    Project Manager_LN - (4755)

    JOB SUMMARY 

    • The Project Manager is responsible for leading a cross departmental team to fulfill project goals and objectives. This position is responsible for managing risk, quality and progress of projects to organizational standards, and ensures projects are completed on time, on budget, to quality standards, and within agreed scope. The projects will tend to be medium to high complex in nature, has multi-department to enterprise-wide impact, and require a medium to large body of project resources.

    MAIN TASKS AND RESPONSIBILITIES

    • Define project scope, goals and deliverables that support business goals in collaboration with senior management and stakeholders.
    • Effectively, communicate project expectations to team members and stakeholders in a timely and clear fashion.
    • Liaise with project stakeholders on an ongoing basis.
    • Set and continually manage project expectations with team members and other stakeholders.
    • Plan and schedule project timelines and milestones using appropriate tools.
    • Track project milestones and deliverables.
    • Determine the frequency and content of status reports from the project team, analyze results, and troubleshoot problem areas.
    • Define project success criteria and disseminate them to involved parties throughout project life cycle.
    • Conduct project postmortems (i.e. lessons learned) and create recommendations reports to identify successful and unsuccessful project elements.
    • Estimate the resources and participants needed to achieve project goals.
    • Draft and submit budget proposals and recommend subsequent budget changes where necessary.
    • Where required, negotiate with other department managers for the acquisition of required staff time.
    • Determine and assess need for additional staff and/or consultants and make the appropriate recruitment if necessary, during project cycle.
    • Direct and manage project development from beginning to end.
    • Develop full-scale project plans and associated communications documents.
    • Delegate tasks and responsibilities to appropriate project team members and staff.
    • Identify and resolve issues and conflicts within the project team.
    • Identify and manage project dependencies and critical path
    • Develop and deliver progress reports, proposals, requirements documentation, and presentations.
    • Proactively manage changes in project scope, identify potential crises, and devise contingency plans.
    • Coach, mentor, motivate and supervise project team members and contractors, and influence them to take positive action and accountability for their assigned work.
    • Build, develop, and grow any business relationships vital to the success of the project.

    MINIMUM QUALIFICATIONS

    • Typically, a Bachelor's degree in Business Administration, Computer Science, Computer Engineering, Software Engineering. Equivalent combination of relevant education and experience may be substituted as appropriate.
    • Master of Business Administration is preferred
    • 7+ years hands on experience in leading medium to highly complex department and/or enterprise projects spanning across multi-disciplined areas, including 3+ years working with manager or director level.
    • Core Adept Capabilities: Project Management, Influence and Negotiate, Deliver Results, Think and Solve Problems
    • Core Intermediate Capabilities: Manage and Develop People, Finance, Act with Integrity
    • Industry Project Management Certification (e.g. PMP, Prince2)
    • Ability to operate a personal computer and other standard office equipment.
    • Intermediate to advanced proficiency in working with Microsoft Office Suite, project management software, diagram/process flow software, conference software, and statistical software.
    • Strong troubleshooting and technical research abilities a must.
    • Must demonstrate the ability to work in a high pressure, fast-paced environment.
    • Must be able to effectively multi-task with complete follow through.
    • Must be energetic, self-motivated, and flexible.
    • Excellent interpersonal/communication/written/documentation skills.
    • Must have the ability to communicate technical information to non-technical users.
    • Demonstrated experience in resource management.
    • Experience at working both independently and in a team-oriented, collaborative environment is essential.
    • Can conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities.
    • Reacts to project adjustments and alterations promptly and efficiently.
    • Flexible during times of change.
    • Ability to read communication styles of team members and contractors who come from a broad spectrum of disciplines.
    • Persuasive, encouraging, and motivating.
    • Ability to elicit cooperation from a wide variety of sources, including middle to upper management, clients, and other departments.
    • Ability to defuse tension among project team, should it arise.
    • Ability to bring projects to successful completion through political sensitivity.

    • Adept at conducting research into project-related issues and products.
    • Must be able to learn, understand, and apply new technologies.
    • Excellent customer service skills.
    • Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial.
    • Some travel may be required for the purpose of meeting with clients, stakeholders, or off-site personnel/management.
    • Physically able to participate in training sessions, presentations, and meetings

    Desirable

    • Multi-year hands-on working experience in at least two functional areas (operations, finance, sales/marketing, human resources, client services) and at least one information technology area (infrastructure, support, design, development, testing)
    • Certified in an industry recognized process Improvement or quality program (e.g. Six Sigma, TQM)
    • Experience working within a humanitarian development agency
    • Experience working for a private or public agency funding NGOs.
    • Experience in working under multi-cultural and diverse environments.
    • Experience in working for a global entity with reaches across a 12-hour time zone
    • Experience in consulting, sales and/or client services
    • Fluency in any of the following languages: Arabic, Spanish, Swahili, French.

    Additional Technical or Language Requirements

    • Required: Proficient in Swahili.
    • Preferred: Logistics, medical/pharmaceutical, and software sales background.
    • Preferred: Understanding of the Kenya Digital Act 2023 and Data Protection Act (2019)
    • Preferred: Experience in using Smartsheets
