JOB REF: ANU/FIN/05/22
Job Purpose:
Responsible for reviewing budget proposals and requests for funding, evaluating spending needs, conducting cost-benefit analyses, and preparing financial reports.
Key Duties and Responsibilities:
- Develop the budget and final accounts section’s strategy, program, policy, procedures, plan and guidelines
- Review budget proposals and requests for funding, evaluating spending needs, conducting costbenefit analyses, and examining them for completeness, accuracy, and conformance with procedures and regulations
- Coordinate the planning and development of operating budgets, in coordination with the university faculty and department heads. Develop the Master Budget for the university
- Consolidate information from various sources including departmental input, operational expenditure history, strategic projects to validate and recommend approval of the Master Budget. Summarize budgets and submit recommendations for the approval or disapproval of funds requests
- Review availability of funding and approve budget revisions and adjustments.
- Monitor and analyze department’s budgets to ensure compliance.
- Prepare variance analysis report between budgeted and actual financial results at the end of each reporting period.
- Review and advise the university on the financial viability/cost-benefit, and the relative ranking of
- capital requests and special project/program proposals for funding
- Prepare monthly, quarterly, and annual financial reports in line with set standards
- Advice the university management on tax affairs and changes in tax laws. Ensure all taxes and statutory deductions are paid and submitted within deadlines
- Provide direction and assistance to other organizational units regarding accounting and budgeting policies and procedures and efficient control and utilization of financial resources
- Review operating budgets to analyze trends affecting budget needs.
- Participate in development and support implementation of the department’s performance management strategies.
- Mentor, coach and supervise subordinate staff.
- Any other duty assigned.
Academic and Professional Requirements:
- MBA, MSc in Finance or equivalent
- Relevant professional qualification e.g. CPA (K) or equivalent
- Member of a relevant professional body in good standing
- Minimum of four (4) years relevant experience.
- Experience in external or internal audit engagement will be an added advantage.
Key Skills and Experience:
- Experienced financial/accounting professional with 4+ years of post-qualification experience, preferably working service industry/professional accounting firms
- Experience with preparation of management accounts, financial reporting, and budgeting
- Demonstrable experience in development and execution of organization strategy and business plans
- Experience and proficiency in the use of accounting software. ERP or MS Navision experience will be an added advantage
- Competent knowledge and use of MS office and general IT skills

Job Purpose
Responsible for evaluating suppliers in liaison with the bids committee and acquiring of quality products and services, while ensuring that approved purchases are cost-effective and meet the required standards to support the University’s delivery of services to both its external and internal customers.
Key Duties and Responsibilities:
- Develop procurement strategy, program, policy, procedures, plan and guidelines
- Overall planning and coordination of the supply chain services
- Establish and manage a suppliers’ master data list by analyzing requests for quotation from various departments, market conditions, present and future material availability and merchandise price. Communicate list of approved preferred suppliers/vendors/ service providers to the management and employees
- Develop and monitor the department annual plan and budget
- Ensuring timely, efficient and effective procurement of goods, services and works, while strictly adhering to the procurement policy.
- Participate in the tendering bid evaluation process and issuing and awarding of bids
- Lead the contract negation and contract signing with preferred suppliers for future procurement on agreed terms and conditions. Review purchase order claims and contracts for conformance to company policy and signing memorandum of understanding with approved suppliers for term of delivery, payment and other supply related matters
- Manage vendor and supplier relationships. Liaise with suppliers to clarify issues arising from the supplied product, scope/description, pricing, service level duration stated on contractual terms and conditions of purchase. Resolve vendor or contractor grievances, and claims against the procurement amicably or by liaising with the University’s legal team
- Work with internal departments to assess the performance of outsourced agencies/ vendors/ suppliers, and to process the periodic settlement of fees as per pre-established terms and conditions
- Receive and initiate purchase requests from departments across the University and liaise with department heads to determine purchasing needs and specifications
- Track orders and ensure timely delivery. Follow up with suppliers, as needed, to confirm or change orders
- Conduct periodic reviews and contractual monitoring to provide assurance of service delivery and report on compliance and delivery performance.
- Set overall methods to control inventory levels including minimum/maximum levels, safety stocks and order polices for various types of materials
- Monitor stock levels and identify purchasing needs in liaison with the Accounts clerk, inventory management
- Provide technical advice and reports to management when required
- Oversee the maintenance and safeguarding of procurement records and documents.

- Oversee the disposal process of redundant equipment and excess materials.

- Bachelor’s degree in Purchasing and Supplies Management

Job Purpose:
Responsible for capturing, creating, producing and facilitating audio visual content for the University. The Audio-Visual Technician will also provide technical assistance and support to meetings and events in and outside the university as requested or as needed.
Key Duties and Responsibilities:
- Test and set up equipment at required locations during events, programs, conferences, official visits, seminars, workshops, exhibitions, and during stock, magazine and graduation shoots
- Take photos and videos for the university. Adjust apertures, shutter speeds, and camera focus according to a combination of factors, such as lighting, field depth, subject motion, film type, and
- film speed
- Edit and submit photos and videos taken for approval. Manipulate and enhance scanned or digital images to create desired effects, using computers and specialized software
- Catalogue, back up and archive all footage, store and perform basic maintenance on equipment
- Coordinate activities of any outsourced production crew
- Provide technical support in recording and editing audio visual communication materials, statements and releases
- Contribute to the development of the university’s marketing communications campaigns including student recruitment, and support marketing change plans and implementation
- Produce quarterly student experience videos that are on-brand
- Adheres to the university’s brand guidelines when producing video and photography content.
- Assists in the achievement of the university’s desired brand positioning
- Setup A/V equipment for chapel, meetings and events in the university
