To ensure all the institution’s vouchers/Invoices are, on a timely basis, created and posted as per departmental laid down procedures and policies.
Responsibilities:
Daily Receiving and verification of Invoices from Purchasing and Supply Chain Management Department (PSCMD) ensuring relevant support documents are attached namely Delivery notes, Local Purchase Order (LPO), Goods Received Note (GRN), Credit Notes (CN), Non-Stock Purchase Requisitions (NSPR) and Charge sheets where applicable.
Daily Creation and posting of local/foreign currency dominated supplier Invoices/Credit Notes ensuring correctness and accuracy.
Daily liaising with Purchasing and Supply Chain Management Department (PSCMD) to ensure incomplete or unsupported invoices are batched correctly.
Preparing monthly reports of Invoices received from Purchasing and Supply Chain Management Department (PSCMD) noting those returned/rejected.
Periodically assisting with petty cash and Inventory counts.
Regularly filing of Invoices in a systematic order to enable easy retrieval.
Assist in posting of CAPEX Invoices.
Any other duties assigned by immediate supervisor.
Qualifications and skills requirements:
CPA II or bachelor’s degree in accounting/finance or related field. Added advantage if possessing both.
Minimum of six (6) months’ experience in a similar role/ financial environment
Good organizational and communication skills
Attention to details and problem-solving skills
A person of high integrity with a positive attitude towards work
A team player with good organizational and communication skills
Computer literacy is mandatory.
Able to work flexible/long hours as and when required, with minimal supervision, has initiative and is proactive
Good interpersonal skills: Ability to build relationships among team members.
Accuracy & efficiency in handling demanding workload.
Knowledgeable and can perform routine/non routine assignments
