    Finance & Grants Officer

    Job Specifications

    The Finance and Grants Officer will generally support grants management activities of various projects undertaken by ACTS and work primarily on the on-going Research and Innovation Management project within the Science Granting Council Initiative (SGCI).  The Research and Innovation Management project is a three-year multi-country project supporting 81 research and innovation projects across 17 countries in Sub-Saharan Africa.

    Key Responsibilities of the Finance and Grants Officer:

    • Work with the relevant heads of programs to conduct due diligence on sub-grantees, implementing partners, and consultants’ contracts before any contract/grant agreement is issued;
    • Prepare contracts, grant agreements and the necessary amendments as required for review and approval in line with the policies;
    • Prepare monthly reports on all open contracts, grant agreements and contractual payments
    • Guide on the on boarding of consultants and grantees in line with the procurement policy and documentation requirements;
    • Track and report progress of implementation of projects by sub-grantees, consultants and partners;
    • Review the financial reports from sub-grantees and partners and consultants’ invoices and ensure that they are in compliance with the contractual reporting requirements and the set budgetary- allocations.

    Minimum Requirements

    • A Bachelor’s degree in Business related fields (Finance or Accounting, Project Management, Economics, Economic and Statistics)or related field with CPA (K) qualification
    • A minimum of 3 years’ experience in grants management preferably in an international fast paced environment.
    • Demonstrated project management experience related to implementing and managing multiple complex projects simultaneously.
    • Experience in procurement especially in management of contracts and grants.
    • Ability to analyse contracts/ grants/ any other specialised procurement and anticipate any future contractual challenges, taking into account the wider organisation and policy context;
    • Ability to review the financial reports from sub-grantees, consultants and partners
    • In-depth understanding of contracts management (legal, execution, obligations, responsibilities and rights).
    • Demonstrated capacity to think strategically, to lead and work within diverse teams, and to work in multi-cultural settings with a high degree of independence.

    Expression of Interest - Provision of Testing Facilities for Clean Cook Stoves

    Objectives of the Consultancy

    The goal of this consultancy is to contract an institution through a competitive bidding to provide testing facilities for clean cooking solutions. The selected institution will be expected to have standardized laboratory testing protocols and have the capacity to undertake testing for multiple cook stove entrepreneurs for a period of 7 months.

    The Institution will work with the gDIH to raise awareness among clean cooking entrepreneurs across Kenya, many of whom may not be aware of the efficiency or emission levels of their improved cook stoves. Supporting clean cooking entrepreneurs and MSMEs to test their solutions will contribute to affordable clean cooking products in the Kenyan market.  

    Duties and responsibilities

    The consultant is expected to:

    • Develop standardized laboratory testing protocols for clean cooking solutions
    • Provide testing facilities and conduct tests for 100 MSMEs
    • Provide detailed and comprehensive test reports for each innovation including performance metrics, safety evaluations, and emissions data.
    • Raise awareness of clean cooking testing protocols in the country

    Experience and qualifications

    • Availability of advanced testing facilities that meet international standards.
    • A track record of successfully completed similar projects.
    • Technical and professional capacity to handle the testing of 100 cook stoves.
    • Proven experience with testing locally developed clean cooking solutions
    • Testing personnel in the lab with significant experience in testing clean cooking solutions
    • Strong references from previous clients or projects

    Proposal Contents

    Interested consultants must provide information indicating that they are qualified to provide the above services by submitting an expression of interest which should include;

    • Organization Profile
    • Technical and professional competence in clean cook stove testing
    • Evidence of similar assignments
    • Financial Proposal that highlights cost of testing 100 cookstoves.

    Deliverables

    • Inception report
    • A detailed plan outlining the testing process, including methodologies and timelines.
    • Comprehensive test reports for each of the 100 cookstoves, covering performance, safety, and emissions.
    • A final report that includes an overview of the testing process, key findings, and actionable recommendations. 

    Duration

    The activity is set expected to commence in November and conclude by March 2025.

    Expression of Interest - Supporting Innovators, Startups and MSMEs on Intellectual Property

     Objectives of the Consultancy

    The goal of this consultancy is to seek a qualified consultant to develop and deliver comprehensive Intellectual Property Services that will create awareness on the importance of IP and empower MSMEs and Innovators in Kenya to protect their innovations and creative works.

    Specifically, the consultancy aims to:

    To develop five (5) training modules on Intellectual Property

    • Create high-quality, engaging training modules covering the fundamentals of intellectual property, types of IP protection, laws governing IP rights, importance of IP protection, requirements for IP protection, the IP application process, IP management and strategy, international IP considerations, practical Case Studies, emerging Trends in IP and IP resources and support for MSMEs and innovators.

    To pilot the modules and train 100 MSMEs on IP

    • Conduct a pilot training program with a select group of MSMEs and Innovators to gather feedback and refine the training modules.
    • Deliver comprehensive IP training to 100 MSMEs, equipping them with the knowledge and skills to identify, protect, and utilize their intellectual property.

    To support five (5) MSMEs to protect their innovations

    • Assist 5 selected MSMEs and Innovators to register their Intellectual Property with the relevant IP offices

    Experience and qualifications

    • Certification as a Patent & Trademark Agent from KIPI
    • Knowledge of the local and international IP landscape
    • Experience working with MSMEs and innovators specifically, understanding their unique challenges and needs.
    • Ability to develop innovative solutions to create awareness on IP, protect and leverage IP assets
    • Excellent communication and analytical skills
    • Evidence of having carried out consultancies of a similar scale

    Proposal Contents

    Interested consultants must provide information indicating that they are qualified to provide the above services by submitting an EoI with a Maximum of 15 pages.

    The proposal should contain an outline of the Consultant’s organization and experience relevant to the assignment, comments or suggestions on the Terms of Reference, a clear description of the approach, methodology and work plan for the assignment, a budget and additional documentation described by the Annex section below.

    Annexes should contain the following:

    • Team composition, including roles and responsibilities of team members, task assignments and level of effort
    • CVs (maximum 3 pages of A4 paper each) of key individuals, tailored to the assignment
    • Work schedule for the assignment
    • Referee information

    The consultant will be expected to deliver the following:

    • Inception Report
    • 5 Comprehensive IP Training modules
    • Training Completion Report of 100 MSMEs
    • IP Registration Certificates/Relevant Documentation for 5 MSMEs
    • Final Report

    Duration

    The assignment is set at 8 consultancy days and work is expected to be concluded by March 31, 2025
