    Project Officer

    Job purpose:

    • The Project Officer will support the effective delivery of the project ‘Strengthening Locally-led solutions to intersecting peace, gender and climate change challenges in the borderlands of Kenya’, and will be responsible for the regular day-to-day implementation, documentation, and operations of project activities.
    • The Project Officer provide support to the planning, implementation and delivery of the project, provide technical expertise, coordination and monitoring of the overall programme.
    • The Project Officer will work closely with the Project Manager partners to ensure delivery of key project deliverables.

    Key areas of responsibility:

    • Work with the Project Manager to ensure the effective delivery of the project and take responsibility for the regular day-to-day implementation, documentation and operation of project activities.
    • Build and maintain effective relationships in support of Saferworld’s work in Kenya.

    Roles and responsibilities:

    • In collaboration with the Research, Monitoring, Evaluation and Learning Coordinator, monitor the impact of Saferworld’s work in Kenya and participate in regular debriefings and lesson learning sessions with Saferworld and partners.
    • Ensure critical project reflection and reviews take place on regular basis to inform decision making, and that learning informs wider Saferworld community of practice, including within the Saferworld gender team.

    • Support local and national government officials, local partners to facilitate consultations with communities for local/county/sub-national/national authorities and the private sector (including SMEs and women-owned businesses) on the development or improvement of policies and frameworks for effective and inclusive natural resource management and green innovation.

    Person specification:

    Knowledge and qualifications:

    Administration and Procurement Assistant

    Job purpose

    Project Coordinator

    Job Purpose:

    As member of Saferworld’s Kenya team the Project Coordinator will contribute to the development and implementation of Saferworld’s work in Kenya. S/he will work as part of the team in close cooperation with partners in the following priority areas:

    • promote localised and inclusive approaches to advance gender-responsive conflict prevention in response to the drivers and impacts of climate change, including across conflict divides and or administrative boundaries.
    • support the development and implementation of conflict-sensitive and gender-transformative cross-border actions, policies, and innovations to advance climate change adaptation and transboundary resource management
    • to strengthen opportunities to meaningfully lead and participate in initiatives to prevent and mitigate transboundary climate-induced conflict

    Under the supervision of the Project Consortium Manager, the project coordinator will be responsible planning and delivery of the project.

    • The Project coordinator will be the link between Saferworld Kenya Programme and the implementing partners, He/She will provide technical and programmatic guidance and support to County based partners and ensure coordination with the consortium partners in the implementation of the program in Turkana County. Specific roles will include; leading in the preparation of work plans and budgets, directly overseeing the implementation activities, project monitoring and development of technical reports. The project coordinator will undertake consistent communication and follow up with partners and support ongoing engagement with County and National government authorities.

    ROLES & RESPONSIBILITIES:

    Strategic and Programme Development

    • Contribute to the development and implementation of Saferworld’s Kenya programme strategy
    • Contribute to further development, and deepen understanding of, Saferworld’s peacebuilding, climatea and conflict thematic issues and approaches.
    • Ensure alignment and integration between the program interventions and Saferworld’s strategic priorities and approaches.

    Project Planning, Implementation, coordination and monitoring

    Project Manager

    Job purpose:

    • The Project Manager will be responsible for the successful delivery of the “Strengthening integrated Peace, Resilience and Disaster Risk Reduction for cross-border communities in the Karamoja Cluster”. The Manager will hold overall responsibility for the implementation of the project, oversee grant management, provide technical expertise, and lead on coordination of the overall programme.
    • The Manager will work closely with partners to ensure delivery of agreed project deliverables. The position holder will be responsible for establishing and maintaining good working relations with civil society organisations and networks; linking with other teams and related projects across Saferworld and partners, and among the donor community (in particular the EU borderlands Consortium) to share best practices and lessons learnt.
    • The Project Manager will ensure quality programme implementation, including providing strategic guidance to implementing partners and being responsible for budget management, M&E, partnership management, and relationships with external actors (including government authorities, relevant working groups, and project partners).

    Project Assistant - Kenya

    Job Purpose:

    • The Project Assistant will support the implementation of the Strengthening locally-led solutions to intersecting peace, gender and climate change challenges in the borderlands of Kenya, South Sudan, and Uganda Project
    • Working with the Project Coordinator and county-based partners, s/he will provide support for the preparation of work plans, budgets, and activity reports. With support from the Project Coordinator the post holder will also be responsible for day-to-day programme monitoring and documentation activities including regular follow up with the partners to ensure timely documentation of relevant data and updating of relevant monitoring tools to support reporting and programme review.

