    Logistics Officer

    Overview

    AIR is seeking a Logistics Officer to work from its office in Nairobi, Kenya. The overall objective of this position is to provide logistical support to complex projects ongoing and in the future. The Logistics Officer will ensure that the Nairobi office reamins compliant with AIR's administrative, procurement, and travel procedures. This position is based in Nairobi, Kenya.

    Responsibilities

    The responsibilities for the position include:

    Procurement & Inventory

    • Prepare the initial documentation required for procurement as per the company Financial Manual and seek review and approvals.
    • Assist in seeking quotations from vendors.
    • Assist in doing online background check for vendors.
    • Prepare payment packages following the guidelines provided in the company Finance Manual and submit to finance for payment processing.
    • Tag all office assets appropriately.
    • Update office asset inventory records. Assist in asset disposal when required.
    • Update the procurement tracker for all procurement as required.
    • Liaise with operations team to ensure correct and timely procurement and delivery of items.

    Travel

    • Assist in visa, pass and permit applications for staff and consultants.
    • Assist in preparation of cash advance requests and travel authorization forms for project staff and consultants.
    • Assist in flight bookings and hotel bookings when required.
    • Maintain relevant records and documentation related to travel.

    Project Administration

    • Assist in review of staff and consultants expense reports.
    • Assist in periodic testing of special project equipment like satellite phones to ensure they are functioning well.
    • Assist in scanning and merging consultant contracts.
    • Liaising with the Office Administrator, assist in preparation of field missions, including packaging and labelling of items in readiness for transportation to the field within and outside Kenya.

    Qualifications

    Education, Knowledge, Skills, and Experience:

    • Bachelor’s degree in Business Administration, Project Management, Public Administration, or relevant field.
    • At least three (3) year’s work experience is required.
    • Fluency in written and spoken English is required.
    • Demonstrated computer skills, especially Microsoft Office.
    • Demonstrated organizational , time managemen t skills and good record keeping skills.
    • Ability to work well as a team in a multi-cultural environment while maintaining a high level of motivation.
    • Knowledge in international relations is preferred.
    • Experience working with NGOs and the private sector is a strong asset.

    Temporary Finance Officer

    American Institutes for Research (AIR) is seeking a Temporary Finance Associate to work from its office in Nairobi, Kenya. The Temporary Finance Associate will support the strengthening of finance systems and the maintenance of their integrity. The Temporary Finance Associate will be responsible for updating and generating timely financial information for AIR's headquarters, cashflow management, payroll administration, and smooth running of the finance department.

    This position is based in Nairobi, Kenya and supports American Institutes for Research's headquarters in Crystal City, Virginia, USA. AIR is an independent, nonpartisan, not-for-profit organization that conducts behavioral and social science research on important social issues and delivers technical assistance and capacity building services domestically and internationally in health, social development, education, and workforce to a growing roster of clients and partners. Our mission is to generate and use rigorous evidence that contributes to a better, more equitable world.
    As a temporary position, the Finance Officer will be employed for 4 months.

    Responsibilities Include
    Responsibilities

    Vendor Payments/Accounts Payable

    • Assist in preparation of payment vouchers and Journal Vouchers. Identify the proper account codes for each transaction.
    • Compile relevant support documents for each payment.
    • Coordinate with the operations team on pending payment packages.
    • Ensure timely upload of approved payment packages by linking them with relevant payment vouchers/Journal Vouchers.
    • Assist in preparation of other documentation ahead of the external audit.

    Project Support

    • Compile field payment documents and field expenses.
    • Liaise with the field coordinators and staff to ensure timely submission of expense reports.
    • Assist in scanning and reviewing the field casuals paper timesheets.

    Travel Support

    • Ensure timely submission of travel authorization forms/activity advance request forms.
    • Co-ordinate with staffs for timely submission of expense reports/relevant support documents.

    Qualifications

    • Bachelor's degree in accounting, finance, or relevant field.
    • 3 years of professional work experience in accounting, finance control, or related work.
    • Partial CPA preferred.
    • Fluency in written and spoken English is required.
    • Experience with digital accounting systems, such as QuickBooks and Microsoft Office packages.
    • Excellent organizational skills, attention to detail, and understanding of accounting and financial reporting principals and practices.
    • Good with numbers, figures, and analytical acumen.
    • Good knowledge of internal control systems and experience with accounting and auditing tools is an asset
