    Assistant Project Manager- national contract

    Job Description

    Supervisor: Project Manager

    Duty station: Nairobi, FADV office, with field missions if needed in other counties

    Starting date: April 2018

    Duration of the assignment: 12 months, extensible, with 3 months’ probation

    Background

    FADV has been working in Kenya since 2011, focusing on Children’s rights and protection.

    Since 2014, it has been working in the Government Statutory Institutions in collaboration with the Department of Children Services (DCS), in order to improve the conditions of the children hosted in the centers.

    From April 2018, with the financial support of the Italian Agency for Development Cooperation, FADV will start a new project in all the 39 Children Government Statutory Institutions (DPAS, DCS and KPS) with the support of several National and International partners and a specific focus on: Restorative Justice, Foster care and Juvenile justice.

    Role and Responsibilities:

    • Support the implementation of the activities in accordance with agreed objectives and indicators
    • Support the coordination of all the different partners and stakeholders involved in the project
    • Support in conducting data collection, monitoring activities and reporting (this may require travels in other counties)
    • Participate at high level meeting with Government Department
    • Support for proposal production and work plan formulation
    • Attends partners’ coordination meetings
    • Assist in assessments of implementing partners on capacity in programmes, producing objective and accurate reports with recommendations against agreed deliverables
    • Support the creation of linkages and partnerships with relevant government and private institutions
    • Ensure that the required support to project partners is provided promptly, at scale and in line with the agreed donor requirements.
    • Assist in preparation of timely and high quality institutional and donor reports
    • Any other duties as may be assigned by the line manager, relevant to the achievement of Project objectives

    Qualifications / Level of studies:

    University degree in one of the following sector: Project management, Human Rights, Pedagogy/ Social Studies or other related fields of study

    Experience:

    • Minimum four years relevant experience in international development, INGOs and/or child protection sector
    • Previous experience in the Juvenile Justice Sector in Kenya will be an added advantage

    Skills:

    • Good analytical and organizational skills, attention to detail and determination to meet deadlines.
    • Able to prioritize, communicate effectively, and meet deadlines
    • Good administration skills with strong attention to detail and the ability to multi-task;
    • Basic computer skills (Microsoft office word, excel, etc); good command of arithmetic concepts.
    • Interpersonal communication skills.
    • Good communication skills (both written and oral) in English and Swahili
    • Data handling skill.

    Other:

    • Ability and willingness to travel on occasion to other counties’ locations
    • Honesty and strong ethics are required in order to be successful in this position.

    Junior Accountant

    Supervisor: Finance Officer

    Duty station: Nairobi, FADV office, with field missions if needed in other counties

    Starting date: April 2018

    Duration of the assignment: 12 months, extensible, with 3 months’ probation

    Role and Responsibilities:

    • Process financial transactions related to office and project expenditures, and maintain an effective filing system for financial transactions and project documents.
    • Maintain accurate records of financial transactions in order to monitor financial status of project activities, ensuring all accounting data are updated, reconciled and fully supported.
    • Review request for payment to ensure data is reconciled with financial management system.
    • Maintain, monitor and record all financial services related to payments, fund transfers, partners and projects including accounts prepaid, payable, receivable, payrolls, accrual properly following FADV’s policies and procedures.
    • Maintain all payment vouchers, accounting logbooks and supporting documents.
    • Ensure accuracy of accounting entries and adequacy of supporting documents.
    • Prepare the monthly payroll and generate the payroll and payroll by-products (deductions) reports.
    • Ensure compliance on submission of statutory deductions (NHIF, NSSF, PAYE, HELB etc.)
    • Prepare Bank reconciliations and submit for review and approval by the 5th day of every month
    • Facilitate the procurement requirements of the project office on the basis of the procurement policy guidelines.
    • Assist the Finance officer in the preparation of the financial reports for all projects implemented in Kenya by Fondazione L’Albero della Vita.
    • Support the preparation and update of the inventories.
    • Assist the Finance Officer in the preparation of contracts with suppliers, partners and service providers.
    • Participate in the audit process
    • Any other duty as required by the line manager commensurate with the post.

    Level of studies:

    • Bachelor’s Degree in Commerce (Accounting/Finance) or Economics or Certified Public Accountant (CPA) part 3 or any other equivalent and relevant qualification from a recognized institution.
    • Evidence of proficiency and knowledge in Computer Applications (Ms office and accounting packages).

    Experience:

    • At least 2 years of work experience in finance or accounting.
    • Good understanding of financial and accounting policies, standards and associated regulatory issues;
    • Work experience with community development projects, INGOs and/or AICS (Italian Agency for Development Cooperation, previously Maeci) funded projects would be an advantage.

    Skills:

    • Good communication skills (both written and oral) in English.
    • Working knowledge of accounting software (ability to use English language software).
    • Competent in Microsoft Word and Excel.
    • Good analytical and organizational skills, attention to detail and determination to meet deadlines.

    Driver/Logistician

    Supervisor: Finance Officer

    Duty station: Nairobi, FADV office, with field missions if needed in other counties

    Starting date: April 2018

    Duration of the assignment: 12 months, extensible, with 3 months’ probation

    Role and Responsibilities:

    • Responsible for driving project vehicles and transport FADV staff in different locations in as needed.
    • Fill out mileage log book, vehicle maintenance and fuel record sheet.
    • At all-time ensure safe driving and safety of the passengers and cargo, following up the traffic rules.
    • Carry a serviceable first aid kit in the car.
    • Maintain vehicles in good conditions.
    • Load and download vehicle safety.
    • Perform minor maintenance of the vehicles when required.
    • Responsible for the security of the vehicles and luggages on board.

    • Managing Inventory: Permanent assets, Inventory i.e. vehicles, computers, Consumable i.e. stationery, pens etc.

    Diploma / Level of studies:

    • Diploma and above in Management, Supplies management, Logistics management, Economics or other related fields of study;
    • Must possess a valid and active BCE class driving license

    Experience:

    A minimum of 2 years NGO related work experience as a storekeeper; training on stock management, supply chain management, logistics management, planning, and other related topics.

    Skills:

    • Basic computer skills (Microsoft office word, excel, etc); good command of arithmetic concepts.
    • Interpersonal communication skills.
    • Good command of English Language; Good communication skills (both written and oral) in English.