    Key areas of responsibilities:

    Activity Planning, Implementation

    • Support planning, and implementation of the programme activities.
    • Assist the Project Coordinator with key programme activities such as realistic scheduling of programme activities, drafting internal/donor reports, forecasting budgets and cash flows and regular monitoring of expenditure.
    • Work with colleagues in making logistical arrangements for programme activities including logistical support for workshops and other meetings and organising project-related travel arrangements as assigned by the Project Coordinator.
    • Assist in developing programmes and delivery of needs-based training and other support activities related to the project.
    • Support linkages and coordination of activities between Saferworld partners and project staff in the counties of implementation.
    • Participate in, and contribute to, quarterly and other scheduled programme performance review meetings.

    Financial Management (Forecasting and reporting)

    • Support partners with expenditure forecasting and preparing monthly funds request for project expenditure in line with Saferworld’s financial procedures.
    • Support the Finance Officer in developing expenditure requests.
    • Support the Project Coordinator in the documentation of ‘success stories’ and other documented information to demonstrate results/impact of programme activities and contribute to outcome harvesting and lesson learning.

    Partner support

    • Work with partners in developing monthly activity plans and scheduling activities in coordination with World Vision teams in the target counties.
    • Support the Finance Officer to review partner activity matrices and monthly budgets for ease of executing funding requests.
    • Work closely with partners in organising and facilitating meetings, workshops and seminars with stakeholders including government representatives and civil society organisations;
    • Work closely with partners to ensure quality activity and monthly reports are developed including proper documentation of all project processes (narrative, photography and videography).
    • Support the Project Coordinator in ensuring compliance with key Saferworld and donor requirements and in particular safeguarding and required consent for all relevant documentation.

    Communications and Advocacy

    • Contribute in developing appropriate strategies for advocacy with partners.
    • Support the Project Coordinator in documenting updates for internal news.
    • Compile a photo library for all project photos.
    • Maintain up-to-date files and records of project documentation and upload of reports and otherdocuments in the ADA folder in theKenya SharePoint folder.

    Administrative, Financial and Logistical support to the Project team focusing on the achievement of the following results:

    • Submission of proper supporting documents for requests for payments and filling of documents in the required formats and standards.
    • Maintenance of required administrative records – e.g. Time sheets/attendance sheets, leave reports, travel documents, etc.
    • Arrangements of travel and hotel reservations, preparation of travel authorizations, identity cards and other documents for the programme team.
    • Administrative, secretarial and logistical support to conduct of meetings, conferences, workshops and training programmes.
    • Assistance in the preparation & submission of required technical reports.
    • Maintenance of the filing system ensuring safekeeping of confidential material.
    • Perform any other tasks assigned by the supervisor

    Key Working Relationships:

    • Colleagues in the Kenya programme and Nairobi Office – Maintain a good working relationship, communication and working collaboratively on programme implementation, monitoring, assessment and reporting.
    • Partner Organisations - Working collaboratively to effectively deliver programme activities, monitor progress and supporting demand-driven capacity strengthening activities.

    PERSONAL SPECIFICATION:

    Knowledge and experience

    • University degree in Peace and development, conflict studies, international relations or any relevant field with 2-3 years relevant work experience.
    • Hands-on experience working with communities on peace and/or governance issues with a government, local authority or non– governmental organisation.
    • A good understanding of peace and governance issues in Kenya. An understanding of the contextual dynamics of Kenya particularly the pastoralist areas will be an added advantage.
    • Proficiency in Microsoft Office and use of internet for research.

    Project Driver - Kenya

    Job purpose

    • The driver will provide effective transport facilitation to staff in order to attain the objectives of the organisation.

    Roles and responsibilities

    • Facilitate transport of office Field Operations Staff when undertaking project activities activities
    • Where applicable, assist staff with loading and offloading items for distribution
    • Ensure punctuality and safe transport.
    • Observing the road and traffic laws and regulations of the Country.

    Finance Assistant - Kenya

    Job purpose

    • To maintain accurate financial records of the project, effective control systems, and to produce donor reports and accounts.
    • The Finance Assistant will be responsible for providing a range of financial support services. S/he will work as part of the finance team & HR team and be responsible for providing financial assistance to programme staff and partners in Kenya .

    Roles and responsibilities

    • Support in financial monitoring to partners to ensure partners are aware and adhere to the donor financial guidelines
    • Provide training to partners on financial management of donor funds.
    • Monitor partner expenses, review their financial documents monthly and upload to SUN System
    • Monitor expenditure by the approved budgets and budget lines.
    • Ensure all activity expenditure is within the appropriate budget allocations.
    • Oversee the accurate recording of financial transactions, calculation and payment of salaries for partners, allowances and other payments.
    • Prepare payments and settlements ensuring they are supported by appropriate documentary evidence.
