Position summary

• To manage customer orders/ supply chain for Export Veg Sales effectively by
• attaining/managing three key attributes: -
• Effective client order management /confirmation communication.
• Effective service level delivery standards.
• Effective client communication/ monitoring client’s trends.

Key responsibilities

Client Management:

• Order receipt.
• Receive orders from clients and ensure they are electronically entered to Veg
• Manager by;
• Portal update
• Order conversion to system

Order Confirmation.

• Prepare client confirmation, taking account of current availabilities.
• If client’s orders are below minimum threshold, communicate in writing to ask them to add order in.
• If pricing is incorrect, communicate in writing to clients to ask them to adjust.
• Follow up with clients to ensure they are happy with the product and delivery.

Order Delivery.

• Follow up that orders are well delivered / supplied, and discrepancies/shortfalls are flagged and addressed to the next order.

Client Management

• Ensure availabilities are printed and checked every Saturday by mid-day,
• Ensure availabilities are sent every Monday to all clients by mid-day,
• A follow up to receiving weekly orders should start Tuesday morning and must be uploaded to the Veg Manager as they come. Orders must be checked and analysed, and airline bookings must be up to date,
• You know you customer, the buying habits, key lines, and the team in place who do the ordering,
• Trend your client’s order quarterly to see they are improving or dropping off.
• Ensure all clients issues raised are addressed and attended to promptly.

Position Summary:

To provide financial, clerical and administrative services efficiently, timely and accurately.

Key responsibilities:

• Sales / Debtors Management for retail customers (Flamingo, Bakker, Carrefour, Spinneys, Qatar & Oman)
• Prepare AAA and Forest gate flight advices and forwarding the same to Flamingo on a timely basis
• Preparation of shipping invoices and Final invoicing in Quick Books for all export customers.
• Responding to customer queries and claims/discrepancies
• Sending out invoices to customers on daily basis
• Provide cover for Reconciling & maintaining customers’ statements of accounts
• Handling all queries from customers’ accounts statement & solving them
• Provide cover for Debt collection – following up on customers for payments
• Preparing invoices for all local customers every day,

 Claims for Local AAA Clients

• Compiling all claims for posting into Veg Manager
• Upon approval by Finance Director/Commercial Manager, posting claim into Quick Books for credit note to be issued
• Ensure any offloads are timely communicated to Customers
• Issue amended Phyto documents for excess shipments with email approval from either S&L Director or Finance Director

Documentation

• Send daily shipping invoices to the Airport Office and shipping Agent
