    Logistics Assistant

    Job function

    Support the Imports / export function effectively and efficiently by optimizing demand planning of the full order cycle in view of the lead times for all supplies to ensure consistent stockholding at Surgipharm and uninterrupted service delivery to our customers.

    Key performance areas

    • Support Annual Business Planning/monthly forecasting process by driving volume and value forecasting
    • Review historical sales trends, research demand drivers, prepare forecast data, develop statistical forecast models, and evaluate forecast results.
    • Coordinate cross-functional discussions to reconcile significant variances and refine the forecast model to reflect updated sales and marketing assumptions.
    • Utilize a collaborative and consensus approach by working with marketing, finance, and Principal companies to obtain and ensure that current and accurate information is used for demand forecasts.
    • Compliance with local authorities’ requirements for imports/exports including but not limited to:
    • Obtaining imports /export permits and Import Declaration Forms.
    • Retrieve certificates of analysis by product by batch
    • Confirm and approve all shipments being dispatched.
    • Respond to internal queries on goods in transit.
    • Prepare and update shipment plan reports to keep a track of stock movement and any pending orders.
    • Maintain accurate records of all the orders placed.
    • Provide the IT department with relevant supplier master data for account opening in SAP.
    • Capture all orders in SAP and ensure the information is up to date.
    • Update all the supplier progress files daily.
    • Ensure timely delivery of orders by maintaining prompt communication with suppliers and clearing agents.
    • Ensure Pre-shipment inspection and final Certificate of Conformity (CoC) is issued before dispatch of goods where applicable.
    • Forward Advance payment orders to the accounts department for payment.
    • Check Supplier Invoices to confirm batches provided meet the required Shelf-life threshold.
    • Follow up with the suppliers for Letter of Undertaking (LOU) where batches are below the minimum acceptable shelf life and maintain records of all LOUs.
    • Ensure the Freight charged on every shipment is within the agreed costing module.
    • Ensure the stock holding for all suppliers is within acceptable levels at all times

    Nature of Position

    • Contract

    Qualifications and Experience required

    • Bachelor’s degree or diploma in logistics or supply chain.
    • Certificate in Customs Administration is an added advantage
    • Previous experience in demand planning in the pharmaceutical industry is an added advantage
    • 2-3 year’s work experience in a similar role

    Relevant Competencies and Knowledge

    • Demonstrated knowledge of demand planning philosophies and processes, and proven record of success
    • Sound/advance knowledge of Microsoft Excel to analyze the demand planning & forecasting.
    • Imports/Exports, Customs, Clearing and Freight forwarding training and experience.
    • Demonstrate excellent analytical skills with a strategic ability
    • Solid understanding of inventory management practices and procedures.
    • Strong mathematical and statistical knowledge
    • Good verbal and written communication skills and experience interacting at a with Suppliers, Senior management, Third party service providers and External Authorities.
    • Ability to work independently with minimal supervision.
