    Warehouse Assistant

    We currently seek a Warehouse Assistant – Kisumu.

    Key Duties and Responsibilities

    • Ensure that the goals assigned to you are broken down into weekly and daily schedules using the tools provided for better planning on a weekly rotational basis.
    • Manage casuals including supervising them during engagement at the warehouse
    • Conduct daily line tours before commencement of work, report work progress and setbacks to the supervisor, daily Maintain written and/or electronic process records
    • Ensure that standard systems are properly maintained in the warehouse.Service all material requests in a timely manner
    • Ensure safety of all materials stored in the warehouse and enforce access control Support in maintaining the central warehouse facility Maintain neat and clean warehouse premises
    • Provide support during physical stock count of inventory
    • Organize goods in the warehouse
    • Monitor all inventory items and ensure that requisition requests are placed on time.
    • Oversee all issuances to ensure accuracy, completeness, timeliness and that all relevant documentation is in place before dispatch
    • Checking that the correct quantity and type of goods have been received
    • Recording any damaged, missing or faulty goods
    • Ensure all work orders have been processed
    • Ensure the warehouse is clean at all times
    • Ensure kitting is done on time to avoid delays
    • Ensure all trackers are up to date
    • Conduct weekly spot checks
    • Actively Participate and contribute in resolving all variances, deviations, and problems in the team Detect and escalate CAPA issues and implement immediate corrective actions assigned to you within the agreed timelines and share feedback with the team once the action has been completed
    • Any other duties as may be assigned to you.

    Qualifications

    • Diploma/Degree in Warehouse Management/ Purchasing and supplies
    • More than 1 year of experience in a warehouse management / purchasing related role
    • Experience working in a fast paced environment will be an added advantage
    • Strong communication, organisation and interpersonal skills

    Office Assistant

    We are an increasingly sophisticated, highly intricate organization with many moving parts. Sanergy seeks accomplished, driven individuals who will make substantive contributions to the organization. We currently seek an Office Assistant.
     

    Key Duties and Responsibilities

    • Responsible for maintaining a professional physical appearance of the company and ensuring that all electronic information (TV) being displayed to visitors and teammates is current and relevant.
    • Ensuring a wellfunctioning office by conducting line tours daily and informing the Assistant Manager if there are any issues.
    • Perform general office clerk duties – Coordinating courier services
    • Maintaining office equipment (Printers and Projectors) and if there are any issues escalate to the IT team.
    • Managing office cleaners and ensuring that they follow their daily schedule.
    • Implementation and maintaining a filing system for all administration related documents
    • Maintain all Administrative trackers, and ensure that the trackers at any one time are uptodate
    • Manage and coordinate all maintenance office related issues by collaborating with the Maintenance team to resolve the issues within 24 hours if they are high priority. Inform teammates of the maintenance issues by posting what the issue is, when it will be resolved and what to use in the meantime. Once the maintenance issue has been sorted out, then notify teammates.
    • Maintain supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items.
    • Raise administrative related PRs and liaise with procurement partners to ensure that PRs are approved and payment processed on time to avoid discontinuation of service.
    • Assist HR/Admin team in filling staff documents
    • Collaborate with different stakeholders within the company office space when assistance is required.
    • Conference/Meeting Room management (scheduling, resolving conflicts, WiFi access, maintenance)

    • Openly share ideas to improve processes during scrum/team meetings and other meeting sessions with other departments be open and curious about ideas and willing to try and test new ideas when asked and provide feedback. Proactively ask or seek clarification from supervisor on any areas of work that are unclear
    • Participate in new improvements initiatives as assigned by the supervisor
    • Use and handle assigned company assets as per set policy
    • Perform any other duties any may be assigned by the supervisor as needed

    Qualifications

    • Diploma/Degree in Business Administration
    • Experience using Microsoft Office Packages
    • More than 1 year of experience in an admin related role

    Assistant Manager (Accounts Receivable)

    We currently seek an Assistant Manager(Accounts Receivable) to join our Accounting Department.

    Key duties and responsibilities

    • Check all source documents for any sale (LPOs, delivery notes, contracts, etc.) as per revenue recognition policy
    • Make and Post Sales Invoices as per revenue recognition policy, create and post CSH, complete cash matching on a daily basis to ensure up to date AR
    • Create ETRs as per tax policy
    • Issue invoices and account statements as per agreement with the Sales team
    • Develop detailed weekly collection plan (down to how much from each customer) for rolling 4 weeks with Sales team based on the monthly AR plan issued by Cash Management team 
    • Follow up with Sales team on weekly collection actions and revise weekly plans above
    • Create and aggregate necessary documentation from past-due customers with the Sales team
    • Reconcile LPF, M Pesa, Bank, Inventory, and any other external system that is impacted by Sales with FFA
    • Actively pursue delinquent customers to collect outstanding AR
    • Prepare and analyze all AR reports and models to track Key Indicators
    • Reconcile all revenue related TBs and share documentation with the Audit team

    Skills, Qualifications & Experience 

    • Business Degree preferably in Finance or Accounting
    • A minimum of CPA 2 or it’s equivalent 
    • Minimum 3 years’ experience in accounting with at least 2 years on AR management
    • Advanced excel knowledge an added advantage
    • Be an excellent team player/collaborator with excellent communication skills
    • Have demonstrated the ability to act decisively and resolve problems

    Clerk (Accounts Payable)

    Key Duties and Responsibilities

    •  Ensuring all payments are properly authorized and supported with proper documentation
    • Ensure timely payments for all our service providers
    • Preparing payment upload files 
    • Preparing and post vendor payments to the system
    • Maintaining accounting records related to accounts payables
    • Assisting in bank reconciliations
    • Assisting in performing month end close procedures related to AP
    • Scan and attach invoices/backing documentation to payable invoices in the system on a timely basis
    • Review employee petty cash advances and reimbursement requests and ensure employee balances are properly reconciled

    Accounting Analyst

    Key Duties and Responsibilities

    • Monitor and control the flow of cash coming into and going out of the organization, helping ensure the company’s business and investment needs are met.
    • Forecasting monthly cash flow needs
    • Prepare and deliver treasury reports (cash balances, cash projections etc.).
    • Safeguard, verify, and control all cash assets.
    • Maintain cash movement policies, procedures, and controls.
    • Inventory management – managing stock counts and inventory valuation in the system.

    • Review and post all payment invoices in the accounting system
    • Ensure timely payments for all our service providers
    • Reconciling processed work by verifying entries and comparing system reports to balances
    • Ensure vendor statements for all active accounts are received and reconciled on a monthly basis
    • Reconcile Accounts payables and investigate any discrepancies arising

Be open and share with your supervisor your ideas to improve your work and processes.

    Qualifications

    • Diploma/Degree in Business Administration
    • Proficiency in MS Office
    • More than 1 year of experience in an admin related role
    • Experience working in a fast paced environment will be an added advantage
    • Strong communication, organisation and interpersonal skills.
