    Temporary Regional Program Assistant and Personal Assistant to the Regional Advocacy Director

    PATH is seeking a Regional Program Assistant and Personal Assistant to the Regional Advocacy Director to support the Regional Advocacy Director and PATH’s regional engagement, including providing logistics for meetings and conferences across the region.

    Duties and Responsibilities

    As a Personal Assistant

    • Managing the director’s calendar and time, to ensure maximization of effectiveness for the Director.
    • Scheduling of meetings and appointments with both internal and external staff, partners and donors in coordination with relevant team members across the region.
    • Diarizing upcoming meetings and events for the Director and blocking the calendar on the same.
    • Coordinate, prep and follow up meetings for the Director.
    • Keeping tabs with the Director on day to day running of activities, and updates on any changes.
    • Manage and schedule onboarding process of the Director’s direct reports.
    • Composing and preparing correspondence from the Director to key staff and partners.
    • Taking of meeting notes for the Director and sharing them with the team for follow-ups.
    • Arranging complex and detailed travel plans, events, Itineraries and agenda for the Director within and out of the organization.
    • Complete expense reports on a timely basis.
    • Design and maintain filing systems for reference.
    • Ability to make timely and concrete decisions for the Director and Team.

    ADDITIONAL DUTIES

    • Providing support to other programs within PATH Kenya as part of APP’s mandate to provide TA on Policy and Advocacy related activities.
    • Organizing outside activities and events for visiting staff and guests as needed by the APP team in the region.

    Duties and Responsibilities

    As a Program Assistant.

    • Support program support in work planning.
    • Coordinate the development of communications material in consultation with the team leader and communications officer, this includes project briefs and blogs.
    • Collating research and evidence to support project activities including compiling notes and drafting narrative report for activities in Kenya.
    • Supporting stakeholder engagement processes within the program with various partners and government.
    • Organizing and Representing PATH in meetings assigned to establish and support the linkages and liaison between various partnerships within the program.
    • Drafting program, concept notes, Invitation letters, presentations, and scope of work for key events.
    • Enter invoices in Business World for approval by PADM or APP F&A Manager (PADM).
    • Review incoming invoices for accuracy, completeness, receipt of Deliverables, and secure RPM written confirmation of acceptance of deliverable and cost.
    • Offer Subaward/consultant agreement support in line with PATH policies.
    • Review incoming invoices for accuracy, completeness, receipt of goods or services, and compile required documents.
    • Monthly reporting of activities and results tracker maintenance for the Kenya Workstream.
    • Providing program support in work planning

    Required Experience

    • A minimum of three years of directly related administrative and program support experience, or an equivalent combination of education and experience.
    • Advanced Microsoft Office skills, especially Outlook, Word, Excel, and PowerPoint.
    • Basic research skills
    • Excellent interpersonal and communication skills.
    • Ability to work with multiple teams across diverse background
    • Strong organizational skills.
    • Adaptable to changing priorities.
    • Effective time management.
    • Experience working under deadlines.
    • Proven ability to work in a team environment with minimal supervision.
    • Fluency in English, including excellent written and oral communication skills.
    • Demonstrated prior experience supporting large meetings and managing muti-country travel planning as well as working with multiple vendors is an added advantage

    International Accounting Internship

    In general, the Kenya Country Program is interested in rolling out a robust Internship program for several reasons.     PATH Kenya is seeking an intern to support the accounting team in:

    • Account Reconciliations and Clean up of old Outstanding items
    • Support of 2 Country offices
    • Month End /Quarter close
    • Support External and Internal Audits

    This internship is designed to provide a practical work experience to continuing students or recent graduates from a finance and accounting program.

    Benefit to Intern:

    The intern will:

    • Expand their knowledge in accounting .
    • Gain Working knowledge of global accounting operations in the NGO sector
    • Gain exposure in accounting systems (unit 4/Blackline/Salesforce) that will further enhance their knowledge and skills
    • Develop usage of Microsoft office suit (Advanced excel)

    • Using performance evaluation tools available at PATH after every 3 months

    Required Experience

    Applicant should be a graduate of/ Graduating with an Accounting/Finance degree/Computer skills/Excel usage
