    Project Coordinator

    Reports to : Associate Director ( Girls Empowerment Program)

    Terms : Six Months contract

    Position Overview:

    This role will focus on ensuring that all activities relating to the production of handbags are completed and deadlines met. This will require the coordinator, based in Nairobi but making frequent visits to Kakuma, to work closely with the Production Consultant, artisans in Kakuma and Kalobeyei, as well as partner organization staff, especially UNHCR Kakuma, and to communicate regularly with RefuSHE staff (Nairobi & Chicago

    Duties & Responsibilities:

    • Responsible for the overall planning, coordination, implementation and reporting of the project and ensures that all tasks appertaining the roll out of the Mifuko project are well executed and within the defined project strategies & approaches
    • Ensures that all the activities being implemented are conducted within the set guidelines and processes that enhances ownership by the refugee artisans, participation and contribution for sustainability.
    • Ensures strict adherence to RefuSHE’s production standard s, policies and procedures.
    • Ensures that adequate systems are put in place for the smooth running of the project and that refugee artisans are well trained on the production process.
    • Supports the team in designing and rolling out new/innovative ideas aimed at boosting the high delivery/execution of the project.
    • Supervise the Project Consultant by offering support on the project, setting objectives, and ensuring that the deliverables are met.
    • Ensures that resources set aside for the execution of the Mifuko project are optimally utilized and properly accounted for.
    • Spearheads the process of actualizing the realization of the project objectives and ensuring that all project successes are documented and setbacks managed and reported.
    • Plans and allocates refugee artisan duties i.e. allocating tasks and set production targets to ensure timely, quality and accurate completion of production of the handbag collection, while at the same time, ensuring thorough adherence to RefuSHE’s established production methods and standards.
    • Maintains an up to date production record for onward transmission to the Associate Director and the Country Director and by extension, contact persons at RefuSHE.
    • Oversees the production process in a bid to ensure the effective and efficient utilization of resources to avoid wastage.
    • Works closely with the RefuSHE team in addressing capacity gaps identified during the production process and at the same time, ensures that capacity strengthening actions respond to the existing gaps and that the desired results are realized.
    • Supports the Project consultant in administering training to the Refugee artisans/ beneficiaries and ensures that the same is structured and responds to the needs of RefuSHE’s persons of concern.
    • Organizes for regular meetings with the team on the ground to review progress, address emerging issues, and plan for subsequent actions.
    • Continually communicates with the RefuSHE team at the head office on project process, challenges and support required to deliver on the project objectives.
    • Takes ownership of the project to ensure that a high quality production process is adopted and that the same is in line with the standards set out by RefuSHE.
    • Conducts routine spot checks on the project and the team on the ground to ensure compliance with RefuSHE’s set standards.
    • Responsible for timely, weekly, monthly and end-of-project reporting to the RefuSHE team.

    Knowledge, Skills & Competencies

    • Degree in Project Management or other similar field and 3-5 in SGBV-related position
    • Demonstrated experience working with refugees, preferably in a camp setting, on SGBV activities
    • Ability to live and work in Kakuma, with travel to Nairobi as needed
    • Knowledge of Outlook email and communication platforms, such as Skype & WhatsApp
    • Excellent interpersonal and communication skills.

    Production Consultant

    Terms : Six Months contract

    Position Overview:

    Work closely with the Project Coordinator, refugee artisans (in Kakuma) and the RefuSHE artisan collective team in Nairobi in the production of the handbag collection while at the same time, ensuring that the quality, timely production of the handbag collection is not compromised.

    Duties & Responsibilities:

    • Organizes for and facilitates training activities for refugee artisans, which are geared towards enhancing the production of signature, refugee-made product lines that will enable current and future refugee artisans in Kakuma to make their contributions and economically benefit from the proceeds of the same.
    • Imparts the requisite skills and knowledge that will ensure all engaged refugee groups build transferable group development, management and leadership skills necessary to successfully carry out a production process, and that they are empowered to apply this learning across their lives.
    • Builds refugee artisans’ understanding of product development and production and to set-up sustainable production systems that enables them to meet orders that pass quality assurance standards.
    • Device and roll out innovative ways of production geared towards improving the livelihood capacity of vulnerable refugees who face higher risk of SGBV.
    • Provide the technical production advice in a bid to ensure the effective and efficient utilization of resources to avoid wastage.
    • Provide a technical advice on the maintenance of all production equipment so as to reduce breakdown and ensure good working order.
    • Creates and maintains effective liaison with RefuSHE’s procurement department to provide them with information on inventories and ensure timely delivery of materials.
    • Keep abreast with latest production/market trends and identify ways in which the same can be incorporated by the refugee artisans as they go about the production activities.
    • Initiate and promote safe practices in the production process and ensures compliance with RefuSHE’s health and safety standards.
    • Initiates and support continuous production improvement programs.
    • Prepares comprehensive daily and monthly reports (to RefuSHE), detailing the production rates, any gaps identified and possible solutions that can be applied in sealing these gaps.
    • Prepares a comprehensive post-project summary to RefuSHE.

