    Tender Specialist

    Duties and Responsibilities

    • Analyze and understand bid conditions and management of the tender preparation to ensure timely submission with no technical omission.
    • Set up, populate, update and publish a bid tracker to ensure the bid team is aware of the schedule
    • Identification of tender opportunities in the newspaper, IFMIS System and any other source that are of interest to the company.
    • Manage and together with the technical team, prepare tenders accurately within set deadlines.
    • Collating tender documents and requirements.
    • Make contribution to the business on the tender pricing.
    • Management of tender library by ensuring relevant company documentation is constantly updated and saved appropriately.
    • Maintenance of accurate historic bid records (outcomes, wins, losses) and preparation of necessary reports for strategic decisions.
    • Maintain the company’s legal documents and delegated authorities to ensure compliance.
    • Prepare follow-up letters to the procuring entity on the tender status for both won and lost tenders.
    • Execute and comply fully with the tender management strategy.
    • Support cross-marketing function by availing timely reports for divisions and management.
    • Attend public opening of tenders.
    • Coordinate with the bank to issue bid bonds and bank reference letters.
    • Other duties as may be assigned from time to time

    • 100% accuracy on tender documentation.
    • 100% rate of success on submitted tenders.

    • Ability to coordinate several tasks at the same time.
    • Thorough understanding of the bidding process, documentation, and submission.
    • Ability to work under strict timelines.
    • Well-developed negotiation skills.
    • Ability to develop and execute solutions for emergency and non-emergency crises.

    Knowledge and Skills Required

    The job holder must possess:

    • Bachelor’s degree preferably in a commercial/business field.
    • Knowledge of public procurement laws and regulations.
    • Minimum 3 to 5 years of work experience in a similar position.
    • A Diploma in procurement or a related field is an added advantage.
    • Experience in the insurance industry is an added advantage.
