    Procurement & Inventory coordinator

    Job Purpose

    To implement strong internal controls through segregation of duties:

    • Own procurement process end-to-end (sourcing to purchase order).
    • Control system entries for inventory movements (especially goods receipts, deliveries/issues, and transfers) to prevent stores/warehouse staff from directly recording transactions in the ERP/system.
    • Coordinate with Finance for payment processing without handling actual payments.
    • Ensure manufacturing data keying (e.g., production consumption, output, WIP) remains with the Manufacturing Operations Manager for operational accountability.

    Key Responsibilities

    Procurement Management

    Procurement (40%)

    • Manage end-to-end procurement for all goods, services, and raw materials (sourcing, supplier evaluation,Request for Quotation (RFQ), negotiation,  generate purchase orders).
    • Maintain approved supplier list, track supplier lead times  and contracts.
    • Ensure all purchases follow approved budgets and authorization limits.
    • Hand over approved invoices / GRN-matched documents to Finance for payment processing (no direct payment authority).

    Inventory Systems & Controls (35%)

    • Perform all system entries for:
    • Goods Receipts / Inbound deliveries from suppliers.
    • Issues / Deliveries to manufacturing, other departments, or customers (based on authorized requisitions).
    • Stock transfers, adjustments, and returns.
    • Reconcile physical stock counts (led by stores team) with system records and investigate variances.
    • Prevent stores/warehouse staff from making direct delivery or receipt entries in the system (they prepare supporting documents only; this role validates and keys).
    • Monitor stock levels, reorder points, and aging to minimize obsolescence and stock-outs.
    • Enforce FIFO/FEFO or other inventory policies in the system.

    Coordination & Reporting (15%)

    • Work closely with the Manufacturing Operations Manager (who handles production keying: material consumption, output recording, etc.).
    • Coordinate closely with finance: Submit approved supplier documents,Submit PO, GRN, and supplier invoices.Monitor payment status,Reconcile supplier statements.
    • Provide accurate inventory reports to Management, Finance, and Operations.
    • Support internal and external audits on inventory and procurement.
    • Identify and implement process improvements for cost savings and control.

    Compliance & Other (10%)

    • Ensure all transactions comply with company policies and internal control framework.
    • Train stores and relevant staff on documentation requirements.
    • Handle supplier queries related to deliveries and documentation.

    Required Qualifications & Skills

    • Bachelor’s degree in Supply Chain, Business, Accounting, or related field.
    • 1-2+ years experience in procurement, inventory control, or stores management in a manufacturing or distribution environment.
    • Strong ERP/system skills (experience with SAP, Odoo, Dynamics, or similar).
    • Knowledge of internal controls, segregation of duties, and audit requirements.
    • Analytical, detail-oriented, and high integrity.
    • Good negotiation and communication skills.

    Key Performance Indicators (KPIs)

    Procurement

    • % of purchases on approved suppliers / contracts: Target ≥ 95%
    • Average cost savings / value add through negotiation: Target 5-8% annually
    • Purchase Order cycle time (from requisition to PO): Target < 5 business days
    • % of on-time supplier deliveries: Target ≥ 90%

    Inventory Controls & Accuracy

    • Inventory accuracy (System vs Physical): Target ≥ 98%
    • Stock variance value as % of total inventory: Target < 1%
    • Stock-out incidents for critical items: Target 0 or < 2 per quarter
    • Obsolete / slow-moving stock value reduction: Target 10-15% year-on-year

    Systems & Process

    • % of inventory transactions entered by this role (vs others): Target 95%+ (for receipts, issues, adjustments)
    • Timely matching and handover to Finance (GRN vs Invoice): Target 100% within 3 days of receipt
    • Audit findings related to inventory/procurement: Target 0 major findings

    Overall

    • Inventory turnover ratio improvement (or achievement of target set by management).
    • Employee / stakeholder feedback on service and controls (survey score).
    • Timely and accurate monthly inventory reports.

    Locum Operations Support Staff

    JOB PURPOSE

    • To provide flexible, on-demand operational support across multiple functions within the Operations Department. The Locum Operations Support Staff will step in to cover for permanent staff (Stores & Warehousing Controller, Retail Outlet Lead, Procurement controller  and Logistics Coordinator) during absences, leave periods, or peak operational demands. The role requires a versatile individual capable of adapting quickly to different operational areas while maintaining business continuity, adherence to internal controls, and high service standards.

