    Office Clerk

    Purpose of job

    To perform various administrative and clerical tasks to support Send a Cow office in Migori. The office clerk will work diligently to help maintain smooth office operations.

    Office Clerk Job Responsibilities

    Secretarial duties

    • Organize and schedule appointments for project staff
    • Receive, record & distribute mails, correspondence memos, letters, faxes and forms
    • Assist in the preparation of regularly scheduled reports
    • Develop and maintain a filing system in the office.
    • Support field data entries whenever necessary.

    Front office management

    • Manage front office operations that preserve and enhance the image of Send a Cow
    • Maintain contact lists.
    • In liaison with the main SACK office book travel arrangements for staff, donors and other project visitors and offer other logistical support.
    • Act as the point of contact for internal and external clients to the office.
    • Provide prompt feedback from management, stakeholders etc. within the office and to field staff.
    • Ensure proper arrangement and coordination for office Security.
    • Ensure periodic maintenance to the office building whenever necessary

    Financial and general administration support

    • Manage office petty cash, maintain a petty cash register, record all transaction in ledger book / analysis book, reconcile expense reports and submit.
    • Receive and facilitate the processing of staff finance requests.
    • Support the project coordinator to update and maintain office policies and procedures.
    • Receive and file staff time-sheets.
    • Liaise with management and senior administrative assistant to handle requests and queries from senior managers
    • Ensuring office utilities payments – telephone and water bills are done within the timelines.
    • Management of the organization assets and consumables.
    • Maintain up to date asset register.
    • Maintain an inventory of all assets procured by the project in accordance with SACK requirements.
    • Order, procure where necessary and maintain office supplies
    • Administer Alert insurances and arrange insurance cover for office vehicles and motorbikes as needed.
    • Book for Inspection / Evaluation for the Vehicles and Motorbikes booked at the required time from AA Kenya for Insurance.
    • Any other duty as may be assigned by the supervisor.

    Qualifications for the Office Clerk Job

    • Minimum of diploma in business management/administration & CPA part 2 or equivalent from recognised institutions
    • Minimum of 2 years’ experience in a similar position and generally well rounded in various office duties.
    • Working knowledge of office equipment
    • Thorough understanding of office management procedures
    • Excellent organizational and time management skills
    • Demonstrate a high level of initiative and attention to detail
    • Experience with handling petty cash

    Project Coordinator

    Purpose of the job

    To lead an effective and coherent project team to deliver the Kakrao Livelihoods Project in Migori County efficiently and effectively in line with SAC’s Vision, Mission, Cornerstones and Christian Values.

    Project Coordinator Job Responsibilities

    • To line-manage and provide leadership to the project team by supporting and developing all members of the team and partners for effective project delivery
    • To ensure all the project activities are properly planned, adequately resourced and implemented according to agreed timelines to a high standard, in line with Send a Cow’s Cornerstones and development approaches.
    • To build SACK and SACK partners’ staff capacity through coordinating trainings and providing coaching and advice to deliver a quality project with timely and efficient budget utilization.
    • To liaise/work closely with programme funding officer and programme manager to ensure the project is conducted in line with donor requirement
    • Timely and accurate monthly and other ad hoc reporting to the Programme manager
    • To work closely with all SACK staff and partners on the reports that they submit and ensure that accurate and complete reports are sent on time to SAC, donors and other stakeholders.
    • Attend and contribute to SACK staff meetings and SAC All staff meetings when required
    • Undertake other assignments and delegations given by Programmes Manager and/or the Country director as required

    Qualifications for the Project Coordinator Job

    • Bachelors degree (Bsc or BA) in social sciences , Agricultural Extension, Food Security or other related fields from a recognized University
    • At least three years’ relevant experience after bachelors degree in programme and/or project management
    • Experience of developing and maintaining effective programme with monitoring and evaluation systems in place
    • Experience of project proposal and budget development and effective report writing
    • Understanding donor financial requirements and grant compliance management including expenditure and budget variance monitoring as well as adherence to specific grant condition
    • Experience of working with and giving advice to partner organizations and review of project information prepared by partners and providing feedback and follow up
    • Experience of developing people through supporting, motivating, coaching and mentoring of staff with different discipline, cultural, religious and gender background
    • Experience of organizing and conducting trainings and workshops at different levels
    • Experience of learning from practice through programme monitoring, reviewing and evaluating.
    • Licensed and experienced motorcycle rider

    Community Health Officer

    Purpose of job

    To lead the development, coordination and implementation of Kakrao Livelihoods project community health component aimed at prevention, care and support, and impact mitigation of HIV/AIDS within the community through education building networks/linkages and other interventions.

