    Supplies Coordinator

    Brief Description

    The candidate will organize and control the aircraft spares in the warehouse to ensure spares are securely warehoused, handled and issued in accordance with airworthiness requirements and Kenya Airways Plc quality standards to support schedule requirements of Kenya Airways and other operators.

    Detailed Description

    Principal Accountabilities (Responsibilities)

    • Ensure aircraft spares and tools are warehoused and handled in accordance with airworthiness and company quality standards and are issued to support schedule requirements of Kenya Airways and other operators.
    • Regulate access into stockroom in accordance with Maintenance Organization Exposition procedures to ensure integrity and security of warehoused spares.
    • Inventory Management - The Supplies Coordinator oversees the inventory within the warehouse, tracking stock levels, conducting regular audits, and ensuring accurate record-keeping. They use inventory management software (OASES) to ensure visibility both for traceability and costing purposes.  OR any future systems to monitor quantities, identify discrepancies, with a goal of maintaining 98% ≥ stock accuracy.
    • Ordering and Replenishment - They are responsible for placing orders for supplies, equipment, and materials needed for warehouse operations. This involves monitoring inventory levels, anticipating future needs, and coordinating with stakeholders to ensure timely delivery.
    • Receiving and Inspection - Upon receipt of incoming shipments, the Supplies Coordinator oversees the receiving process, verifying quantities, inspecting for damage or defects, and documenting received items. They ensure that received goods match purchase orders and meet quality and regulatory standards.
    • Storage and Organization -They oversee the storage and organization of aircraft materials within the warehouse, ensuring efficient use of space and easy accessibility. This includes implementing appropriate shelving, labelling systems, and storage protocols to streamline operations.
    • Distribution and Allocation - The Supplies Coordinator coordinates the distribution of aircraft materials to various users or warehouses within the business, based on demand and production schedules. Issue spares and tools to support Kenya Airways schedule requirements and those of contracted pooling airlines.
    • Equipment Management - They oversee the maintenance and repair of equipment used in the warehouse, such as forklifts, pallet jacks, and storage racks. They liase with GSE teams for routine maintenance, coordinate repairs as needed, and ensure that equipment is in optimal working condition to support operations.
    • Safety and Compliance - The Supplies Coordinator ensures compliance with safety regulations and warehouse protocols to maintain a safe working environment. This includes proper handling of materials as per OEM instructions e.g MSDS, adherence to safety procedures, and compliance with relevant regulations.
    • Documentation and Reporting - They maintain detailed records of inventory transactions, orders, and shipments. They generate reports to track inventory levels, monitor trends, and provide insights for decision-making purposes.
    • Continuous Improvement - They actively seek opportunities to improve warehouse processes, optimize inventory management practices, and reduce costs while maintaining high levels of efficiency and productivity.

    Job Requirements

    Qualification (Minimum)  

    • Degree in Supply Chain management/Logistics/Business management/Commerce OR Diploma Supply Chain Management/ Logistics/Business Management and 5 years’ experience in aviation may be considered.
    • An in-depth knowledge of Inventory and Supply chain management.
    • Training in handling of Dangerous Goods will be an added advantage.
    • Forklift certification and/or ability to successfully complete forklift training and operate machinery safely according to company protocol.
    • General knowledge of logistics, warehousing procedures and statutory regulations.
    • Computer literacy, MRP proficiency.
    • Minimum 2-year experience in a similar role within a Warehouse environment.
