    Office Administrator

    We are looking for a highly motivated flexible person to join our new team in Nairobi. In this role you will provide cross functional administrative support to all business functions in the office (sales, service, finance, HR, IT). You will be an integral part of the initial ramp-up / build-up of the operations in Kenya. Working closely with the integration and management team and ensuring administrative application of policies and procedures.


    • Support sales in organizing events and preparing marketing material
    • Prepare sales quotation and tender responses in cooperation with the sales department
    • Prepare service contract quotations in cooperation with the service department
    • Process spare parts order and track the goods during import and delivery        
    • Coordinate the distribution of product notification and/or field service notification letters to customers
    • Filing of financial documents in the required format for auditing purposes
    • Submission of financial documents and reports in a timely manner
    • Act as liaison between internal finance and external accounting provider
    • Support HR in organizing events, meetings, interviews and external visits
    • Collect, upload and store HR related documentation
    • Manage IT related 3rd relations with vendors (quotes, contracts, invoices)
    • Coordinate logistics for IT equipment and consumables
    • General administrative support for VMS Kenya Ltd. employees (meetings, travel, Visa, time-cards, expenses)
    • Other administrative duties as assigned


    • High School Certificate plus Office administration or equivalent certification
    • 2 – 3 years related experience
    • Excellent business administration skills
    • Good interpersonal and communication skills
    • Good team player, open minded and looking for future development
    • Experience / knowledge of Microsoft Office, SharePoint, SAP
    • Fluency in English, both written and spoken, other languages welcome
