    Program Administrator

    Job description

    Are you passionate about administration and events planning, Are you a highly organized and efficient professional with a keen eye for detail? Are you skilled in program administration and events coordination?

    Main Objective:

    To provide logistical and operational support to LVC leadership and the wider church in order to help ensure a smoothly functioning organization.

    Responsibilities and Duties:

    • Administration
      • Provide general oversight of all LVC activities, manages the day-to-day operations and assures a smoothly functioning church in compliance with the LVC Constitution, Bylaws and Policies and Procedures.
      • Work with the Treasurer and Finance Elder to ensure compliance with all requirements for financial budgeting, tax payments, reporting, and audit in accordance with the LVC Bylaws, AVC Constitution and Laws of Kenya.
      • Oversee management of the ministries rota in consultation with the Ministry Leaders (and Elders if necessary).
      • Produce the weekly Order of Service from the ministries rota, contact appropriate Ministry leaders to fill any gaps, and email the final Order of Service by Friday each week.
      • Develop and maintain strong administrative systems that ensure consistent and effective management of member information, Children and Youth attendance, registration of new members, child protection procedures, and teacher and volunteers files.
    • Logistics
      • Provide support on matters of security logistics for LVC, together with the Elders and other security team members.
      • Plan logistics and provide general oversight of all current LVC activities in order to prepare for a smoothly functioning Sunday service.
      • Provide logistical and administrative support for all Children and Youth training events including Security training and First Aid training for Teaching Assistants.
    • Communication
      • Provide support to the Elder and Ministry Leaders responsible for Community ministries.
      • Manages communication with LVC members through the weekly newsletter, social media, website, etc.
      • Manage external communication and marketing as required.
      • Attend and take minutes at the monthly LVC Elder Team meetings. However, the Program Administrator shall not be an Elder, and shall not have voting rights at the meeting.
      • Manage communications for Children and Youth ministry - including, but not limited to, church announcements, newsletter features, social media engagement and internal communications.
    • Event planning
      • Organise and coordinate church events such as baptism celebrations, carol services, and other community or outreach events.
      • Ensure all required catering (meals, snacks, etc), equipment (audio, visual, etc) and supplies (lesson plans, teaching aids, stationery, crafts, Bibles, etc) are available in a timely manner for all Children and Youth activities.

    • Committed Christian, demonstrating spiritual maturity from a biblical worldview
    • The position requires an enjoyment of administration, logistics, communication, and event planning, and not merely an ability to do such tasks
    • 2 - 10 years experience in a similar administrative role
    • Has a servant’s heart, willing to help others where possible
    • Possesses strong administrative skills and is good at managing details
    • Self-motivated and well organized, with the ability to work independently
    • Open to honest, critical, and direct feedback with a willingness to grow as a team player
    • Excellent and time-sensitive communication and writing skills, with attention to detail
    • Fluent in spoken and written English
    • A commitment to good interpersonal relations, cross-cultural ministry and team-building
