    Loss Control Officers

    Overview And Purpose of Position

    The Communications Controller will be tasked to work closely with the Operations team and to ensure all Control Room Operations needs are met.

    Responsibilities

    •  Identify where actual and potential losses may occur and seek to mitigate those losses via a combination of preventative loss control measures, and apprehension of those caught in the act.
    •  Examine internal controls which comprise of the Standard operating procedures, and measures within the business to safeguard its inventory, check the accuracy and reliability of its accounting data, operational efficiency, and adherence to managerial policies
    •  Independent verification and accuracy on administration of movement against documentation and ensuring adherence to laid down policies and procedures along with your organization’s inventory management process.
    •  Verification of documents e.g. Order notes, invoices, LPO’s and transfer notes.
    •  Ensuring that the client policies are implemented for both internal and external staff are enforced at the entry and exit doors.
    •  Administer of visitors /contractors and suppliers by the use of a visitor’s management system.
    •  Manage business risks within my area, outlining specific mitigation measures, setting timelines for continual reviews and implementations
    •  Conduct security Vulnerability Assessment by inspecting client’s premises to ensure adequate and enhanced security of the site.
    •  Take charge and ensure enforcement of security standards as laid out in the facility policy and security service level standards.
    •  Preventing, controlling, detecting theft and recovering stolen goods
    •  Counterchecking supplier or internal deliveries, dispatch of goods, reconciling and random counting of high value items.
    •  Controlling, monitoring and preventing shrinkage in all areas of operation at the shop.
    •  Ensuring that padlocks are intact and appropriate seals and documentation are in order
    •  Making full use of CCTV to note suspicious activities and ensuring periodic patrol inside and outside the shop
    •  Carrying out all routine duties and other responsibilities as enumerated in the loss control check-list
    •  Undertaking Investigations of staff cases e.g. frauds, pilferages and collusions accurately and submitting the report within 24 hours after completion of the same
    •  Verify that product description is as per the description on delivery documents.
    •  Take charge during Verification of the product documentation is approved by the necessary authorities.
    •  Direct all visitors and suppliers to their respective areas of visit and department.
    •  Verify that the driver of the vehicle is authorized and qualified to do delivery by the management.
    •  Client Confidence: Maintain a high level of security to uphold client confidence during the changeover period.
    •  Orientation and Training. Support the security manager in conducting onboarding training as advised by the line managers.
    •  Follow-up and enforcement of the recording, opening and closing process of the warehouse that should be kept safe for reference by all parties involved.
    •  Product Receiving and Checking: -Train the new guards on product receiving protocols, quality checks, and verification processes according to SOPs.
    •  Destruction of Rejected Goods: – Explain and enforce the procedures for the destruction of rejected goods, ensuring compliance with legal and environmental regulations.
    •  Key Control: Implement a robust key control system, clearly defining responsibilities and protocols for key management as per SOPs.
    •  Emergency Protocols-Fatality Incident and Accident Reporting to the Windsor security management.
    •  Provide clear guidelines on reporting fatality incidents and accidents, emphasizing the importance of prompt and accurate reporting for investigation.
    •  Conduct system audit and weekly /Monthly report as picked by the visitor’s management system. Directly responsible for co-coordinating the first response to incidents when the Duty Manager is not present in the Control Room
    •  To oversee and direct all ground resources to ensure they comply with Control Room policies, the Assignment and Site Instructions.
    •  Escalate all incidents to authorized personnel as defined by Control Room Incident Management Plan.
    •  Create comprehensive and detailed Incident Reports using the electronic incident reporting software provided.
    •  Update and maintain Staff Roster Manager Software and all monitoring software.
    •  Ensure all security equipment, phone extensions, CCTV and alarms are checked for serviceability throughout the shift.
    •  Submit the End of Shift Report to the Operations Manager and the team.
    •  Ensure the Control Room shift activities are compliant with GDPR, Data Protection Act- Kenya and related Policies.
    •  Collate monthly incidents on behalf of the Control Room and share them with the Supervisor and the Operations Manager for further action.

    Operations Competencies

    •  Understand the job description.
    •  Expected to build productive relationships internally and externally, fostering teamwork by keeping colleagues updated on activities.
    •  Must operationally be proactive, eager to learn and be a solution-oriented operations individual.

    Skills and Qualifications

    •  Minimum of a Degree in Criminology or in a related field.
    •  Minimum of 3 years’ experience as a Control Room Operative.
    •  Experience using relevant CCTV security technology, security platforms and software.
    •  Clear and precise reporting and incident management.
    •  Proficient in MS Office and Google Suite.
    •  A valid Certificate of Good Conduct.
    •  Articulate problem-solving skills.
    •  Must be good in organizational and multitasking abilities.
    •  Excellent communication skills and good command of the English language both written and spoken – clear and courteous on the phone and on email.
    •  Ability to work shifts both day and night.
