    Project Administrative Assistant, Pharmacy

    Introduction

    Aga Khan University Hospital, Nairobi (AKUH, N) is a private not-for-profit teaching hospital that provides tertiary and secondary level healthcare services. It is one of the hospitals in East Africa accredited by the Joint Commission International from USA. The University Hospital has been providing high quality care for the people of East Africa and beyond for over 60 years.

    Reporting to the Chief Pharmacist, the successful candidate will provide administrative and clerical support for the project. S/he will assist in all project activities, documentation follow up, maintenance of updated project records, organize and prepare reports for stakeholder discussion to ensure efficient and effective accomplishment of all the administrative tasks in for the assigned project.

    Responsibilities:

    • Provide front desk customer service to public and AKU staff and ensure inquiries in relation to the project and are addressed expeditiously.
    • Receive and relay messages to relevant staff members/ external callers. Provide information to callers.
    • Perform standard administrative tasks e.g. filing, photocopying, intra-departmental communication and handling routine correspondences.
    • Participate in departmental meetings including preparing and distributing minutes and consequent follow up action items. other documentation for meetings and workshops.
    • Maintain a filing system of records and retrieving information as and when required
    • Schedule venues for meetings and workshops
    • Coordinate project activities that require internal and external communications
    • Coordinate and arrange travel faculty, staff and visitors
    • Maintaining the bulletin board to ensure update of current information
    • Providing periodic reports as and when required.
    • Ensure any Adverse event on Immunization is reported immediately using the PPB/ MoH documentation and within 24 hours
    • Ensure daily tally and documentation in project tools for vaccine usage and vaccination numbers as per target

    Requirements:

    • Bachelor’s degree in Business Administration or equivalent from a recognized institution
    • At least 2 years work experience working as an assistant to a manager
    • Should have excellent communication and interpersonal skills
    • Good computing skills with working knowledge of Microsoft Office package

    Data Coordinator, Pharmacy

    The Data Coordinator (M&E) Officer will be responsible for the design, coordination and implementation of the monitoring and evaluation, research, and learning framework of the Project. S/he will develop a systematic monitoring framework to improve the qualitative & quantitative evidence gathered by the Project and provide technical assistance to the implementing agencies, particularly in relation to monitoring, reporting and governance issues.

    Responsibilities:

    • Build the capacity of the Hospital clusters in the design of activities, indicators, measurements, baselines, monitoring, and evaluations.
    • Plan for and provide technical support to programmes/projects in assessments, designing quarterly planning and evaluations.
    • Review programmes/projects designs, quarterly and annual operational plans and proposals to ensure quality and compliance with AKU and donor standards.
    • Provide DME progress and performance reports to the cluster teams for effective decision making.
    • Disseminate DME guidelines, tools and standards to cluster and oversight teams.
    • Develop and administer performance monitoring tools to track program indicators in line with the program implementation plan
    • Assist in the development and/or finalization of the project Work Plan and keep it updated in accordance with project activities and timeframes as relevant
    • Develop the overall framework, for project M&E, for example mid-term project review, impact assessment, final evaluation, develop project Performance Monitoring Plan with relevant data collection systems
    • Review the quality of existing data in the project subject areas, the methods of collecting it, and the degree to which it will provide good baseline statistics for impact evaluation
    • Develop baseline data for each project component and for all project indicators.
    • With collaborating partners, review their existing approaches and management information systems and agree on any required changes, support and resources.
    • Produce reports on M&E findings and prepare presentations based on M&E data as required
    • Provide the Project Manager with management information she/he may require.
    • Check that monitoring data are discussed in appropriate forum and in a timely fashion in terms of implications for future action. If necessary, create such discussions to fill any gap

    Requirements:

    • Bachelor’s degree in statistics, demographics, public policy, international development, economics, or related field. Advanced certificate in M&E, statistics or economics preferred
    • Minimum of two (2) years of professional experience in an M&E position responsible for implementing M&E activities of national or international projects.
    • Experience in designing, implementing, and operating project M&E systems from project initiation to closeout stages.
    • Good moderation, facilitation, and training skills.
    • Demonstrated ability to liaise and negotiate with government and social partners.
    • Excellent analytical skills
    • Should have excellent communication and interpersonal skills

    Project Pharmacist, Pharmacy

    The incumbent will be responsible for providing quality and efficient pharmaceutical services to meet and exceed the project outputs with regards to safe handling of vaccine, cold chain management, patient safety monitoring and ensuring project outputs are always adhered to.

    Responsibilities:

    • Ensure the Vaccination centre identified is suitable for conducting vaccination ensuring patient flow and safe handling of vaccination
    • Ensure safe disposal of waste from the vaccination Centre i.e., the vaccine vials, the sharps and any other clinical and non-clinical waste
    • Ensure the vaccination centre has the staffs and resources as per best practices and MoH requirements
    • Have stakeholders’ engagement on setting up the vaccination centre
    • Ensure all vaccination documentation is per MoH Chanjo system
    • Lead the team in safe patient flow during the vaccination
    • Ensure adequate documentation of vaccine use as per MoH guidelines
    • Develop and reconcile the AKU vaccination numbers daily from Nairobi, Mombasa, Kisumu and any outreach activities
    • Ensure adherence to waste disposal as per MoH guidelines
    • Update the Project director and any other project staff of any challenges or shortcomings during the vaccination
    • Ensure any Adverse event on Immunization is reported immediately using the PPB/ MoH documentation and within 24 hours

    Requirements:

    • Bachelor of Science in Pharmacy from a recognized university

    • Demonstrate ability to keep up with Continuous Pharmaceutical Developments and Continuous Medical Education program

    Pharmaceutical Technologist, Main Pharmacy

    Responsibilities

    • Receive, verify prescriptions and dispense drugs in a timely manner within approved standards and procedures.
    • Contact the physician immediately for inaccuracy and illegibility in a prescription order, document errors and communicate them to the nursing and pharmacy staff
    • Verify expiry dates of drugs prior to dispensing medication to patients/customers.
    • Check that every label placed on the medications contains the correct patient name, drug, quantity and directions.
    • Compound extemporaneous preparations and mix certain intravenous medications as per laid down procedures.
    • Counsel patients on drug administration and use of devices for optimum wellness and recovery.
    • Receive, return and update drug credits on the system in a timely manner.
    • Deliver drug discharges to patients in the ward where applicable
    • Communicate out of stock and non-stock effectively and timely to prescriber and nurse and provide alternative choice or make arrangements to order promptly.
    • Comply and observe the environmental health and safety measures and regulations by proper handling, storage and dispensation of medications
    • Record, monitor and update the expiry list of medications in timely manner.
    • Conduct nursing floor inspections once a month for all ward stock, solutions and patient medication left behind
    • Complete documentation of Interventions, Medication errors and Near Miss, Adverse events, Medication queries, Patient complaints or any other incidents and forward to relevant office
    • Perform random medication checks daily and Monitor variance levels in your respective satellites.
    • Compile daily satellite reports.
    • Carry out regular satellite stock-take exercise.
    • Report any special indicators allocated.
    • Maintain and update personal drug knowledge data base to ensure accurate provision of pharmaceutical care of general disease states as well as specialized knowledge in the assigned area of expertise
    • Participate in educational activities and departmental meetings.

    Team Leader/ Pharmaceutical Technologist, Main Pharmacy

    Applications are invited from qualified candidates for the above position based in Nairobi Kenya.