    The community health officer will lead in outreach activities, provide day to day HIV and AIDS programmes management, and serve as a specialist on HIV and AIDS within the project.

    Community Health Officer Job Responsibilities

    • Develop HIV and AIDS awareness, prevention and management strategies specific to the communities in Kakrao Migori County.
    • Develop and/or participate in the assessment of related policies; and provide specialized consultation services to individuals and organizations on HIV and AIDS related issues.
    • Provide information and training to other SACK staff, community groups and health professionals on HIV and AIDS policy issues and policy development.
    • Develop and evaluate protocols, procedures and educational materials for use in the project consistent with Ministry of Health guidelines and policies.
    • Provide health education to individuals and groups within the project at risk for HIV infection.
    • Serve as Send a Cow Kenya contact for external agencies and groups regarding HIV and AIDS programmes, and disseminate information as appropriate.
    • Establish and develop clear and effective procedures and a good working relationship between SACK and the community groups in the project area.
    • Coordinate project community health activities with other relevant community-based organizations in Kakrao.
    • Organize, coordinate and facilitate provision of HIV counseling and testing services
    • In partnerships with MOH provide information on testing of clients as appropriate.

    Qualifications for the Community Health Officer Job

    • Diploma in Nursing, Public Health, Social Sciences or other related field from a recognised institution.
    • At least three years relevant experience.
    • Experience of preparing, monitoring budgets and work plans.
    • Working knowledge of the function of and referral criteria of health and advocacy agencies.
    • Working knowledge of laws related to HIV and AIDS.
    • Experience in counselling, training communities, groups and individuals on HIV and AIDS issues.
    • Experience working with diverse agencies to implement community health interventions including MOH and others.

    Project Facilitator

    Purpose of job

    To implement Send a Cow Kenya activities in the field efficiently and effectively according to objectives of the Kakrao sustainable livelihoods project.

    The Project facilitator will be on the forefront of project implementation, working daily and directly with farmers, farmers groups and other stakeholders in the project area.

    He/she will establish and maintain relationships with Farmer Groups, liaise with stakeholders and spearhead capacity building to the beneficiaries.

    Project Facilitator Job Responsibilities

    • Sensitize and mobilize communities participation in the project to undertake all planned activities
    • Work with participating groups to formulate and prepare quarterly and monthly work plans.
    • Build the capacity of peer farmer trainers (PFTs) and collaborators to deliver farm systems, farm enterprise, gender and social Development (GSD) training.
    • Facilitate internalization farm system principles, and SAC core values among communities, collaborators and
    • other project staff.
      Participate in implementing follow- up, training and training plans to the selected farmer groups or associations and communities.
    • Reporting on follow up, trainings, support provided to groups and communities, monitoring and evaluation activities.
    • Attend and contribute to SACK staff meetings and SAC All staff meetings when required
    • Any other duty as may be assigned by the supervisor.

    Qualifications for the Project Facilitator Job

    • Diploma social science, Agricultural Extension, Food Security or other related fields from a recognized a recognized institution
    • At least three years’ relevant experience
    • Experience of working directly with communities at grassroots level
    • Experience of developing and maintaining effective programme with monitoring and evaluation systems in place.
    • Understanding project objectives and translating them into activities
    • Experience of effective report writing
    • Experience of working with multiple partners and giving advice to partner organizations and review of project information prepared by them and providing feedback and follow up
    • Experience of developing people through supporting, motivating, coaching and mentoring.
    • Experience of organizing and conducting trainings and workshops at community level
    • Experience of learning from practice through programme monitoring, reviewing and evaluating.
    • Licensed and experienced motorcycle rider least 3 years riding experience.
