    Accounting Assistant

    Responsibilities
    Manage and Monitor contributions to the Environment Fund, Trust Fund and Counterpart: 

    • Coordinate the maintain records on pledges and contributions administered by UNEP. 
    • Analyze report and proceeding of the Conference of Parties Meeting and advise on relevant decision and implications on pledges. 
    • Maintain UNEP Contributions Website and Resource Management System databases.
    • Prepare correspondence on policy related questions and special cases for signature to the Chief, Contributions Unit. 
    • Draft and finalize acknowledgements to accompany receipts relating to various Funds administered by UNEP. 
    • Compile and document responses to enquiries and provide sufficient explanation to Government and donors contributions. 
    • Identify common issues and best practices, make recommendation and develop plan to achieve objective and increase efficiency.  
    • Provide government with status of payment, assist staff members, Fund Management Officer and donor on queries on banking issues.  
    • Maintain integrity of UNEP Financial statement:  
    • Create receivable and post entries in UNEP revenue accounts. 
    • Analyze accounting entries of all trust funds and liaise with other unit to ensure data is correctly captured and recorded. 
    • Reconcile on monthly basis the Resource Management Systems (RMS) data. 
    • Monitor integrity of various financial databases. 
    • Communicate with responsible Offices on issues related to trust funds. 
    • Draft and prepare memoranda and respond to audit queries, follow-up on the audit recommendations. 
    • Monitor fund allocation and recommends reallocation as necessary. 
    • Ensure recording of revenue are in line with International Public Sector Accounting Standards (IPSAS). 
    • Assist in the Management of the Strategic Corporate Agreements. 
    • Assist in the implementation of IPSAS.  

    Reports

    • Provide trend and analysis on data manipulation and tabulation. 
    • Compile monthly and ad-hoc report of use by the Secretariats and Fund Management Officers. 
    • Gather data from various sources to build relevant databases. 
    • Prepare and integrate country financial profiles to provide to UNEP and UNON Senior Management for meetings with Heads of State, Ministers, Ambassadors, Permanent Representatives and Secretariat Officers. 
    • Prepare Charts, graphs and other output for reporting and presentation for management.  

    General Administrative: 

    • Draft correspondence to queries on financial and contributions budget matters.
    • Perform other related duties as assigned. 
    • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. 
    • Assists with visualizations and updating information material such as web pages or brochures.

    Education

    • High school diploma or equivalent is required.

    Job - Specific Qualification

    • Additional technical qualifications as a Certified Public Accountant (CPA) or equivalent, is required.    

    Work Experience

    • A minimum of seven (7) years of relevant work experience in finance, budget, accounting, administrative services or related area is required. The minimum years of relevant experience is reduced by two (2) years for candidates who possess a first level University degree.Experience working in an international organization is desirable.    Experience with Enterprise Resource Planning (ERP) systems such as UN ERP System (Umoja) or other similar systems, is desirable. One (1) year or more of experience in data analytics or related area is desirable.

    Languages

    • English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in  English is required. Knowledge of a second UN language is desirable