    KEY RESPONSIBILITIES (BY FUNCTION)

    • The Locum Operations Support Staff will be assigned to one of the following four functions depending on business needs. The role is rotational, and the individual must be prepared to undertake responsibilities across all three areas.

    FUNCTION A: STORES & WAREHOUSING CONTROLLER (Coverage)

    • When covering the Stores & Warehousing Controller, the locum will perform the following duties:

    Inventory Receipt & Issuance (System & Physical)

    • Receive incoming goods from suppliers against approved Purchase Orders and Goods Received Notes (GRNs).
    • Key Control: Physically count and inspect goods for quantity and quality before system entry. ERP entry remains the responsibility of the Procurement & Inventory Coordinator in line with segregation of duties.
    • Prepare supporting documentation, including GRNs, delivery notes, and inspection reports, for ERP entry.
    • Issue raw materials and consumables to production or other departments against approved Material Requisition Forms (MRFs).
    • Apply FIFO/FEFO inventory rotation principles during stock issuance.

    Warehouse Organization & Safety

    • Maintain a clean, organized, and safe warehouse environment.
    • Ensure inventory is properly labelled, zoned, and stacked.
    • Segregate damaged, expired, or quarantined stock from usable inventory.

    Stock Counts & Reconciliation

    • Conduct daily cycle counts.
    • Participate in monthly and quarterly stock counts.
    • Key Control: Investigate physical stock variances and report findings to the Procurement & Inventory Coordinator. The locum is responsible only for counting and reporting and is not authorized to make ERP adjustments.

    Documentation & Reporting

    • Maintain accurate bin cards and stock movement records.
    • Report low stock levels, damaged stock, and slow-moving inventory.

    FUNCTION B: RETAIL OUTLET LEAD (Coverage)

    When covering the Retail Outlet Lead, the locum will perform the following duties:

    Retail Operations & Customer Service

    • Supervise the day-to-day operations of the retail outlet.
    • Ensure timely opening and closing of the outlet.
    • Maintain high customer service standards.
    • Resolve customer inquiries and complaints professionally.

    Sales & Cash Handling

    • Supervise cashiers and sales assistants.
    • Ensure accurate Point of Sale (POS) transactions.
    • Key Control: Review daily sales reconciliations and hand over reconciled cash and card reports to Finance. The locum is not responsible for banking cash.
    • Coordinate with the warehouse to replenish shop stock.
    • Monitor slow-moving stock and communicate with the Procurement Coordinator regarding promotions or supplier returns.

    Visual Merchandising

    • Maintain an attractive and well-organized retail outlet.
    • Implement promotional displays as directed.

    Reporting

    • Prepare daily sales reports, footfall reports, and cash reconciliation summaries.
    • Report theft, losses, or security incidents immediately.

    FUNCTION C: LOGISTICS COORDINATOR (Coverage)

    When covering the Logistics Coordinator, the locum will perform the following duties:

    Transport Planning & Coordination

    • Plan and coordinate daily delivery schedules.
    • Allocate vehicles and drivers based on delivery priorities.
    • Monitor vehicle movement and delivery progress.

    Loading & Dispatch

    • Supervise vehicle loading.
    • Verify that goods loaded match delivery documentation.
    • Ensure drivers have all required documentation before departure.

    Returns & Reverse Logistics

    • Coordinate customer returns.
    • Ensure returned goods are inspected and processed using approved procedures.

    Reporting

    • Maintain dispatch logs.
    • Prepare weekly logistics performance reports covering on-time delivery, and vehicle downtime.

    FUNCTION D: PROCUREMENT CONTROLLER (Coverage)

    When covering the Procurement Controller, the locum will perform the following duties:

    Procurement Planning & Sourcing

    • Receive and review approved purchase requisitions.
    • Source quotations from approved suppliers in line with procurement procedures.
    • Compare prices, specifications, lead times, and supplier terms.
    • Prepare purchase orders and procurement schedules for review and approval by authorized personnel.
    • Follow up on order confirmations and expected delivery dates.

    Supplier Management

    • Maintain supplier records and approved vendor lists.
    • Liaise with suppliers on delivery timelines, shortages, substitutions, and order discrepancies.
    • Monitor supplier performance in relation to quality, pricing, responsiveness, and delivery reliability.
    • Escalate supplier issues that may affect operations or service delivery.

    Procurement Documentation & Reporting

    • Maintain procurement files, quotation records, purchase order registers, and supplier correspondence.
    • Prepare procurement status reports, open order reports, and supplier performance summaries.
    • Coordinate with Finance on budget availability, invoice queries, and payment-related follow-ups where required.

