Summary of responsibilities
- Leading the end-to-end speaker journey, serving as the primary focal point (digital or in person) for identification, invitations, briefings, and follow-ups with speakers, while collaborating with the Partnership and Engagement Coordinator to secure diverse and impactful participation;
- Identifying diverse, visionary leaders and emerging topics to deepen the impact and alignment of GLF’s core themes, ensuring gender diversity (at least 50% women) and geographic representation, especially across the Global South;
- Coordinating seamless communication across internal teams to ensure speakers’ information is shared accurately, constructively, and on time;
- Managing the speakers’ database and serving as the primary anchor for related website updates;
- Curating engaging formats for speeches and sessions – for both in-person and digital events – that inspire the audience to take action, always ensuring diverse representation and plurality of voices;
- Analyzing GLF’s history and themes to connect new voices, organizations and meaningful ideas that enrich and advance today’s global discourse on landscapes;
- Identifying creative ways to connect topics, audiences and priorities across different parts of the world;
- Bridging real-time media narrative with GLF activities to ensure our campaigns and events resonate with current global conversations;
- Promoting and creating new content rooted in speakers’ knowledge across various media platforms and collaborating closely with the communications team to amplify their messages and impact;
- Supporting capacity building within the GLF communities’ network, ensuring frontline voices are actively represented and woven into the narrative of all GLF events and campaigns;
- Supporting the coordination of the Knowledge Committee to build a coherent, action-oriented event narrative informed by past engagements;
- Nurturing strategic relationships and identifying potential new partners alongside the Managing Director and the Partnership & Engagement Coordinator to expand, grow and support our community;
Education, knowledge and experience
- Recent graduate with a master’s or bachelor’s degree in communications, Journalism, International Relations, Development Studies, or a related discipline (or a bachelor’s degree with at least two years of relevant work experience);
- Strong written and verbal communication abilities, with a passion for storytelling and crafting impactful narratives;
- Proven experience in project management, coordination, planning, implementation, and evaluation;
- Solid knowledge of the Sustainable Development Goals (SDGs);
- Experience with Canva is a distinct advantage;
- Passion for multimedia tools (video-editing software or other digital creation tools) is an advantage;
- Fluency in English is essential; proficiency in other languages (especially French, Spanish, Indonesian, or German) is an advantage.

Duties and responsibilities
Seamlessly coordinate AWARD training activities for its fellowship programs and partner institutions in fulfilment of AWARD’s mandate by undertaking the following:
- Timely planning, scheduling, and execution of courses as per the AWARD workplan.
- Course materials are prepared according to AWARD’s training standards.
- Training venue requirements outlined and shared with operations and other relevant units.
- Effectively communicate with participants regarding course schedules, course requirements, pre-course activities, deadlines, and monitor progress.
- Administer course assessments, monitor progress and generate reports.
- Provide support during actual delivery by ensuring training tools and equipment are available and in working condition and trainers’ and participants’ needs are addressed.
- Provide online technical support during virtual training events by
- Configuring breakout rooms, polls, waiting rooms, registration, interpretation channels, captions, and recordings.
- Orienting trainers, staff, and participants on virtual delivery tools and best practices.
- Maintain accurate records of training attendance, completion, training and evaluation reports.
- Attend inter-unit meetings supporting training deliveries.
Curriculum Design and Content Development:
Actively participate in planning and design of curriculum for in-person and virtual AWARD courses by undertaking the following: –
- Develop learning modules that integrate synchronous (live) and asynchronous (self-paced) learning components.
- Integrate inclusive and accessible learning practices into course design.
- Develop pre-course and post-course learning activities to extend learning beyond live sessions.
- Develop facilitator guides, learner guides, workbooks, and session plans for in-person, virtual, and hybrid delivery.
- Ensure content is optimized for delivery through the Learning Management System (LMS).
- Review and update existing curricula to ensure relevance, quality, and alignment with emerging trends and AWARD training standards.
- Recommend and incorporate digital learning tools and technologies for both in-person and virtual trainings that enhance learner engagement and collaboration..
Trainers and Resource Persons Management:
Manage the contracts and terms of reference of AWARD Trainers and other training resource persons in compliance with ICRAF and AWARD guidelines by undertaking the following: –
- Support the recruitment and onboarding of trainers and other resource persons.
- Maintain and update trainers’ database, areas of expertise and qualifications matrix.
- Actively participate in the allocation of trainers to various training activities as per AWARD’s workplan.
- Help prepare training budgets related to trainers’ engagement, training materials, and tools.
- Assist in drafting, reviewing, and processing trainer contracts, service agreements, and TORs.
- Ensure all trainer contracts are signed and filed in the designated folders.
- Track contract timelines, expiration dates, and renewals of training service providers.
- Ensure compliance with HR, procurement, or donor-related requirements.
- Maintain records of trainer payments and provide the Finance Unit with relevant documentation to facilitate payment processing.
- Ensure that trainers receive training briefs, programs, training materials, travel and logistical support.
- Attend and provide feedback during training post-session debrief with the trainers.
Knowledge Management:
Manage the knowledge management of the AWARD training courses content, resources, tools and Learning Community Portal by undertaking the following: –
- Ensure physical and digital learning resources such as workbooks, slides, handouts, reports (training and evaluation), learning aids are filed and easily accessible.
- Support the development and maintenance of vibrant learning resources repositories to serve AWARD training courses
- Assist in collecting, organizing, and categorizing training materials and reports.
- Ensure consistency, quality, and accuracy of information stored in knowledge systems.
- Gather reports, analyze participants’ and facilitators’ feedback, and share with relevant units
- Ensure current virtual learning platforms and digital collaboration tools are updated, available, and accessible when required
- Assist with analyzing learning portal usage and identifying gaps or improvement areas.
- Provide support to staff in accessing or retrieving training-related materials.
Pre-course and Post-training Follow-up:
Support to develop, administer and follow up pre and post-training activities to participants by undertaking the following: –
- Customize existing pre-course activities
- Communicate pre-course activities and requirements to participants
- Administer assessments test surveys
- Generate reports
- Disseminate the reports/feedback
- Follow up on participants’ post-training requirements/expected outputs.
- Undertake continuous improvement and innovation by conducting periodic curriculum reviews based on participant feedback, learning analytics, and organizational priorities.
- Review training materials to ensure consistency, instructional quality, branding, and accessibility.
Liaison person with AWARD Training Stakeholders:
Maintain cordial working relationships with partner institutions, development partners, and other related stakeholders to ensure seamless delivery of AWARD courses by doing the following tasks:-
- Assist in facilitating communication between training partners, participants, and AWARD.
- Schedule and document meetings with stakeholders.
- Follow up on action items, requests from participants, trainers and related stakeholders.
- Maintain a contact database of key stakeholders and partners.
- Prepare formal congratulatory messages to AWARD training alumni and stakeholders for key milestones as and when necessary.
- Follow up on disputes or complaints from participants and trainers and have them addressed by the relevant units/office
Requirements

