    Working to support the Somalia Conflict, Security and Stability Fund programme, the individual will manage project related resources, information and support project implementation, management and delivery. The individual will also be required to provide administrative support to the CSSF Somalia team.

    Programme Assistant Job Responsibilities

    • Act as initial point of contact for project/programme related enquiries (Security Sector Reforms and on other CSSF programmes);
    • Manage and coordinate logistics for project/programme related training activity, team meetings, events, visits and workshops including organising flight, transport and hotel bookings;
    • Maintain records and information on project activity and expenditure;

    • Manage and monitor project expenditure and maintain financial and progress reports. Review and process all expense claims and invoices for SSR programme, manage the reconciliation of expenses with the forecasts, review implementing partners’ activity based budgets and provide data from FCO accounting system and implementing partners for the monthly financial reporting requirements;
    • Provide end to end support for procurement activity including fulfilling prism related responsibilities such as requisitioning, receiving, and troubleshooting invoices on hold, processing payment of supplier invoices and providing data for financial reporting requirements;
    • Provide support to the Somalia Local Strategy Board (LSB), coordinating meetings, collating and distribution of meeting papers and circulating the agenda as required.
    • Coordinate extensively with service units and liaise frequently with staff members across other sections within BHC Nairobi, British Embassy Mogadishu, the region and London;
    • Provide administrative support to the SSR teams during compliance and programme reporting by preparing data/material needed for routine reporting to seniors and other stakeholders.
    • Provide administrative support to the head CSSF Eastern Africa and the team as a whole
    • Occasional travel to Mogadishu to support programme delivery with HMG partners as well as external stakeholders

    Qualifications for the Programme Assistant Job

    • Strong administrative skills,
    • Good administrative and IT Skills (a working knowledge of Microsoft Excel and Word is essential),
    • Oral and written communication and customer service skills.
    • Highly organised, able to take initiative and to work accurately within deadlines.
    • Able to obtain security clearance to Official-Sensitive
    • Desirable qualifications and experience
    • Good team player and previous experience in project management
    • Basic financial management skills
    • Able to work under minimal supervision
    • Required competencies
