    Talent Services Officer

    The Role

    The Talent Services (TS) Officer will be a key member of the Talent Services team. The role is responsible for the day-to-day management of personnel, communications, and policy administration. Your role will be extremely important as you will be coordinating the operations and activities of the Talent Services department in Nyandarua County. You will report to the Talent Services Specialist.

    Key Responsibilities

    • Document and manage all staff records and ensure they are complete, accurate, securely well-kept and up to date;
    • Implement and interpret the approved organization’s human resource and administrative policies, procedures and standards;
    • Contribute to the implementation and training of core talent initiatives, policies, guidelines and tools;
    • Ensure staff conduct and discipline is maintained in all the departments and thorough but fast conclusion of staff disciplinary cases;
    • Ensure that HR practices are in compliance with current laws and regulations
    • Prepare, review and adjust payroll instructions on a monthly basis and assisting payroll department by providing relevant employee information to meet payroll deadlines;
    • Enhance job satisfaction by resolving issues promptly, applying new perks and benefits and organizing team building activities to all staff to ensure that they are optimally engaged;
    • Ensure all new members of staff, including casuals are properly inducted in the operations of the organization;
    • Prepare confirmation letters for staff due for confirmation after expiry of their probation period as well as those being confirmed into new appointments;
    • Manage employee performance through implementation of the current performance management system;
    • Provide support to employees in various HR-related topics such as leaves and compensation and resolve any issues that may arise;
    • Advise the management on matters related to human resource management.
    • Keep abreast with new trends and best practices in the field and factory.

    Qualifications

    • Minimum 4 years generalist HR experience preferably gained within a social enterprise or high-growth business.
    • Previous working experience in compensation and benefits and/or performance management is an added advantage
    • Relevant post graduate degree in HR or a related field of study is an added advantage
    • Member of IHRM with a HR practicing license
    • Prior experience in HR operations and knowledge of best practices
    • Familiarity with current employment laws and regulations and their application
    • Hands on experience with HR software (HRIS) Hands on experience with quantitative and qualitative research
    • Strong interpersonal and communication skills
    • Proficiency in G-suite will be an added advantage

    Talent Services Specialist

    About the Role

    The Talent Services (TS) Specialist will be a key member of the Talent Services team. The role is responsible for the day-to-day management of personnel, communications, and policy administration. Your role will be extremely important as you will be developing programs to improve performance, engagement and satisfaction of our employees.

    What You Will Do

    Execute TS projects by partnering with the Talent Services Manager and other teams across the organization

    • Coordinate stakeholders to design and deliver feasible, effective, and reliable solutions to departmental challenges.
    • Assess project direction throughout the entire lifecycle. When necessary, pivot tasks, change priorities, and correct course.
    • Author & implement trainings around new solutions to develop cohesion and effectiveness of the team.
    • Apply effective communication strategies  for talent initiatives.

    Performance Management

    • Assist in the development of policies, guidelines, and tools to support managers throughout the performance management process.
    • Facilitate semi-annual and annual employee performance reviews.
    • Establish and maintain an audit friendly database representing every aspect of performance appraisal, training delivered, including provision for individual sign off acknowledging receipt and understanding of material delivered.

    Employee Relations and Engagement

    • Provide office and field employees with information about policies, job duties, working conditions, wages, opportunities for promotion and employee benefits
    • .Oversee and advise on all field related disciplinary cases.
    • Addressing any employment relations issues, such as work complaints and harassment allegations in a timely and professional manner.
    • Draft, design and send out all talent related communication to all staff e.g monthly newsletters, memos etc.
    • Enhance job satisfaction by resolving issues promptly, applying new perks and benefits and organizing team building activities.
    • Facilitate annual engagement surveys.

    Database Management & HR Reporting

    • Ensuring all employee records are maintained and updated with new hire information or changes in employment status.
    • Lead contact in managing the current and future HRMIS/ ERP
    • Oversee the preparation of the report on any payroll changes and carry out a 100% check ahead of the monthly payment.
    • Gather and analyze data with useful HR metrics such as turnover rates, retention rates, headcount, demographics etc.

    Health and Safety

    • Promote employee safety, welfare, wellness and health by ensuring that employees observe and comply with safety measures and by timely reporting of incidents to HQ.
    • Manage health and safety database, run analytics and provide reports that will help the executive team make sound decisions in regards to OSH.
    • Oversee the execution of health and safety initiatives e.g. trainings, audits etc.
    • Manage health and WIBA insurance programs

    Team Management

    • Coach, mentor and provide guidance to the team to ensure appropriate and timely actions.

    What You Have
