    Human Resource Supervisor

    • We are seeking an HR Supervisor to supervise all human resources functions and activities across Victory Farms sites. The successful candidate will deeply understand all HR disciplines, including but not limited to recruitment, benefits, compensation, employee relations, and training and development. They will be a critical thinker who can see the big picture and help the HR team develop creative solutions to complex problems. The HR Supervisor will form part of a team of trusted advisors to line Managers and a champion for our company culture.

    RESPONSIBILITIES: 

    Contract Management 

    • Ensure employee contracts are renewed on time. 
    • Scan all contracts and upload them to the HRMS 
    • Send a monthly report on the update of contracts expired and the status of renewal 
    • Track all employee probations and ensure that the same is communicated to managers (both short and long contracts). 
    • Sit in on all probation reviews and make notes. 
    • Ensure all employees have received probation feedback and the same has been filed. 

    Employee Relations

    • Handle all disciplinary cases and grievances, ensuring all relevant documents have been shared on time. 
    • Ensure all transfers are tracked and the relevant documents issued to employees 
    • Attend all HR monthly meetings, and address issues as they arise. 
    • Manage recruitment, attendance, and remuneration of temporary workers.  
    • Onboarding new employees in the HR system for ease of access and navigation. 
    • Track attendance records and communicate in case of any anomalies. 
    • Assist the HR Manager in managing employee relations at the workplace by among other things, scheduling regular meetings with employee representatives. 
    • Answer employee questions and address employee concerns with the company; including employee safety, welfare, wellness, and health. 

    Employee Records

    • Ensure all employee documents for the entire HR cycle are updated on the digital filing system. 
    • Ensure all contracts are updated in individual employee files within the stipulated timeline. 
    • Suggest process improvement relating to records Management and retrieval. 

    Payroll Process 

    • Addition of new hires in the HR system 
    • Ensure accurate payroll reports are sent to the manager on or before the stipulated time 
    • Manage employee separation, and ensure the relevant documentation is shared with the HR Manager for payroll on time. 
    • Confirm statutory details are accurate as part of the preparation for payroll 
    • Draft all relevant documentation leading to payroll changes such as deduction letters, and salary review letters. 
    • Provide documentation of employee attendance, bonuses, and personal time to be used in payroll preparation.

    HR Reporting and Project Management 

    • Prepare and share monthly HR reports and analytics for decision-making. 
    • Follow up with the Directorate of Occupational Safety and Health to ensure employees involved in occupational accidents are compensated. 
    • Coordinate HR projects in liaison with the HR Nairobi office.

    QUALIFICATIONS:

    • Bachelor’s Degree in Human Resource Management or related field. 
    • Minimum of 5 years of supervisory experience in a commercial organization.  
    • Must have experience as a Human Resource generalist. 
    • Certified Human Resource Professional (CHRP) 
    • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. 
    • Proficient with Microsoft Office Suite or related software.
