    Volunteer Social Workers

    Job Description

    Ref No HRTK/V-S/8/2018

    Reporting to: Head of Field Office

    Job Summary: 

    HIAS seeks to recruit a Volunteer Social worker who will assist in provision of social interventions and assistance to the most at risk and vulnerable refugee clients and children.

    The social workers will be required to conduct through assessments and case management including follow up to ensure clients and children are receiving the services allocate. They will be required to track the impact of the assistance provided to clients and children.

    Main Duties & Responsibilities

    Case work and management

    • Assist in identification of refugees in need of social support  (food , clothing, transport) by conducting social assessment, reviewing available assessment data on food and nutrition and If necessary, initiate home visits/ further assessment on key social factors relevant to food and nutritional support services in line with national and International standards and guiding principles by UNHCR, IASC, SPHERE Project WHO among others  and report to the Counseling Psychologist
    • Assist in the social assessments and keep track of socio-environmental risks faced by refugees to ensure mitigation of risks, identify, assess and compile assessment reports for PLWD, ELDERLY, WAR, SHH, GBV, SGBP and SVT, prepare GBVIMS and UNVFVT memos.
    • Assist in outreach and community dialogue activities on issues related to Sexual Gender Based Violence and other persons with specific needs
    • Assist in conducting referrals of vulnerable refugees to partner agencies and follow up with clients to facilitate access to external services.
    • Prepare summaries for presentation in psychosocial panel, effect subsequent panel decisions and enter data into data base, give feedback to refugees
    • Monitor to ensure social assistance is reaching out to vulnerable refugees
    • Provide basic counseling and or psycho-education to refugees
    • Open files for all clients (soft and hard) and ensure that case management is in line with HIAS SOPs and other sector standards

    Community outreach and community activities

    • Assist in conducting awareness and sensitization campaigns in the communities
    • Assist in assessing, identifying and analyzing community sensitive intervention geared towards building resilience and self-reliance
    • Conduct support groups, committee meetings and participate in community forums
    • Establish and maintain networks with existing community structures and other partners for referral and networking purposes

    Reporting

    • Provide weekly and monthly reports and data to counseling psychologist and other technical officers highlighting individual performance, progress against targets  and client needs as instructed by the counselling psychologist
    • Prepare a success story quarterly for purposes of web updates and fundraising

    Program development and Management

    • Attend regular staff meetings, trainings and other meetings as required and ensure regular personal development and supervision
    • Assist in the organization and facilitation of capacity building and staff development activities e.g. workshops, trainings, or information dissemination on issues relates to persons with specific needs

    Perform other related duties as assigned

    Qualification Required

    • A University Degree in Social Work, Community Development, Gender and Development Studies
    • At least 2 years working experience in the field of Social Work.
    • Experience in working with an NGO that deals with refugees will be an added advantage.

    Skills & Competencies

    • Knowledge in UN Convention on the Rights of the Child, prevention and responses to sexual abuse
    • Experience in capacity building including facilitation of community based training and awareness raising
    • Good knowledge of Nairobi and its environs
    • Strong interpersonal and communication skills
    • Knowledge of Computer Applications
    • Working experience with refugees an added advantage.
    • Ability to work in a demanding and high pressured environment

    Counselling Psychologist Volunteers

    Job Description

    Ref No HRTK/V-CP/8/2018

    Duration: 6 Months

    Reporting to: Counselling Psychologist-Head of Field Office

    Vacancy Description:

    HIAS seeks to recruit volunteers for the position above who will assist in the provision of counseling and other psychotherapeutic interventions to vulnerable and at risk refugee clients, including those who have undergone emotional and psychological distress as well as those with mental health challenges impairing their normal functioning. HIAS operates field offices in Kayole and Eastleigh, with operations in Kawangware where the appointees will be placed depending on the need.

    Main Duties and Responsibilities

    • Provide individual and group counseling services and other short term therapeutic services to refugees referred to the field office and keep continuous counseling notes
    • Conduct psychological assessments and Mental Status Examinations and prepare and submit the reports to the Counselling Psychologist
    • Assist in referring clients for provision of social assistance and financial assistance for food, transport, clothes and other material assistance
    • Assist protection officers in organizing and mobilizing for committee meetings, dialogues and other activities.
    • Ensure efficient case management, documentation and filing at field level
    • Assist in the follow up and monitoring of all referral cases and ensure timely turnaround of assessment reports and other interventions.
    • Assist in preparation of timely, quality and comprehensive reports for official work done
    • Perform other related duties as assigned

