    Project Management Coordinator

    Key Responsibilities

    PMF Support and Maintenance 20%

    1. Support the use and continuous improvement of ILRI’s Program Management Framework
    2. Support Program Leads, Program Managers, Project Managers, and Principal Investigators to identify challenges with processes and initiatives and to compile lessons learned.
    3. Support a process and culture of continuous Improvement within program management by collating feedback, providing input, reviewing outputs, compiling recommendations, seeking approval for, and making updates to the PMF.
    4. Support the design, development, and implementation of tools materials for improved project management within ILRI and beyond. 

    Project Status Tracking 15%

    1. Support the generation of regular project level dashboards to present project status, including milestones, financial and impact targets, financial and impact accomplishments to-date.

    Coordination of Donor Reporting 25%

    1. Coordinate donor reporting and support the development of high-quality of donor reports.
    2. Oversee the report development process to ensure narrative and financial reports are in line with donor and ILRI quality standards, timelines and workflows.
    3. Serve as donor liaison by providing reports and updates for ongoing projects.
    4. Coordinate the collection of client feedback from donors.  Ensure that clients’ concerns are logged, responded to, and that where applicable tracked as ‘lessons learned’ and fed into the continuous improvement process, above.

    Pipeline Coordination 15%

    1. Compilation and Reporting of Resource Mobilization Pipeline. 
    2. Liaise with Program Leads, Program Managers, and others to ensure the accuracy of the information on funding opportunities. 
    3. Support the monitoring and evaluation of ILRI program performance and develop reports for use internally and for CGIAR System Organization.

    Capacity Building, Ad-hoc Support, and other responsibilities 25%

    1. Support the preparation, coordination, and delivery of capacity building events.
    2. Support trainings of (new) staff on project management practices—including global practices and ILRI processes.
    3. Provide interim support for project management where required.
    4. Participate in ILRI, Corporate Services, Project Management Office, Business Development Unit, and GGIAR related groups, discussions, task forces, etc., as appropriate.
    5. Perform any other related duties as may be assigned

    Requirements

    1. Bachelor’s and 7 years’ project management experience or Master’s degree and 3 years’ project management experience.  Academic qualifications in International development/International relations, Agriculture, Business, Project Management, or a related field.
    2. Experience in international development, agricultural research, or NGOs beneficial
    3. Project management certification, or a commitment to become certified within the first year of employment.
    4. Understanding of project management, quality management, process documentation.
    5. Proficiency in MS Office applications.  Knowledge of project management and cloud-based collaboration software is an advantage.
    6. Ability to collaborate with a diverse set of internal and external stakeholders.
    7. A commitment to ILRI’s mission and to upholding ILRI’s values.

    Terms of Appointment

    1. This position is at job level HG 15. The position is a 3 years contract, renewable subject to satisfactory performance and availability of funding. ILRI offers a competitive salary and benefits package which includes; pension, medical and other insurances