    Knowledge, Skills & Competencies

    • Degree in Textile Design or Fashion Design.
    • 2-3 years’ experience in textile production and workshop management.
    • Demonstrated ability to work with artisans and/or cooperatives, and implementing quality control measures
    • Ability to travel to Kakuma as needed
    • Experience with raw material sourcing in Kenya
    • Sensitivity to working with refugee populations
    • Excellent Interpersonal and communication skills
    • Ability to keep abreast with emerging trends in textile production and market demands.
    • Knowledge of Outlook email and communication platforms, such as Skype & WhatsApp.

    Finance Manager

    Reports to : Country Director

    Terms: Two years renewable

    Position Overview:

    The Finance Manager will work under the leadership of the Country Director. S/he is responsible for financial analysis, planning, and oversight to support effective financial management and implementation of Heshima Kenya, Kenya Country operational budget and aligned strategies and policies. He or she will oversee all aspects of financial management, including financial controls and systems implementation, budgeting, expenditure tracking, and financial reporting and accounting. The individual will be responsible for the management of funds in such a manner as to maximize operational effectiveness and efficiency while minimizing risk, and ensures that an adequate control structures, policies, procedures and systems are in place over the organization funds. He or she will conduct financial analysis in areas such as forecasting, budgeting, engaging in cost reduction analysis, and reviewing operational performance. The Finance Manager will oversee and work as the internal auditor for Heshima Kenya, while providing guidance to staff, and will provide leadership in financial reporting, annual budget planning, external audit preparations and assessment processes. S/he reports directly to the Country Director and is a member of Heshima Kenya Core Senior Management Team.

    KEY ROLES

    • Form close working relationship with the Country Director, other senior staff and Kenya Board of Directors
    • Play a role of financial advisor to the Country Director and senior managers as well as the Board of Directors on sound financial management and accounting strategies to optimize Heshima Kenya financial performance and strategic position
    • Overall control and responsibility for all financial aspects of the Heshima Kenya financial strategy at the same time the job holder will be analyzing figures and implement recommendations based on the findings for the best outcomes
    • Manage and lead a team of Finance Officers and Senior Accountant to smoothly and timely undertaking of month end and year end procedures, annual budgeting and reporting, Maintain excellent communication and synergy between finance function and staff at all levels within the other functions and help them to plan, set targets, and to create and manage their own budgets
    • Maintain all financial systems identifying areas that require improvements and implementing necessary changes to support smooth programs implementation
    • Responsible for HK financial accounting function at the Kenya Country operation
    • Participate fully to the development of HK strategies across all functions of the organization business challenging assumptions and decision-making as appropriate and business drivers
    • To ensure robust financial systems that are compliant and support current activities and future financial growth of Heshima Kenya
    • Provide leadership to the finance team through couching and mentorship cultivating high sense of integrity, responsibility, diligence, honesty and team work
    • Work closely with HK Head Office Director Finance and Operations and Grants Manager to register all existing grants and new ones, and also monitoring burn rates within Kenya operation and other requirements as stipulated in the various LOAs. Must keep the CD well updated on the same.
    • Work closely with HK Head Office Director Finance and Operations and Grants Manager to ensure quality and timely submission of all donor reports
    • Works closely with the CD and Director of programs in ensuring timely annual program planning and budgeting processes, review and approvals by the Kenya Board of Directors.
    • Presents monthly and annual accounts to the CD for review and approval and submits the same to HK Head Office and the Kenya Board of Directors appropriately.
    • Responsible for the HK ultimate cash management systems and policies and monitors individual program investment rates (budget burn rates) in conjunction with the Director of programs ultimately advising and supporting programs/project managers to effectively and efficiently provide timely services to HK Persons of Concern
    • In conjunction with the CD, develop Heshima Kenya Finance Manual and aligned best practices and operationalize the same
    • Ensures that the regulatory requirements of all statutory bodies are met
    • Establish high level of credibility and manage strong working relationship with internal, external customers and partners
    • Supervise preparations of month end accounts and statutory returns
    • Ensure the completion of bank and balance sheet reconciliation
    • Manages the external audit process by liaising with the auditors to ensure all documents and other requirements for smooth audit processes are in place
    • Ensures both external and project audit recommendations are implemented in a timely manner
    • Oversee end of month and year financial reports and aligned statutory accounts
    • Preparation of Heshima Kenya monthly and quarterly cash forecast in consultation with director of programs and program managers with subsequent approval by the CD before submission to the HQ

    THE IDEAL CANDIDATE

    • Minimum of Post-graduate degree in Business Administration, Bachelor degree in accounting or finance, and CPA- K qualifications is a must have,
    • Duly registered and active member of an accountancy body or holder of an equivalent qualification.
    • Must have at least 5 years’ experience in financial management for large and complex projects in medium and large institutions (preferably in private institutions or INGOs) with strong experience in fund management and ability to monitor fraud and abuse of financial resources
    • Highly committed to organizational vision, mission and values
    • Demonstrates astute, is articulate and technically strong, dynamic, insightful and influential leader with ability to operate at both strategic and operational levels
    • Ability and flexibility to handle high levels of pressure to meet very strict deadlines and critical decision making
