    REACH Assessment Assistant- Nairobi

    The REACH Assessment Assistant (RAA) supports the planning, implementation, and follow-up of REACH research cycles in Somalia, with a particular focus on qualitative data collection and analysis. Based in Nairobi and working in close coordination with the REACH Somalia team and external partners, the RAA will support the timely and high-quality delivery of research outputs. A key component of the role is supporting and piloting remote qualitative data collection, including phone-based interviews with Somali-speaking respondents in Somalia, and contributing to qualitative analysis and narrative reporting. Although based in Nairobi, the role will require travel to Somalia to support with in-person data collection when needed.

    KEY ROLES AND RESPONSIBILITIES

    COORDINATION

    Support internal coordination with:

    • REACH Field, GIS, Data, and Assessment colleagues; and
    • relevant Acted departments (finance, logistics, etc.),

    RESEARCH DESIGN

    Support research design tasks, particularly for qualitative and mixed-methods components such as;

    • Contributing to the development of qualitative methodologies and tools (e.g. interview and FGD guides);
    • Supporting the drafting of Terms of Reference, workplans, and data analysis plans.
    • Supporting operational planning for qualitative data collection, including remote or phone-based approaches.
    • Contributing to the preparation of training materials or guidance for enumerators or interviewers, where relevant.

     IMPLEMENTATION

    Support the implementation of assigned research cycles. This includes:

    • Conducting qualitative data collection, including in-person interviews or facilitation in Somalia or remote interviews or discussions by phone with Somali-speaking respondents.
    • Applying strong probing techniques to ensure depth and clarity of responses.
    • Producing accurate and detailed transcriptions and translations (Somali–English), as required.
    • Supporting data cleaning, organization, and qualitative coding or categorization;
    • Supporting qualitative and mixed-methods analysis in close coordination with Assessment, Data, GIS, and Field colleagues.

    OUTPUT PRODUCTION

    Contribute to output production. This may include:

    • Drafting qualitative findings and narrative analysis sections for reports, factsheets, or situation overviews.
    • Supporting the preparation of cleaned qualitative datasets or coded data matrices (e.g, DSAGs);
    • Contributing to presentations or briefing materials for internal and external audiences.

    DATA CONFIDENTIALITY AND PROTECTION

    The RAA will maintain the strictest confidentiality on all data collected and related processes, ensuring full compliance with Acted data protection policy and SOPs. He/she will actively take measures to prevent the unauthorized sharing of any information and data belonging to Acted and its partners or collected during his/her assignment with Acted.

    Necessary skills

    Analysis skills

    • Qualitative analysis skills, including the ability to identify key themes, patterns, and divergences across interviews or focus group discussions.
    • Ability to synthesize qualitative findings into clear, structured narrative analysis.
    • Data literacy and basic proficiency in Excel for organizing and reviewing data.
    • Ability to think analytically and critically, and to assess data quality, bias, and limitations.

    Process skills

    • Strong attention to detail, particularly for transcription, translation, and data management.
    • Planning and organizational skills, including the ability to manage multiple tasks and deadlines.
    • Ability to operationalize research plans into concrete activities and deliverables.
    • Effective written and verbal communication, particularly in English.

    Requirements:

    • Academic: Excellent academic qualifications, preferably including a bachelor’s degree in relevant discipline.
    • Research and Analysis skills: Proficiency and proven experience with research and analysis; demonstrated experience with qualitative data collection methods, including conducting interviews or focus group discussions, effective probing, and producing detailed transcriptions.
    • Analysis and writing skills: Ability to analyze qualitative data and draft clear, well-structured narrative outputs in English;
    • Language skills: Fluency in Somali and English is required.

    Finance and Admin Archiving Intern- Nairobi

    The purpose of the Finance & Admin Archiving Intern position is to support both the Finance and Human Resources Departments by assisting with financial record-keeping, administrative processes and HR documentation. The role will offer practical exposure to finance operations, HR record management, and office administration contributing to efficient operations, accurate documentation, and audit readiness.

    Key Responsibilities

    Finance Documents Archiving

    The Intern will support the Finance Department by ensuring all financial records are accurately organized, digitized, and stored in line with organization’s policies and regulatory requirements. Key responsibilities include:

    • Collecting, sorting, and organizing physical and electronic finance documents such as invoices, receipts, payment vouchers, bank statements, contracts, and journals.
    • Scanning and digitizing hardcopy finance records and ensuring clear, complete, and legible electronic copies.
    • Naming, indexing, and filing documents systematically according to established finance archiving standards and folder structures.
    • Uploading archived documents to approved digital storage systems (e.g., SharePoint, shared drives, or document management systems).

    Filing and recording keeping

    The Intern will support the efficient filing and organization of finance records to ensure easy access, accuracy, and compliance with internal and external requirements. Key responsibilities include:

    • Filing finance documents systematically in both physical and electronic formats in line with established filing structures and standards.
    • Classifying documents correctly by type, date, department, reference number, and financial period.
    • Maintaining wellorganized physical files, folders, and cabinets to allow easy retrieval of records when required.
    • Updating electronic filing systems and shared drives with correctly named and indexed documents.
    • Ensuring consistency between physical files and corresponding digital records.

    Audit Preparation

    The Intern will support the Finance team in preparing documentation and records required for internal and external audits, ensuring accuracy, completeness, and timely availability of audit evidence. Key responsibilities include:

    • Assisting in the preparation and organization of finance documents required for internal and external audits.
    • Retrieving, compiling, and arranging audit support documents such as vouchers, invoices, bank statements, contracts, and reconciliations.
    • Ensuring all audit documents are complete, properly approved, and clearly referenced.

    HR Administrative Support

    • Support HR in tracking and organizing employee records, leave documentation, attendance sheets, and other personnel files.
    • Assist in preparing HR reports, presentations, and correspondence.
    • Help arrange meetings or training sessions and ensure availability of materials, equipment, and documentation of minutes/action points.

    Additional Responsibilities

    • Undertake any other duties as may be requested by the supervisors to support departmental operations.

    Key Deliverables

    • Organized, filed, and archived finance and HR documents for easy retrieval and compliance.
    • Prepare and file finance vouchers, ensuring all supporting documents are complete, accurate, and properly approved.
    • Match costs with supporting documents and ensure correct posting and matching of expenses in the accounting system.
    • Assist with audit preparation by retrieving, organizing, and maintaining clear and traceable audit documentation.
    • Support strong financial controls, compliance, and efficient finance operations through accurate record‑keeping and documentation management.
    • Supported HR operations including record management, reporting, and meeting coordination.

    Required profile

    • Bachelor’s degree in accounting, Business Administration, or related field.
    • Basic understanding of humanitarian principles and activities.
    • Sound understanding/experience in financial processing and management.
    • Excellent skills in Microsoft Word, Outlook, and Excel.
    • Keen to detail and accuracy required and willing to learn.
    • Strong organizational skills and meticulous attention to detail.
    • Excellent interpersonal skills and demonstrated ability to establish effective work relations at all levels.
    • Ability to prioritize tasks, meet deadlines and work with limited supervision, pro-active and a good team player.
    • High level of integrity and honesty.
