    Receptionist

    Job Objective/ Purpose:

    Manage the reception professionally at all times and ensure that all visitors, patients and clients are accorded timely, professional and compassionate service, ensure timely patient admission, registration, eligibility verification, benefits verification and payer authorisation processes, facilitating timely access to clinically appropriate care while protecting patient identification and confidentiality.

    Key Responsibilities:

    • Welcome, register and admit patients accurately in the HIS, verifying identity and preventing duplicate records.
    • Verify eligibility and benefits (limits, exclusions, co-payments) before admission or planned services, and classify patient categories as appropriate.
    • Identify services requiring preauthorization and submit complete, clinically supported requests on time.
    • Ensure that all incoming telephone calls are directed or transferred to the respective departments/ offices.
    • Communicate payer decisions to clinicians and explain authorization requirements, co-payments and exclusions to patients with empathy.
    • Ensure client satisfaction through quality of service, communication, feedback, escalation and caring attitude, and demonstrate follow-up.
    • Ensure that Avenue Healthcare corporate governance policies are adhered to, including preventing, detecting, and reporting any fraud or criminal activities, and Implementing audit recommendations.

    Person Specification

    • Diploma or Bachelor's degree in Healthcare Administration, Health Records & Information Management, Business Administration, or a related discipline
    • Minimum 2 years’ experience in a similar role, preferably in hospital front desk, medical claims, patient access, authorization or a related environment.
    • Good computer literacy, including Microsoft Office and healthcare information systems.
    • Experience working with medical insurers and/or government healthcare payors is added advantage.
    • Ability to work under pressure while maintaining accuracy and confidentiality.

    Transport Co-Ordinator

    Job Objective/Purpose

    • The Transport Coordinator will lead, manage, and optimize all transport services, ensuring timely, safe, and reliable operations.

    Key Responsibilities

    • Oversee and manage all hospital transport operations, including emergency and ambulance services, ensuring 24/7 readiness and swift response times.
    • Supervise outsourced courier services and ensure consistent quality and efficiency.
    • Manage the dispatch desk to ensure efficient coordination of transport requests, vehicle allocation, and timely service for patient and document transport.
    • Oversee routine maintenance and servicing of all transport vehicles and motorbikes, ensuring high uptime and reliability.
    • Conduct regular training sessions focused on safety, patient handling, and emergency protocols.
    • Ensure that the department is run according to Avenue's laid down procedures and protocols. 
    • Develop and manage the transport department budget, tracking expenses, and identifying cost-effective solutions.
    • Monitor fuel consumption, vehicle usage, and cost trends to optimize resources and allocate budgets effectively.
    • Ensure all vehicles are fully equipped, stocked, and maintained to the highest safety standards.
    • Organizes renewal of all road licenses and insurance before expiry.

    Inpatient (IP) Pharmacy In Charge

    Key Responsibilities

    • Ensure that the facility has the necessary equipment and ensure that they are in good working condition.
    • Ensure timely, accurate and 100% billing of drugs. If the hospital management system is down, liaise with the receptionist /invoicing clerk to inform the client that drugs will be recorded on a manual card and issued then card collected later after the bill has been finalized once the system is back. 
    • All processed prescription orders should be well labeled, counter checked then client informed to collect their cards before the medication is dispensed.
    • Ensure that all insurances exclusion lists are adhered to.
    • Ensure that the Pharm-Tech informs the doctor on equivalent of the out of stock medication and the prescription is amended.
    • Ensure that the Pharmacy is well stocked as per the set re-order levels. Do daily counts, spot counts, monthly stock takes and give a timely, accurate report with valid explanation on variances and expiries to the Pharmacy Manager for approval of adjustment by the Stock Controller.
    • Prevention of medication errors by counter checking and verifying the prescription on doses, allergies, patient identification, right drug, legibility and give clear usage instructions.
    • All stock movements including goods received, goods returned, purchases from petty cash, prescriptions issued to patients on cash, inter-branch transfers or in house clinics, expired drugs, lost or stolen items must be captured in the HIS real time.
    • DDA to be dispensed as per the laid down policy, checked weekly and any discrepancies reported to the Pharmacy Manager for approval of adjustment by the Stock Controller.
    • Generate and send LPOs to the respective suppliers.
    • Ensure accurate receiving, counter checking and signing of the invoiced orders and delivery notes as per send L.P.O. Drugs with an expiry less than six months should be received with a Letter of Undertaking and returned to the supplier if not consumed within the 6 months.
    • Ensure timely and accurate entry of invoices into the hospital management system and that they are well stored to be checked and dispatched to Finance/Accounts by end of the month.
    • Ensure a well arranged pharmacy that is neat, presentable dispensing counter and workstation
    • Ensure that the fridge temperatures are charted twice daily and any error reported to relevant department.

    Pharmaceutical Technologist

    Job Objective/Purpose

    To ensure that high-quality standards are maintained at all times in the provision of medication and medical consumables per Avenue Group’s defined policies and procedures.

    Key Responsibilities

    • Ensure that the Pharmacy has the necessary equipment and ensure that they are in good working condition. 
    • Ensure that all insurances exclusion lists are adhered to.
    • Inform the doctor on equivalent of the out of stock/OTC medications and follow up to collect medications.
    • Ensure that the Pharmacy is well stocked as per the set re-order levels. Do daily counts, spot counts, monthly stock takes and give a timely, accurate report with valid explanation on variances and expiries to the Pharmacy Superintendent/Business Manager.
    • Prevention of medication errors by counter checking and verifying the prescription/ treatment sheets on doses, allergies, patient identification, right drug, legibility and give clear usage instructions.

    Inpatient Doctors Team Leader

    Job Objective / Purpose

    Provide clinical and operational leadership for the hospital's inpatient services and lead the inpatient Medical Officers' team, ensuring safe, high-quality, efficient and financially sustainable care, effective patient flow and bed utilization, strong specialist and multidisciplinary coordination, and continuous improvement in clinical outcomes and patient experience.

    Key Responsibilities

    People Management

    • Supervision & performance: lead, supervise and appraise permanent and locum Medical Officers, ensuring optimal deployment.
    • Staffing & rosters: ensure adequate roster cover for Medical Officers with the MSM and HR, and coordinate specialist on-call rosters.
    • Engagement & discipline: drive staff engagement and retention; manage recognition and discipline per Avenue Healthcare policies.
    • Training & development: oversee internship; assess competencies and coordinate CPD and CME.

    Clinical Operations

    • Patient flow: oversee day-to-day inpatient care, ensuring timely assessment, treatment, specialist review, admission, transfer and discharge; monitor length of stay, delayed discharges and unplanned ICU/HDU transfers; manage DAMA cases .
    • Multidisciplinary coordination: lead and conduct daily multidisciplinary ward rounds, coordinate care of complex patients with specialists, Nursing and support departments, and escalate delays in specialist review or interventions.

    • Bachelor's degree in medical science
    • Valid Kenya Medical Practitioners and Dentists Council (KMPDC) licence
    • Updated BLS, ACLS/ATLS certificate
