    Consultant - Global Data Manager

    The Global Data Manager position will work under supervision of Data Manager for Global programs to provide support to AIDS Healthcare Foundation’s (AHF) global programs and operations at the Global Office in Nairobi, Kenya.

    Essential Duties & Responsibilities:

    • Provide technical support to countries in all aspects of data management related to AHF Global programs including: designing of data collection instruments; designing and maintaining program databases; planning and conducting data analyses, interpretation and dissemination; assessing data quality.
    • Responsible for backstopping at the Nairobi office in relation to all data management activities.
    • Responsible for supporting provider productivity report (PPR) data collection, implementing and maintaining the web-based PPR database and following-up with respondents worldwide on weekly and quarterly PPR data submissions and data audits;
    • Ensure data quality through data validation checks, including discrepancy/inconsistency checks, real-time data monitoring, data cleaning, and report generation of records from all Global programs databases.
    • Provide regular follow-up to ensure that all bureaus are making progress in the development of and maintaining viable M&E programs.
    • Review and update tools and guidelines for site assessments including observational site assessment form, chart review tool, loss-to-follow-up tracking tool and ensure all tools are congruent with M&E plans
    • Prepare and present analysis reports, summary tables, and graphics as requested. This includes interpreting, presenting and discussing results with the Global program teams.
    • Assist in providing training and guidance to global program staff in data management.
    • In collaboration with the Global Quality Team backstop global programmatic activities, including but not limited to program start-up, program development, reporting, assessment, monitoring and program improvement.

    Regional Medical Manager- Western-Kenya

    Essential Duties & Responsibilities:

    The RM is a combination of leadership and clinical care position. It involves management of resources such as staff, infrastructure, equipment, finances; building and maintaining strategic partnerships; reporting and ensuring highest standards of care in the program. Ultimately this role entails day-to-day operations, quality assurance and decision-making in liaison with appropriate managers/directors

    • Leadership and Management
      • Oversees all AHF operations in the region with support from the Line Managers to efficiently and effectively deliver quality services in the region in coordination with the Counties MOH.
      • Ensure AHF as an organization is visible and respected in the region through appropriate networking and representation of our work as necessary among key stakeholders
      • Provides technical support to the Prevention and Treatment program ensuring linkage of outreach activities to treatment and care program through well-established processes of patient linkages and service integration
      • Attends key technical partners meetings and provides feedback to management
      • Builds and maintains partnerships with key stakeholders in the Health and HIV/AIDS sector e.g. with MOH, NASCOP, NACC, etc.
      • Ensures that CMEs are conducted in all sites and participates in the facilitation of CME sessions. Ensure participation by the medical staff in regular CME seminars and working with the In-charges, recommend CME programs based on identified needs
      • Leads the development of work plans for the sites within his/region and ensure set targets are achieved
      • Participates in staff needs assessment, interviewing, and induction of newly hired staff.
        Participates in staff performance management including goal setting, staff appraisal and disciplining, and conflict resolution.
      • Ensures adherence to AHF financial guidelines and procedures for proper utilization of resources with discipline and integrity.
      • Ensures a high quality of clinical services are delivered all the time in all AHF supported sites in the region. Leads quality assurance initiatives in the region
      • Provides periodic comprehensive support supervision and reports, adhering to the tools provided by AHF
      • Promotes the implementation and use of standard operating procedures for all activities relating to good clinical practice and ensures functional QI teams are in existence at site levels
      • Supervises and implements quality management activities and quality benchmarks monitoring, facilitation of quality assurance and quality improvement sessions.
      • Ensures optimal operations of the laboratory services, including functioning of sample referral networks at regional level
      • Provides on-site technical support and mentoring to the field staff and coordinates M&E of the project
      • Ensures effective patient flow in all sites, especially those with high volumes of patients and coordinates the time motion surveys to monitor performance
      • Oversees the timely collection, compilation and reporting of routine and specific data to guide decision making at site, regional and country program level.
      • Remains updated on current trends and standards in clinical management of HIV/AIDS and related illnesses, may participate in or lead training activities as may be required
      • Monitoring of set annual targets and ensure that they are achieved in the region
      • Maintains adequate provider staffing in the healthcare center to ensure smooth flow of patients. This will include coordination of vacation schedules for all staff to ensure effective coverage at all time.
      • Leads in AHF Advocacy activities in the region including providing periodic advocacy updates to staff
      • Ensure all AHF supported sites are adequately branded and have promotional Materials as per AHF set standards
      • Serves as AHFs advocate in the region
    • Supervisory Responsibilities:
      • Provides direct supervision and mentorship to clinical officers, nurses, laboratory technologists, pharmacist, pharm techs, health records officers, etc. working in the different facilities in the region to ensure continuous growth and learning
      • Ensures timely compilation and submission of monthly drug inventory reports in coordination with the Program Pharmacist
      • Works with the program pharmacist to ensure that pharmacy operations are in accordance with good pharmacy practices
    • Identifies and promotes operational research at site level and builds capacity among the staff in case presentations and elaboration of scientific papers
      • Clinical care
      • Supports in management of difficult cases, in addition, identifies early warning resistance indicators and put effective intervention strategies. Provides clinical care in conjunction with other team members
      • Spends at least 2 days per week providing direct patient care
      • Responsible for patient chart review and peer review following the guidelines established by the Policies and Procedures Committee
      • Ensuring effective implementation of static and outreach services
      • Attend medical provider meetings (at minimum, once a month) to discuss difficult patients and mortality cases.

