    Facilities Manager

    Main Responsibilities:

    Under the supervision of the Head of Facilities Management the incumbent shall be tasked with the execution of the following duties:

    • Responsible for the planning, adaption, and implementation of effective Facilities Management policies, procedures and planning; conducts periodic reviews of existing policies and procedures to uphold maximum efficiency in site management; assists Senior Management in forecasting immediate and future FM needs and planning for the same; helps with client budget projections whilst safeguarding cost effectiveness; executes established operational goals and ensures that corporate-wide plans are complemented and supported.
    • Assumes responsibility for the effective management of facilities making sure that the company facilities are well maintained, secure and meet the needs of the company and client; implements reliability-centered maintenance regimes; manages the operational hard and soft services;; conducts and documents regular facilities inspections in compliance with health and safety standards and industry codes.
    • In charge of FM procurement procedures: procures and manages contractors in accordance with company policies; assists with the drafting of service contracts and agreements; adapts and implements Service Level Agreements.
    • Makes sure the senior management and client are appropriately informed of area activities and of any significant problems: reports on weekly activities; submits monthly and quarterly reports; ensures that the facilities comply with established procedures, policies, regulations and codes, and with the parameters of acceptable Facilities Management practice.
    • Effectively supervises Facilities Management site personnel, ensuring optimal performance; provides leadership to assigned personnel through effective objective setting, delegation, and communication; identifies, develops, and implements training programs as appropriate; formulates and implements employee corrective actions as needed in line with company policy; ensures that staffing levels are appropriate; takes part in interviews and assigns personnel as necessary and in accordance with company policies and client requirements; conducts performance appraisals; provides measurable feedback to assigned personnel and suggestions for improved performance.
    • Ensures professional business relations with vendors, contractors, and trade professionals; ensures delivery schedules, quantity and quality criteria are met; acts as a liaison between the Company and all stake holders; manages client relationships; promotes goodwill and a positive image of the Company.
    • Offers logistical support to events such as but not limited to the coordination of intra-office relocations; events cleaning and security; relation H&S, etc.
    • Other ad-hoc duties as may be assigned periodically.

    Required Skills & Competencies:

    • Thorough understanding of Facilities Management.
    • In-depth knowledge of principles and practices of project management
    • Prior experience in a supervisory role
    • Working knowledge of business administration principles
    • A good knowledge of budgeting, supplier management, space planning and staff management.
    • Excellent leadership abilities.
    • Ability to organize, coordinate, and direct team activities.
    • A strong problem-solving aptitude.
    • Good communication skills.
    • Ability to use all related maintenance equipment and network applications.
    • Sound HR, finance and social knowledge
    • Computer literacy

    Academic and Professional Qualifications:

    • A Bachelor’s degree in electrical or mechanical engineering
    • Additional Facilities and Projects Management qualifications preferred
    • 3 years’ experience in a similar role
