supervision and checking the quality of their work) drawing up working schedule, organizing and leading team meetings.
    • Following up and reporting on the works' progress and on technical aspects of the work and participating in monthly reports according to guidelines (SitRep, Logistics Statistical Report, etc.)
    • Performing delegated tasks according to his her speciality and as specified in his/her job description

     MSF Section/Context Specific Accountabilities

    • Design and development of technical drawings for the construction and rehabilitation works for MSF within Dagahaley premises.
    •  Supervision of different contractors, subcontractors and daily workers during the construction period.
    • Coordinating the different stakeholders involved in the construction project to ensure that the works are running in concurrence as planned (i.e subcontractors, electrical,log and watsan managers)
    • Ensure the good quality of material and subsequent material approval prior to being used during construction.
    • Ensure that the security measures are respected on the construction site and incidence reported (personal protective equipments, hoarding……..)
    • Develop a detailed chronogram of activities and ensure it is followed and give advice whenever delays are foreseen.
    • Ensure quality control adherence is emphasized on and the construction works are carried out according to the technical drawings, BoQ and the specifications.
    • In conjunction with the Construction Team Leader, negotiate with contractors and subcontractors on the scope of the works and pricing.
    • Ensuring that the materials used in the construction are tested in a government-recognized lab and it’s within the limits of Kenya’s building code • Drafting of daily, weekly, and monthly construction reports.
    • Ensuring te implementation and respect of the construction cycle at all stages of the project
    • Any other task delegated by the line manager

    Requirements

    Education

    • Essential degree or technical college Diploma in engineering or building construction.

    Experience 

    • Essential 5 years of previous experience In construction. •
    • Proven understanding of MSF Field Logistics is an asset.

    Languages

    • Swahili and English are mandatory for this profile. Working knowledge of Somali language is desirable

    Knowledge

    • Essential computer literacy (Microsoft Office, excel MS Office and Internet)
    • Auto Cad (mandatory) Preferable skills
    • Ability to read and understand construction plans, and develop construction specifications.
    • Knowledge of construction structural analysis.
    • Knowledge in electrical, water and sanitation works.

    Medical Doctor

    Main Purpose

    • Provide outpatient and/or inpatient medical care to patients/beneficiaries according to adapted and updated medical knowledge, MSF protocols, values, and universal hygiene standards to improve the patients/beneficiary’s health conditions.

    Accountabilities

    • Apply medical knowledge and skills to diagnose and prevention. Carry out outpatient and inpatient consultations, prescribing the necessary treatment respecting MSF protocols.
    • Keep the patient and/or his/her family informed about the illness and provide appropriate explanations about the treatment to follow, checking they have understood.
    • Follow up the evolution of the hospitalized/IDP patients, through daily visits, consultations and examinations, prescribing the necessary treatment following MSF protocols, deciding whether they can be discharged or transferred to other departments – in collaboration with other doctorsand informing their family about the patient’s evolution.
    • Check and control the rational distribution of medicines and equipment under his/her responsibility and take care the quality, disinfection, and sterilization of the medical material. Ensure general compliance with standing hygiene standards.
    • Participate in the collection and analysis of epidemiological data, checking its validity and informing the line manager or project medical Referent about any problem or complication of the patients illness, medical error and monitors the proper functioning of the department equipment or material.
    • Ensure ongoing training of the medical/paramedical multidisciplinary team to optimize the quality of care
    • Knows and ensures all MSF medical protocols are followed and implemented, checking universal precautions are always followed and reducing bio-hazard risks and improving infection control. Ensures patient confidentiality is respected at all times.

    MSF Section/Context-Specific Accountabilities

    • Use appropriate personal and protective equipment (PPEs) provided by the facility while in the clinical setting and when attending to patients.
    • Ensure proper triaging, timely consultations, and intervention of patients in the clinical setting where the officer is designated to work (ER or wards).
    • Ensure activities in the reproductive health and newborn unit are organized. Support / collaborate with the midwife in charge of department in the management of obstetric emergencies or other obstetric problems.
    • Responsible of the care and treatment of pregnant mothers (including ANC-PNC-FP high risk clinic, Gynecological patients and neonates in NBU and maternity ward by ensuring Daily ward rounds & routine reviews in Maternity ward and NBU is done.
    • Perform basic procedures like MVA, assist the nurses during difficult deliveries, perform C/S as soon as it is necessary etc.
    • In coordination with the maternity supervisor, conduct the High-risk clinic and ensure a follow up strategy is in place with the outreach team CHW / TBA s visits all High-risk mothers and remind them of the danger signs.
    • Ensure on the job training of Clinical officers and ANC-RH working in the department on management of pregnancy complications, neonatal care and conduct CME at least once in a month in collaboration with Medical Activity Manager.
    • Examine and treat all SGBV cases in a confidential manner in collaboration with midwife supervisor and be responsible for the P3 forms for the SGBV cases.
    • Actively participate in the project’s quality of care activities such as CMEs, case reviews, Mortality audits & rational prescription audits.
    • Perform any other duties assigned by the supervisor.

    Requirements

    Education

    • Medical Doctor Degree with valid License to practice in Kenya

    Experience

    • Essential 2 years’ experience as a Medical Doctor or in clinical work (including internship period).
    • Experience in obstetric and gynecological emergencies, pediatric emergencies, infectious diseases, and minor surgeries is desirable.

    Languages

    • Mission language essential (English). Local language desirable (Kiswahili, Somali).

    Knowledge

    • Essential computer literacy (word, excel)