    Pharmacist

    Job Summary:

    Pharmacist role is to provide technical and management oversight to the AHF Kenya operations in Mombasa and other areas. The major roles are planning, budgeting, coordination and technical oversight of pharmacy section of AHF Kenya. It also involves human resource management, logistics and logistics management and reporting. He/ She ensures standards of pharmacy practice are upheld in all sites

    Essential Duties and Responsibilities:

    • Receives deliveries including supplies/commodities and then verifies them against documentation.
    • Ensures timely dispatch & adequate packaging of commodities to facilitate safe delivery to destined healthcare centers.
    • Enters data into data base or appropriate software to support tracking and accountability.
    • Ensure proper and safe storage of goods and supplies.
    • Provide relevant information to management on the status of inventory in the stores especially slow moving commodities.
    • Prepare and generate usage reports for accounting purposes or as required in a timely manner.
    • Receive duly approved stores requisitions and distribute supplies to respective persons/department.
    • Reconcile invoices, delivery notes with the physical count and notify the supervisor immediately in case of any discrepancies.
    • Ensure proper documentation and filing of inventory records
    • Timely update of inventory management tools i.e. goods received note, stock/bin cards, Tally inventory software and generate inventory reports.
    • Maintain and update asset register and advise management on the status of the assets.
    • Participate in stock taking and asset verification
    • Participate in forecasting of supplies including drugs, equipment and laboratory reagents.

    • Receives and verifies drugs and medical supplies delivered to the central stores

    • Maintain records, such as pharmacy files, inventories, control records for narcotics and controlled drugs
    • Ensures timely delivery and adequate stocks of drugs and medical supplies are available in the sites

    • Patient Management
      • From time to time; works in clinics, to
      • Review prescriptions to assure accuracy and to evaluate their suitability.
      • Provide information and advice regarding drug interactions, side effects, dosage and proper medication storage.
      • Dispense prescriptions and provide additional support to the medical team
    • Human Resource Management
      • Participate in recruitment supervising and monitoring performance of staff
      • Participates in staff capacity building namely training, support supervision and mentorship activities
      • Teach pharmacy technicians, Pharmacy assistance and students serving as interns.
      • Directly supervises all the Pharmacy Technologist including Pharmacy assistants and any other employees both medical and non-medical, who are involved in the medical management of patients
    • Quality Assurance/ Control
      • Advise procurement team on the selection of medication brands, medical equipment and health-care supplies.
      • Analyze prescribing trends to monitor patient compliance and to prevent excessive usage or harmful interactions.
      • Collaborate with other health care professionals to plan, monitor, review, and evaluate the quality and effectiveness of drugs and drug regimens, providing advice on drug applications and characteristics.
      • Publish educational information and provide continuing medical education for other pharmacy staff, doctors, and/or patients

    Driver/HTC Provider

    Job Summary: To provide safe, efficient and effective transport service to AHF and ensure that all relevant documentation with respect to the vehicle used is kept up to date.

    KEY RESPONSIBILITIES

    • Driving duties
      • Drive staff to and from their destinations on time and ensure safety of the passenger and the vehicle at all times
      • Liaise with the Operations Manager for assignment and coordination of driving duties for each day
      • Monitor fuel usage regularly to ensure the vehicle always has sufficient fuel to fully support activities as required
    • Mail delivery
      • Liaise with the Operations Manager to deliver mails to required destinations.
      • Ensure that mail delivery is completed with signature of the recipient on the designated mail delivery books
    • Documentation
      • Complete the daily travel log book and ensure that all information required is properly recorded and legible.
    • Vehicle Maintenance
      • Liaise with the operations Officer to ensure that vehicle routine maintenance service is carried out promptly and the vehicle is kept clean and presentable
      • Ensure that all legal requirements for the vehicle are up to date
      • Record all vehicle repairs done (no matter how small) in the log book
      • Ensure the vehicle is kept clean at all time,
      • Ensure that the vehicle is securely parked while on and off duty
    • Occasional duties
      • Assist with set up for workshops and loading and offloading during activities
      • Carry out other duties as may be assigned from time to time
