    Senior Finance Officer

    Key Responsibilities

    Finance Management

    1. Review and verification of financial transactions/activities/documentation for accuracy, appropriateness and completeness and ensure full compliance of financial services and transactions with donor rules, regulations, policies and recording and reporting systems.
    2. Prepare projects' monthly cash flow projections MCMP ensuring timely requests for replenishment of the project bank account.
    3. Prepare bank reconciliations, debtors and creditors reconciliation.
    4. Timely posting of data on Microsoft Navision accounting system.
    5. Ensure proper book keeping maintaining accounts payable and accounts receivable.

    Grant Management

    1. Provide support in monitoring adherence with the terms and conditions of grant agreements.
    2. Ensure grants awarded are in compliance with DFID and other donor regulations.
    3. Assist in the review and updating of operational policies and procedures for procurement and contracts/grants management
    4. Provides support on contracts and subcontracts management from the pre-solicitation stage through completion or closeout**.**

    Budgeting and budget monitoring

    1. Take part in proposal development and support the team in budget preparation.
    2. Ensure proper budget implementation to ensure adherence to budget lines.
    3. Maintain a 4% budget variance

    Reporting

    1. Prepare projects’ budget variance reports and submit to the Finance and Grants Manager by 26th of every month.
    2. Prepare monthly financial reports (MFRs) for the project and submit to Finance & Grants Manager by 2nd of every month.
    3. In accordance with donor requirements, create or maintain procedures for capturing and publishing monthly, quarterly and annual project technical and financial reports.
    4. Ensure reports are sent to the donors on a timely basis.

    Audit and Audit Processes.

    1. Facilitate donor reviews and resolve any queries arising from the review.
    2. Facilitate annual project audits for the region where applicable.
    3. Prepare audit schedules for the region’s projects in preparation for the annual organizational audit, ensure completeness of all supporting documentation and facilitate resolving of any queries arising from the audit.

    Desired Education and Training

    1. Bachelor’s degree in Finance/Accounting or other business- related degree.
    2. Completed CPA (K)/ACCA.
    3. Certificate in Project Management

    Experience and Abilities

    1. 5 years working experience with a minimum of 2 years in a supervisory or management position.
    2. Ability to set priorities, organize time efficiently and work independently on several tasks simultaneously.
    3. Demonstrated ability to work in a team with other finance, grants and accounting staff.

    Knowledge and skills

    1. Excellent computer knowledge in Microsoft Navision
    2. Strong financial reporting skills
    3. Strong analytical skills**.**

    Finance Intern

    Job purpose: 

    He/ she will support the finance team in ensuring that proper finance and systems and processes are established/strengthened at the HQ and policies and procedures adhered to.

    Key deliverables

    • Ensured proper bookkeeping, maintaining accounts payable and accounts receivable
    • Prepared bank reconciliation, debtors and creditors reconciliation
    • Filed payment vouchers ,receipts, stamping them paid and following up on any issue raised during internal audit
    • Assisted in budget preparation and ensured its proper implementation to minimize variance
    • Processed payments, released cheques and ensured creditors are paid on time
    • Received financial reports from the field and reviewed prior posting and payment processing
    • Ensured that all procurement procedures and policies are adhered to
    • Ensured petty cash and working advances are well accounted for before presenting to project accountant for processing
    • Processed statutory deductions and ensured compliance to the various bodies e.g. KRA, NSSF, NHIF, Pension etc.

    Qualifications, Skills and Experience:

    • Degree in Relevant Business Field.
    • At least CPA II qualification
    • A minimum of 6 months experience in any organization preferably in the finance or accounts department will be an added advantage

    Knowledge, Skills and Abilities

    • Computer literacy skills especially in MS Excel.
    • Proven ability to multi-task and process information within the timelines.
    • Excellent Communication Skills
    • Proven ability to solve problems independently with minimal supervision.
    • Conscientious with an excellent sense of judgment.
    • Possess the ability to work simultaneously on multiple tasks and meet critical deadlines.
    • Willingness and ability to work effectively with a wide variety of people.
    • Working knowledge of Navision will be an added advantage
    • Strong ability to work multi task and meeting expected deadlines.
