    Fleet & Administration Manager M/F

    Mission Description

    Fleet Operations Management

    • Supervise the Operations Controller to ensure effective execution of daily transport operations.
    • Monitor fleet productivity, vehicle utilization, trip performance, and operational efficiency.
    • Ensure transport plans are executed in line with customer requirements and operational priorities.
    • Coordinate operational resources to maximize fleet utilization and minimize downtime.
    • Review operational performance and implement initiatives to improve productivity and service delivery.
    • Support implementation of transport strategies and continuous improvement initiatives.

    Administration Management

    • Oversee all administrative functions within the NTD Department.
    • Ensure accurate preparation, filing, and maintenance of departmental records and operational documentation.
    • Coordinate departmental correspondence, approvals, and administrative processes.
    • Ensure adherence to company policies, Standard Operating Procedures (SOPs), and departmental processes.
    • Coordinate procurement requests, office requirements, and administrative support for transport operations.
    • Ensure proper document management and record retention within the department.

    Fleet Performance Management

    • Monitor departmental KPIs including:
    • Review operational reports and recommend corrective actions to improve performance.
    • Coordinate departmental performance review meetings and follow up on agreed action plans.

    People Management

    • Supervise, coach, and mentor the Operations Controller and Compliance Officer.
    • Monitor staff performance and ensure departmental KPIs are achieved.
    • Conduct regular performance reviews and identify training and development needs.
    • Promote teamwork, accountability, discipline, and a high-performance culture.
    • Conduct regular departmental meetings to review operational performance and address challenges.

    Risk, Safety & Governance

    • Promote compliance with Health, Safety, Security, Environment, and Quality (HSSEQ) standards across transport operations.
    • Support implementation of company safety initiatives and operational risk management programs.
    • Ensure transport incidents are escalated appropriately and corrective actions are implemented.
    • Promote a culture of operational excellence, safety, and continuous improvement.

    Reporting

    • Prepare and submit daily, weekly, and monthly departmental performance reports.
    • Review operational and administrative reports before submission to the Fleet & Transport Solutions Manager.
    • Prepare management presentations and departmental performance summaries.
    • Monitor achievement of departmental objectives and recommend improvement initiatives.

    Profile

    QUALIFICATIONS

    • Bachelor's Degree in Transport Management, Logistics, Supply Chain Management, Business Administration, or a related field.
    • Professional qualification in Transport Management, Logistics, Fleet Management, Project Management, or Supply Chain Management is an added advantage.
    • Membership in a recognized professional body (e.g., CILT, KISM, KIFWA) is desirable

    Inventory & Compliance Supervisor M/F

    Mission Description

    • To oversee the effective management of inventory in various operational activities and ensure independent investigations are carried out on any irregularities. Additionally, oversee warehouse controls, regulations and best practice adherence.

     

    Warehouse Operations & Inventory Management

    • Monitor all daily count processes, ensuring accuracy, consistency, and timely resolution of discrepancies.
    • Oversee stock take activities in line with SOPs and update relevant records promptly.
    • Identify and close gaps in inventory management processes to improve accuracy and efficiency.
    • Conduct spot checks in the WMS to validate that all stock movements are recorded promptly.
    • Maintain records of variances and verify documentation for all product transfers between warehouses.
    • Implement and enforce inventory control policies and procedures, including stock labelling standards.

    OPEX Coordination & Continuous Improvement

    • Design, develop, and improve warehouse reporting templates to ensure accuracy, clarity, and alignment with performance KPIs.
    • Coordinate and facilitate Daily Operational Review (DOR) meetings, ensuring action items are tracked, closed, and reported on time.
    • Support the Warehouse Manager in designing, implementing, and monitoring OPEX structures within the warehouse, including process standardization, lean initiatives, and waste elimination programs.
    • Monitor key performance indicators (KPIs) and drive root cause analysis for performance gaps, ensuring corrective actions are implemented effectively.
    • Promote a culture of continuous improvement by training and coaching warehouse teams on OPEX tools such as 5S, Kaizen, Lean, and Six Sigma principles.

    System & Data Management

    • Audit process and documentation flow to spot inconsistencies impacting stock accuracy.
    • Ensure system inventory records (SPEED/WMS/SAP) align with physical counts.
    • Track and interpret variances to improve forecasting and operational planning.

    QHSE & Compliance

    • Report incidents and near misses promptly and conduct investigations using the 5 WHY methodology.
    • Make at least 30 Safety Observations (SIRs) per month.
    • Ensure all operational activities comply with SOPs, policies, and regulatory requirements.
    • Conduct periodic audits of warehouse operations and recommend improvements.

    People Management & Stakeholder Engagement

    • Maintain strong working relationships with internal teams and external stakeholders.
    • Train and coach subordinate staff on inventory, compliance, and OPEX practices.
    • Facilitate communication between warehouse teams to ensure operational alignment.

    Profile

    • Business Degree in Finance/Accounting/Operations/Supply Chain Management.
    • Professional Certification in CPA/ACCA/APICS/CIPS is an added advantage.
    • At least 3 years' experience in any of the following fields: -
    • External/Internal Audit
    • Supply Chain/Operations/Inventory Management.
    • Risk/Governance/Compliance Management.
    • Working knowledge of SAP and SPEED is an added advantage.
    • Tertiary education in either Logistics or Supply Chain management would be an advantage.