    Required Qualifications

    • A Degree in Counseling Psychology from a recognized university
    • Have at least one year of training experience Skills and Competencies
    • Experience in trauma counselling
    • Ideal candidate should have a keen awareness and a good knowledge of psychosocial issues and the complexities of working on these issues
    • Strong analytical and report writing skills and proven ability to conduct psychological assessments
    • Good team player with excellent cross-cultural interpersonal skills
    • Proactive and able to work under minimal supervision while exercising diplomacy, flexibility and assertiveness
    • Ability to confront and discuss sensitive issues with respect and able to uphold high standards of confidentiality
    • Knowledge of Computer Applications such as MS-ACCESS, MS-EXCEL and MS WORD
    • Experience working with children and child therapy, with good knowledge of child rights and protection is an added advantage
    • Knowledge of refugee protection and assistance will be an added advantage

    Reliever Driver / Dispatch Officer

    Ref No HRTK/RD/8/2018

    Reporting To: Administration and Logistics Manager

    Job Summary: The reliever driver will be required to provide effective transport facilitation to staff and clients in order to attain the objectives of the organization.

    This position is on a temporary basis, as the person will be filling in for the drivers/dispatch officers who are not available because of either; vacation leave, illness or busy schedules.

    Main Duties & Responsibilities

    • Drive vehicle for official travel and business, or as requested.
    • Maintain high standard of service to both internal and external guests.
    • Ensure punctuality and safe transport
    • Observing the road and traffic laws and regulations of the Country.
    • Ensure that safe driving practices are adhered to including local driving codes and internally agreed standards.
    • Ensure vehicle is kept clean, tidy and in good working condition at all times
    • Ensure vehicle is kept secure at all times
    • Ensure vehicle is given regular/day-to-day maintenance checks: check oil, water, battery, brakes, tyres, etc.
    • Ensure vehicle repairs are carried out properly by official manufacturers specifications
    • Arrange for other repairs, prepare vehicle spare parts inventory
    • Prepare and submit vehicle monitoring report, including records of vehicle operations, maintenance, expenses, mileage as required
    • Log official trips, daily mileage, gas consumption, oil changes as required.
    • Provide assistance to the Operations Manager and other office staff in the time working at the office, in tasks including but not limited to photocopying and filing.
    • Handling mail, delivering goods and correspondences, carrying parcels, packages, and delivery and collection of official documents as required

    Job Specifications

    • Minimum of Secondary school education is preferred with a Minimum of Grade C.
    • Must have a clean and valid driving license of classes B, C, and E
    • Should have a minimum of five (5) years of experience in driving 4WD vehicles, Nissan Vans and school bus.
    • Practical knowledge of Computer Applications such as EXCEL, ACCESS, Word, PowerPoint and Internet

    Skills & Competencies

    • Flexibility and ability to stand in for other drivers when required to do so is necessary.

    Administration Assistant Volunteer

    Reporting to: Logistics and Administration Manager

    Vacancy Description: 

    HIAS seeks to recruit an administration assistant volunteer who   will be required to proactively be involved in providing comprehensive administration, HR Support, logistical and procurement support to the HIAS field and office teams  and be an active and participatory member of the HIAS team.

    Main Duties and Responsibilities

    • Managing the HIAS Mimosa  Location’s front office including responding to all official enquiries, making formal appointment and coordinating programs diary; planning meetings and taking minutes.
    • Handling administrative requests and queries from senior managers.
    • Assist in maintaining an efficient office filing system and management of general office correspondences;
    • Assisting in management of the staff welfare kitchen and supplies.
    • Assist in offering logistical support for official travel
    • Coordination and management of staff meetings; trainings. Including booking of venues and travel arrangements as required.
    • Assist in making reservations for staff working in the field as well as guests/staff visiting the field office for missions.
    • Providing support in dispatch and receiving of parcels to and from the field location.
    • Support the Human Resource Specialist through leave management, and any other request as advised from time to time.
    • Assist in maintaining an assets management system.
    • Any other duty as may be assigned by the Supervisor from time to time

    Qualifications for the Administration Assistant Volunteer Job

    • Diploma in Business Management, Business Administration, Human Resource or any other closely related field.
    • Minimum relevant experience required
    • Minimum of 1 years’ experience in providing front office and office administration support preferably with an INGO.
    • Excellent knowledge of basic computer applications (Particularly MS Word, MS Excel, MS PowerPoint), and use of the internet.
    • Excellent oral and written English.
    • Excellent communication and interpersonal skills.
    • Ability to work under pressure in a busy environment
    • Ability to manage multiple priorities and meet required deadlines.
    • Ability to resolve conflicts arising in the work environment.
    • Ability to work with minimum supervision.

    Preferred Skills & Competences

    • Good levels of numeracy.
    • Knowledge and exposure to the social and cultural values of the region concerned.
    • Good communication skills as well as Proficiency in local language(s).
    • Proven commitment to and understanding of HIAS’ vision, mission and core values.