    Key Controls

    • The locum may prepare procurement documents but is not authorized to approve purchase orders, sign contracts, commit the company to expenditure, or authorize supplier payments.
    • The locum must ensure all procurement activities comply with company policy, approved supplier lists, and internal control requirements.

    REQUIRED QUALIFICATIONS & EXPERIENCE

    • Education: Diploma or Bachelor’s Degree in Business Administration, Supply Chain Management, Logistics, Procurement, Inventory Management, or a related field.

    Experience

    • Minimum of 2–3 years’ experience in warehousing, retail operations, or logistics coordination within a manufacturing, distribution, or retail environment.
    • Systems Working knowledge of ERP systems such as Odoo, SAP, Microsoft Dynamics, or equivalent. Experience using POS systems is an added advantage.
    • Numeracy Strong numerical skills for stock counting, cash reconciliation, and logistics reporting.
    • Communication Excellent verbal and written communication skills.
    • Integrity High ethical standards with a clear understanding of internal controls and segregation of duties.

    Head of Finance

    Role Purpose

    • To provide strategic financial leadership at Seven Twenty Holdings, overseeing all financial management,reporting, controls, and compliance.
    • The Head of Finance will be responsible for building a robust financial controls environment, driving the integrity of ERP-integrated financial data, and providing management with the financial insight required to make informed business decisions in a manufacturing and distribution context.

    Key Responsibilities

    Financial Leadership & Strategy

    • Provide strategic financial direction and analysis to the Managing Director and senior management team
    • Lead the preparation of monthly, quarterly, and annual management accounts
    • Develop and monitor annual budgets, forecasts, and cash flow projections
    • Provide commercial analysis including product margin analysis, cost of production reporting and pricing support
    • Present financial results and commentary to management and the Board

    Financial Controls & Compliance

    • Design, implement, and maintain a comprehensive internal controls framework
    • Establish and enforce month-end close procedures including account sign-off and period locking in Odoo
    • Review and approve all manual journal entries, prior period adjustments, and balance sheet reclassifications
    • Ensure all statutory requirements are met including VAT, corporate tax, and financial reporting obligations
    • Manage the external audit process and be the primary point of contact for auditors

    ERP & Systems Oversight (Odoo)

    • Take ownership of the Odoo accounting configuration including chart of accounts, product category account mappings, and journal settings
    • Review and approve all system configuration changes that affect financial postings
    • Oversee the resolution of all historical posting errors and ensure correcting journals are
    • accurate, authorised, and documented
    • Drive monthly reconciliation of inventory valuation reports to the general ledger
    • Ensure work order templates, BOMs, and manufacturing configurations are correctly set up before use

    Inventory & Manufacturing Finance

    • Oversee the financial management of all inventory including raw materials, WIP, and finished goods
    • Ensure monthly reconciliation of Stock Interim Delivered, Stock Interim Received, and WIP accounts
    • Review the weekly production WIP report prepared by the Production Manager and reconcile to Odoo
    • Ensure all Bills of Materials are costed accurately and updated whenever input costs change
    • Monitor and investigate all stock variances, ensuring appropriate authorisation and accounting treatment

    Team Management & Development

    • Lead, supervise, and develop the finance team, setting clear objectives and performance standards
    •  Identify skills gaps within the finance team and implement training and upskilling plans
    •  Ensure clear segregation of duties within the finance function
    •  Build a finance team culture of accuracy, accountability, and continuous improvement

    Qualifications & Experience

    Requirement Details

    • Education CPA(K) or ACCA qualified. Bachelor’s degree in Finance, Accounting, or Commerce
    • Experience Minimum 5 years in finance, with at least 2 years in a senior finance management role
    • Industry Manufacturing, FMCG, or industrial operations experience strongly preferred
    • ERP Systems Hands-on experience with Odoo, SAP, Sage, or equivalent ERP. Odoo preferred

    Technical Skills

    • Advanced Excel, financial modelling, cost accounting, inventory finance,and management reporting.

    Locum Production and Tinting Technician

    Job Summary:

    • The Production & Tinting Technician is responsible for the efficient and accurate production and tinting of paint according to customer specifications. This role requires a strong understanding of paint properties, tinting systems, and a commitment to quality control.

    Responsibilities:

    • Operate paint production equipment safely and efficiently, following established procedures.
    • Accurately weigh and measure paint components according to the production sheet .
    • Utilize tinting machines to dispense precise color formulations based on customer orders.
