    Sales & Operations Admin

    Job Purpose:

    The Sales & Operations Admin will support the Q-SYS team in executing client projects, managing sales cycles, and ensuring operational efficiency. This role is key in bridging client needs with internal teams to deliver timely solutions and support the international growth of the Q-SYS brand. You will oversee order processing, proposal tracking, sales reporting, client communication, and delivery coordination to ensure successful end-to-end execution.

    Key Responsibilities

    Sales Coordination & Client Support:

    • Coordinate the full sales cycle for Q-SYS products from pricing and proposals to demos and closure.
    • Prepare and track quotations, proposals, and documentation with accuracy.
    • Liaise with clients, internal teams, and channel partners to ensure timely communication and smooth project handover.
    • Schedule sales team demos, meetings, site visits, and Proof of Concept (PoC) activities.
    • Support client pilots by managing documentation, timelines, and feedback follow-up.

    Sales Operations & Reporting:

    • Maintain and update sales dashboards, pipelines, and CRM tools with 100% accuracy.
    • Track key metrics: conversion rates, lead aging, proposal TAT, sales/installation progress, and collections.
    • Prepare weekly, monthly, and quarterly reports showing revenue status and sales pipeline performance.
    • Monitor and highlight gaps or delays across sales and delivery functions.
    • Coordinate with finance to follow up on invoicing and ensure on-time payments.

    Cross-Functional & Project Support:

    • Work closely with technical, operations, and DevOps teams to align delivery with sales commitments.
    • Monitor and support On Time In Full (OTIF) delivery for client deployments and software customizations.
    • Proactively escalate and track resolution of client complaints, feedback, and post-installation issues.
    • Identify and propose at least two sales process improvement initiatives per quarter.

    Qualifications and Requirements:

    • Bachelors degree in Sales, Business, IT, or a related field
    • 4 years experience in sales coordination, operations, or admin roles in B2B, SaaS, or smart tech environments
    • Experience with CRMs like Zoho or Salesforce and strong Excel/data analysis skills
    • Familiarity with SaaS or customer experience tools is an added advantage
    • Excellent organizational and time management skills able to manage multiple clients and priorities
    • Strong communication skills and cross-functional collaboration experience
    • High attention to detail, proactive problem-solving, and a customer-first mindset

    Field Service Technician

    Job Purpose:

    The Field Service Technician will be responsible for the installation, testing, commissioning, and after-sales support of electronic security systems, including Access Control, CCTV, and Fire Alarms. The role requires a detail-oriented, self-driven individual with strong technical skills and a passion for excellent client service.

    Key Responsibilities:

    System Installation & Commissioning:

    • Perform end-to-end installation, testing, and commissioning of access control systems at various client locations.
    • Install and maintain other security systems including CCTV and fire alarm systems.
    • Enroll users on access control systems and train managers on reporting and basic troubleshooting.

    After-Sales Support & Maintenance:

    • Provide technical support and troubleshooting services to clients post-installation.
    • Conduct routine maintenance, part replacements, and recommend system upgrades where necessary.
    • Prepare accurate job cards and escalate issues as needed.
    • Generate daily, weekly, and monthly reports on maintenance and support activities.

    Client Relationship Management:

    • Build and maintain strong client relationships through professional and timely communication.
    • Ensure clients are adequately trained on the use of installed systems.
    • Attend client support meetings and represent the technical team as needed.
    • Respond to and resolve client complaints in a timely and professional manner.

    Team Leadership & Collaboration:

    • Lead, develop, and motivate a team of junior service technicians.
    • Support the team to ensure adherence to technical best practices and safety standards.
    • Collaborate with internal departments to ensure proper stocking of frequently used parts.
    • Recommend improvements and contribute to process efficiency.

    Performance Monitoring & Reporting:

    • Manage After Sales Service KPIs such as call turnaround time, first-time fix rate, cost, and technician productivity.
    • Analyze support trends and raise quotations for parts or service approvals.
    • Maintain accurate documentation and service logs for all assigned tasks.

    Qualifications & Skills

    • Diploma or Degree in Electrical Engineering, Electronics, or a related field.
    • Minimum of 3 years experience as an ELV Technician.
    • Hands-on experience with Access Control Systems; experience with Suprema is a strong advantage.
    • Solid knowledge of security technologies including CCTV, fire alarms, and other ELV systems.
    • Proficient in MS Word, Excel, and PowerPoint.
    • Strong problem-solving and troubleshooting skills.
    • Excellent verbal and written communication skills.
    • Self-motivated and able to work independently or with minimal supervision.
    • Proven ability to lead and support technical teams effectively.
    • Strong organizational and time management abilities.
