    Secretary

    Objective of the Position:

    Perform secretarial administrative activities according to the instructions of the supervisor and MSF rules and protocols to ensure efficient administrative support to MSF office staff.

    Responsibilities include, but are not limited to:

    • Manage the Front Office: Handle all incoming and outgoing calls. Oversee the use of the photocopier and scanner machines, providing instruction and assistance as needed and reporting any problems with the equipment to the Logistics Manager. Daily mail collection and distribution of letters and other information to the department mail boxes.
    • Travel and Visitor Assistance: Welcome all visitors to the office, directing the persons as needed. Arrange for pick-up and drop offs as requested and according the movement plan. Plan and organize in collaboration with the log base routine movement.
    • Transit & Movements Organization & Follow-Up: Manage domestic and international transit of people in Kenya, under the supervision of the COFIHR. Prepare all the documents and coordinate expats briefing/induction. In collaboration with the HR assistant, ensure the housing of all staff in transit is taken care of. Answer to any queries related to transit. Provide a basic briefing on taxis and other practical information to people in transit. Maintain a monthly planning for all movements.
    • Expatriate Staff Immigration Support: Assist in the immigration administrative procedure for all expatriates and maintain an updated file with this information to ensure timely renewals. Liaise with embassies and immigration in order to follow-up files, deposit/collect documents, get updates on policies and procedures. In collaboration with the RPO office, ensure cancellation of work permits and deposit recovery are done after expatriates’ departure.
    • Information Management: File all correspondence received. Maintain an updated contact list. Coordinate and arrange for meetings. Prepare memos as requested, verifying information with the Administration Department.
    • Administrative Support: In collaboration with the HR assistant, maintain the front office by organizing the items needed and stationery orders on a weekly basis. Assist the Office Cook with follow-up of the lunch program as needed, including assistance with the accounting records when requested.
    • Due to the nature of MSF activities, other duties may be assigned. Assist the management with various tasks as requested. Participate in meetings and trainings as needed. Follow up on taxi/telephone bills and monitor usage.

    Qualifications & Requirements:

    Education

    • Diploma in Business administration/Secretarial Studies or any other related administrative course

    Knowledge & Experience

    • Mandatory: Minimum previous experience of at least 1 year with MSF or 2 years with other NGOs in developing countries in a similar role. Essential Computer Literacy (Excel and Word)

    Languages

    • Fluency in English and Kiswahili

    Campaign Project Manager

    OBJECTIVES OF THE POSITION

    The Campaign Project Manager will coordinate the development and implementation of an advocacy and public-facing campaign strategy to bring down the price of a diagnostic medical device, relevant for MSF operations. The successful applicant will project manage a committed core team, with communications, policy, and technical colleagues. The role will be responsible for the design and implementation of the advocacy and public-facing campaign activities.

    MAIN RESPONSIBILITIES

    •  Develop a robust strategy, timeline and select appropriate tools to facilitate a regional and country-level campaign;
    •  Coordinate and oversee the advocacy and public-facing campaign project plan with relevant MSF teams and implement campaigning elements, narratives and messages, tactics and communication materials to support both global and country-level objectives;
    •  In collaboration with the Communications Team, develop key messages, framing language and campaign materials;
    •  Support the collection and analysis of data (briefing papers, talking points, reports etc.) to inform operational positioning and advocacy efforts in country;
    •  Coordinate and oversee the regular outreach to advocacy colleagues throughout the MSF movement, in close collaboration with the Communications Team’s outreach to MSF communications colleagues;
    •  Coordinate outreach to other civil society groups to enhance engagement and build coalitions;
    •  Support the campaign’s resource planning, including HR and budgetary requirements; and
    •  Monitor the campaign’s achievement of objectives within the scope, budget and agreed timelines.

    Job requirements

    •  Commitment to MSF principles;
    •  Degree in communications, political science, social science or equivalent;
    •  At least 5 years of experience in developing and executing advocacy strategies and public-facing campaigns, preferably at global level, in the not-for-profit sector;
    •  Strategic thinking and planning ability; demonstrated track record of problem-solving/seeking solutions to challenges;
    •  Demonstrated project management experience and knowledge;• Strong facilitation skills and excellent organizational skills;
    •  Excellent oral and written communication skills;
    •  Proficiency in English;
    •  Ability to work cooperatively in a cross-cultural setting with long-distance working relationships;
    •  Capacity to work autonomously; and
    • Experience liaising with members of governments, pharmaceutical companies, NGOs, and/or multi-lateral organizations an asset.

    Communication Officer

    This position is created to increase the readership, understanding about and the visibility of MSF’s International guidelines in and outside of MSF by 1) developing a communication strategy; 2) developing (example) communication materials.

    MAIN RESPONSIBILITIES

    Collaborate with IGP manager to develop an effective year-round communication strategy

    •  Determine the goal
    •  Assess current communication activities
    •  Define the target audiences
    •  Identify communication channels
    •  Set milestones – recurring communication activities (why, what, how and target audience)
    •  Create key messages about the international guidelines (‘why/what/how/who texts’)
    •  Create a work plan
    • Set up monitoring and analysing activities to monitor and analyse the effect of the proposed communication strategy and activities; 
    • Develop, write and edit (visual) communications materials for internal and external use, time permitting;
    • Ensure that all above aligns with MSF’s brand and language style guides;

    Job requirements

    •  Relevant degree in communications and minimum 2 years in similar positions or 5+ years experience in a similar position;
    •  Strong commitment to MSF values;
    •  Ability to understand the specific international guidelines’s user needs;
    •  Ability to map, visualise and include all stakeholders;
    •  Strong interpersonal and organisational skills;
    •  Exceptional writing skills: being able to compose engaging and accurate content;
    •  Quality driven;
    •  Problem solving skills;
    •  Ability to work collaboratively with different stakeholders (remotely);
    •  Ability to work and report independently;
    •  Fluent in English; Arabic and/or French is an advantage;
    •  Knowledge of Google data studio or similar data tracking and analysing tool;
    •  Knowledge of Adobe PhotoShop, InDesign, Illustrator and After Effects is an asset;
    •  Knowledge of Drupal is an asset.
