    Research Specialist, WHEELER, Centre of Excellence in Women and Child Health (CoEWCH)

    Job Summary

    Reporting to the Principal Investigator, the successful candidate will be responsible for contributing to the mission and vision of the Centre of Excellence in Women and Child Health by providing oversight and coordination of the WHEELER project. This position is a short-term contract for 6 months and will be based at the Kenyan Coast (Mombasa or Kilifi).

     Responsibilities

    • Plan and coordinate research activities with respect to the different qualitative and quantitative research components of the project in consultation with project PIs
    • Liaise with different county offices and staff to explain the project design and aims and obtain clearances to conduct research within the county
    • Be in charge of project resources and account for them to the project PIs
    • Prepare detailed notes on different aspects of fieldwork activities and other serendipitous occurrences in the field that have a bearing on the research findings but which may not be captured in the research tools
    • Liaise with the project PI in identifying and recruiting local staff that will be engaged in research activities such as mobilisers for FGDs
    • Anticipate and identify problematic events in the field that may hinder successful conduct of the research in the county and discuss with project PIs in order to find solutions. Set up monthly calendar meetings for the project team
    • Write study meeting minutes and follow up on the action points. Open and maintain study file (soft and physical)
    • Plan for the in person research team meetings, and participate in scheduled donor meetings
    • Participate in recruitment and onboarding of the study staff
    • Support in setting up the e-health centers: Visit the proposed sites for the eHealth centers in Mombasa and Kilifi, and raise requisition for the purchase of the equipment needed for the eHealth centers
    • Keep a log of the milestones achieved based on the research plans; keep tabs with the expiry dates of the various ethical approval documentation and licences; and prepare and submit documentation for ERC and NACOSTI license renewal
    • Develop activity plans in conjunction with the PI and the field team: Prepare requisite documents for the field activities, make contact with the county and sub county administration for approval of the study to be implemented, manage and maintain all participant binders, study binders, and documentation for the study, develop concept notes and study site presentations targeting relevant knowledge sharing platforms/events etc
    • Attend educational lectures and conferences, take part in the planning of the study schedule with the study PI, and raise requisition for the digital devices for data collection
    • Ensure proper handling, recording and storage of project data for onward forwarding to the PIs of the project
    • Provide input in development of the study’s data management plan

    Requirements

    • Have a Master’s degree in Health Care Administration, Business Administration or any related Health or Business related fields
    • Must have not less than three (3) years of experience in a similar position
    • Knowledge of budgeting, bookkeeping and reporting is key for this role
    • Have demonstrable experience working with a rigorous research program such as the CoEWCH

    Other key skills:

    • Proficiency in Word, Excel, PowerPoint, or other similar tools
    • Excellent written and verbal communication skills
    • Fluency in English and Swahili, and flexibility
    • Be self‐motivated and highly organized
    • Be able to work independently, complete tasks, work with others to problem solve, be detail-    oriented, and able to multi-task
    • Have a positive outlook

    Admin Assistant, Centre of Excellence in Women and Child Health (CoEWCH)

    Job Summary

    This is a junior level, clerical position. The position is required to provide clerical, logistical and administrative support to the Centre of Excellence in Women and Child Health; while supporting the Manager of the Centre of Excellence and all the Project Managers who work under the Centre of Excellence in Women and Child Health, AKU. The position is based in Mombasa.

    Responsibilities

    Handle Correspondence

    • Receiving incoming mail and rerouting to appropriate project staff;
    • Dispatch outgoing mail and parcels via courier or otherwise; and
    • Maintaining a log of all incoming and outgoing correspondence.

    Meetings Support

    • Book meeting space (Virtual & physical) for various project teams when needed; and
    • Organize for refreshments when needed by project teams.

     Transport Management

    • Receiving all ground transport requests and facilitating via transport company;
    • Raise respective project transport requisitions as guided by project leads;
    • Maintain a log of transport requests; and
    • Sending of CoEWCH vehicles mileage reports for fuel replenishment.

     Office Maintenance

    • Ensure adequate office supplies;
    • Maintaining a stock record of all project supplies;
    • Reordering of stocks for the projects; and
    • Report any office challenges.

     Asset Management

    • Maintaining an asset register for CoEWCH Assets;
    • Tracking on the movement of assets and inter project transfers; and
    • Issue and receipt of project assets to CoEWCH staff.

     Other Duties

    • Maintaining a minimum petty cash float for CoEWCH activities;
    • Handling project supplier queries at the local level; and
    • Receiving deliveries.

     Requirements

    • Diploma in Business Administration/Communication or Supply Chain Management
    • At least 3 years of relevant experience in similar work
    • Knowledge of the Aga Khan Development Network Systems, Policies and Procedures will be a distinct advantage
    • Proficient in computers applications, particularly MS Office Suite
    • Any other relevant training in office administration will be a distinct advantage
    • Very good written and verbal communication skills
    • Ability to relate well with team members