Overview
- The Finance Officer – Grants delivers high-quality financial management and reporting services for restricted grants, ensuring accuracy, compliance with CIFOR-ICRAF and donor requirements, timely support to project teams, and effective internal controls to safeguard organizational resources. The position will work closely with the Finance Unit and other units and will be based at the Bogor office.
Duties and responsibilities
- Provide financial oversight for restricted grants through budget review, expenditure verification, partner financial monitoring, reconciliation, and timely internal and donor reporting, ensuring accurate budgets, strong compliance, audit-ready records, effective use of donor funds, and sound project cash-flow management
Budget Monitoring and Control
- Maintain complete and accurate records of all project financial documentation to ensure alignment with grant agreements.
- Collaborate with Principal Investigators (PIs), project teams, implementing partners, and donors to ensure financial implementation aligns with project requirements. Clarify financial issues, answer queries, and provide updates on the budget status of the project.
- Review and verify project expenditures to ensure compliance with approved budgets and donor requirements.
- Liaise with the Program Management Unit (PMU) on Letters of Agreement (LoAs), project start-up, budget updates, and project tracking in MyTree.
Budget Planning and Updates
- Support annual and rolling budget preparation in coordination with Principal Investigators (PIs).
- Review planned staff-time allocations and ensure proper updates in the planning system (OCS Planner).
- Collaborate with project teams to plan project costs based on available funding.
- Review overall annual budgets of assigned grants to ensure accuracy and alignment with funding.
Donor Financial Reporting
- Prepare financial reports in compliance with grant agreements, donor requirements, and CIFOR-ICRAF standards.
- Prepare and submit accurate financial reports, invoices, and payment requests in accordance with the terms, schedules, and requirements of grant agreements.
- Submit the financial reports through MyTree.
- Review financial reports from Country Offices before submission for approval.
- Follow up on donor queries and feedback related to submitted financial reports.
Grant Budget Development and Amendments
- Support the preparation of budgets for new projects and grant amendments.
- Review and discuss revised budgets with PIs, budget holders, and Country Offices.
- Ensure full cost recovery, including proper allocation of overheads.
- Provide guidance to ensure budgets are accurate and compliant with donor requirements.
Grant Agreement Review
- Review the financial provisions of new grant agreements and amendments, including budgets, reporting schedules, payment terms, audit requirements, eligible costs, and foreign-exchange provisions, to ensure clarity, accuracy, operational feasibility, and compliance with CIFOR-ICRAF and donor requirements.
Internal Financial Reporting
- Prepare monthly summaries of restricted projects, including multi-year budgets and cumulative expenditures.
- Report staff-cost forecasts and allocation.
Audit Management
- Coordinate with supervisor on the selection and engagement of external auditors for donor-required project audits.
- Provide supporting documentation and respond to audit queries during the audit process.
- Review draft audit reports and partner audit reports to ensure accuracy and compliance.
Financial Operations and Monitoring
- Monitor donor receivables and payables, ensuring timely collection and follow-up.
- Review significant donor receivable and payable balances (more than USD 50,000) and provide explanations based on treasury reports.
- Inform PIs of monthly spending rates and follow up on low spending.
- Identify incoming donor funds and provide coding details to Treasury.
- Monitor actual timesheet recording and variances.
- Ensure completeness and accuracy of supporting documents, including mandatory timesheets.
- Provide financial insights and recommendations to support decision-making by project teams and management.
Implementing Partner Financial Management
- Review partner Letters of Agreement (LoAs) and budgets in coordination with Grants Management Unit.
- Monitor partner compliance with donor and CIFOR-ICRAF financial requirements.
- Analyze partner expenditures and provide insights on spending trends and variances.
- Review partner financial reports, monitor balances, and ensure collection of unused funds.
Other Responsibilities
- Perform other duties as assigned by the Senior Finance Officer – Grants, Finance Manager – Grants, and Chief Finance Officer.
- Ensure compliance with donor regulations and internal policies and proactively identify and mitigate financial risks.
- Comply with CIFOR-ICRAF occupational health and safety requirements and take reasonable care for personal safety and that of others.
- Review work prepared by the Finance Assistant and provide technical guidance and support as needed.
- Coordinate with supervisor on staff development plans.
Education, knowledge and experience
- Bachelor’s degree in accounting.
- Experience with an ERP system and familiarity with Unit4 Agresso and VisionXL are advantageous.
- At least 5 years of relevant experience.

- Strong computer skills, including proficiency in word processing, spreadsheets, database management, and other relevant office applications.
