    Administrative Assistant - HR

    Our administrative team keeps Moko’s office running smoothly so that we can deliver on our customer’s dreams.  From supporting hiring of new team members to ensuring smooth people operations, Administrative Assistants run the processes that drive our day to day business.  You’ll work closely with members of our management team, making this a great development opportunity for anyone early in their administration, HR, or accounting career.

    The role in brief

    Administrative Assistants can take on a wide range of responsibilities, we tailor responsibilities to a team member’s specific skills. For this specific position, we’re looking for someone with training and/or experience in HR and accounting, and their main responsibilities will include:

    Find and support talent

    • Support the production team in the hiring casuals
    • Support the talent team in sending out correspondence for new/prospective hires
    • Support managers in sending out correspondence related to disciplinary action
    • Act as the finance liaison on matters relating to the production team’s employment issues. This would involve receiving and auditing the working hours submitted on a weekly basis, calculating overtime, allowances, deductions, and forwarding these to payroll processing
    • Handle queries relating to pay calculations arising from the production and operations teams

    Lay the foundation of accurate and updated databases

    • Filing of statutory returns and follow up to ensure these are updated in each statutory body’s respective database
    • Keeping the team database updated
    • Ensuring accurate data entry relating to working hours in the production team
    • Computing leave balances for all employees
    • Any other tasks that may be assigned by the supervisor

    Requirements and experience

    • You have training and experience (at least 1 year) in HR and accounting
    • You enjoy working on multiple diverse projects and tasks simultaneously

    Inventory Supervisor

    WHAT YOU’LL DO

    We’re looking to add an Inventory Supervisor to our Operations team, who will maintain the inventory storage areas and manage a team of inventory clerks. You will also work with different teams to ensure that we maintain the quality of products. Finally, with strong analytical and problem-solving skills, you will verify clerical computations of stock, adjust any errors and make accurate reports.

    THE ROLE IN BRIEF

    Inventory Management

    • Verify clerical computations against physical count of stock and adjust any errors in computation
    • Communicate to production when maximum storage space for discounted cushions & mattresses is about to be depleted
    • Notify the Quality Control team of any damaged products that have passed through as quality products
    • Update the dispatch supervisor of the foam products in stock
    • Maintain inventory storage areas by organizing floor space, implementing prescribed storage principles, and recommending improvements where necessary
    • Communicate to the Customer Engagement team when there is excess discounted stock to be disposed of

    Team Management

    • Monitor and manage the performance of Inventory Clerks in their respective storage locations
    • Plan and monitor inventory clerks’ work schedule to ensure they achieve a minimum of 48 working hours per week
    • Ensure the team undertaking tasks are fully donned in their PPE’s and are observing all other safety requirements
    • Measuring and reporting the effectiveness of warehousing activities and employee’s performance
    • Define and implement warehouse standard operating procedures
    • Ensuring basic maintenance standards and compliance with health and safety regulations

    Documentation & Administration

    • Daily update of the daily reconciliation report & stock movement report
    • Process and file stock return notes while ensuring all stock that is returned has passed through Quality Control accreditation before storage

    Logistics Manager

    WHAT YOU’LL DO

    Our Supply Chain team brings materials from around the world to our factory, where they’re crafted into furniture that make thousands of families happy, countrywide.  We are looking at adding a Logistics Manager to the team, who will be responsible for inventory and fleet management, with the overall goal of enhancing business development, developing strong SOPs and ensuring sustainability. Our perfect match is keen on order and efficiency, and they’ll be in charge of planning and managing logistics, warehousing, coordinating and optimizing full order cycles, and reducing operating and management costs across the full inventory value chain.

    THE ROLE IN BRIEF

    Manage Fleet infrastructure

    • Develop a logistical infrastructure including transport planning frameworks, route planning and motor vehicle repairs
    • Achieve improvements in the operating efficiency and cost base of the fleet infrastructure by reviewing asset locations and usages
    • Develop, implement, review and update the distribution strategy in the light of business developments and logistics optimization opportunities
    • Develop space metrics plans and triggers for CAPEX investments associated with fleet and inventory management

    Oversee Operational processes and compliance

    • Ensure compliance with all Health & Safety legislation, including but not limited to conducting regular H&S audits
    • Ensure that all Logistics officers and supervisors maintain a safe, productive, and disciplined working environment
    • Develop, implement, maintain and augment auditable SOPs for logistical processes and working methods
    • Process measurement: develop and maintain KPIs for each operational process, showing performance against budget or target
    • Responsible for the costs, service levels, and operational performance of services rendered, productivity, stock management, and documentation compliance

    Capacity and resource planning

    • Maintain a 1-year capacity planning horizon for the logistics infrastructure, relating to stockholding points and storage capacity
    • Apply short term planning: a rolling 12-month plan primarily for labor planning, shift patterns, recruitment, seasonal resource deployment, and the relative balance of permanent and agency temporary workers
    • Plan activities over an operational time frame and govern smooth inbound flow, bulk storage locations, pick face layout, picking and packing capacity
    • Establish resource efficiency and cleaner processing methods across the full inventory value chain
    • Responsible for the attainment of logistics associated budget

    Develop and lead a high performing team

    • Recruit, train and develop senior officers, officers, and supervisors in the team
    • Develop, implement, and maintain an optimum organizational structure, with the most suitable arrangement of officers, supervisors, and team leaders
    • Ensure appropriate targets are in place and are being consistently met by the Logistics team

    Inventory Clerk

    WHAT YOU’LL DO

    We’re looking to add an analytical Inventory Clerk to our Operations Team, who will maintain accurate inventory records and monitor inventory movements. You will be the point of contact for all our inbound receipts and oversee assigned key warehouses. Finally, with strong analytical and problem-solving skills, you will reconcile discrepancies in inventories and notify the management of any irregularities.

    THE ROLE IN BRIEF

    Inventory Management

    • Track and ensure all stocks and raw materials are accounted for using periodic stock counts
    • Act as the point of contact for all inbound receipts. This includes local and international receipt of raw materials, returns from trade and failed deliveries
    • Maintaining an up-to-date raw material tracker that clearly details all issues for production purposes
    • Control movement of stock items (Stock Keeping Units) by limiting movement in and out of key warehouses and ensuring where possible, they are always under lock and key
    • Ensure timely issuance of raw materials to the production team

    Documentation & Administration

    • Ensure all stock keeping units are clearly sorted, labeled, and stacked to prevent mix-ups and interchange during loading and offloading
    • Ensure the cleanliness and tidiness of assigned warehouses in conjunction with the relevant operations supervisors
    • Maintain proper filing of goods received & issued notes
    • Report any unsafe conditions or hazards within the particular area of operation
