    Transportation Supervisor

    About the Role

    • Twyford International is seeking an experienced Transport Supervisor to support the management of the company's own vehicle fleet.
    • The successful candidate will be responsible for the day-to-day management of the company's own vehicles and drivers, ensuring safe, compliant, efficient and cost-effective transportation operations.

    Key Responsibilities

    Transport Compliance & Licensing

    • Manage the processing, renewal and maintenance of all statutory licences, permits and documentation relating to company-owned vehicles.
    • Ensure all vehicles remain compliant with Kenyan transport, registration, inspection and licensing requirements.
    • Maintain accurate records of vehicle documentation and ensure timely renewals.
    • Support compliance with applicable road transport and safety regulations.

    Fleet Operations & Route Planning

    • Plan and optimize transportation routes for company-owned vehicles.
    • Monitor transportation schedules, delivery timelines and vehicle utilization.
    • Track transport performance and ensure transportation requirements are met efficiently.
    • Analyze vehicle utilization and operational efficiency and recommend improvements.
    • Monitor vehicle availability and coordinate daily vehicle deployment and scheduling.

    Vehicle Maintenance & Workshop Management

    • Oversee the daily inspection, maintenance and servicing of company-owned vehicles.
    • Establish and monitor preventive maintenance schedules and inspection routines.
    • Coordinate vehicle repairs and ensure timely resolution of mechanical issues.
    • Manage spare parts, consumables and maintenance-related supplies.
    • Monitor vehicle maintenance records and ensure proper documentation.

    Fleet Cost Control

    • Monitor and control fleet operating costs, including tyres, servicing, repairs, spare parts and other maintenance expenses.
    • Prepare and monitor budgets for vehicle maintenance and related fleet costs.
    • Maintain accurate cost records and develop vehicle-by-vehicle cost analysis.
    • Identify opportunities to reduce operating costs while maintaining vehicle safety and reliability.

    Driver Team Management

    • Manage the company's own-fleet drivers and coordinate their daily work.
    • Participate in driver recruitment, interviews and road tests.
    • Assess driver performance and recommend replacement or retention based on performance, safety and operational requirements.
    • Ensure drivers comply with company procedures, road safety requirements and operational standards.
    • Conduct regular driver safety training, operational briefings and daily/periodic safety awareness sessions.

    Fleet Policies & Procedures

    • Assist the Chinese management team in developing and implementing fleet management policies and procedures.
    • Support the development of procedures covering:
    • Vehicle dispatch and scheduling
    • Driver management
    • Vehicle inspection
    • Preventive maintenance
    • Fuel and tyre management
    • Fleet safety
    • Accident reporting
    • Monitor compliance with established procedures and drive continuous improvement.

    Accident & Insurance Claims Management

    • Assist in managing accidents involving company-owned vehicles.
    • Coordinate accident reporting, investigations and follow-up actions.
    • Liaise with relevant authorities, insurers, workshops and other stakeholders where required.
    • Follow up on insurance claims and ensure timely resolution and documentation.
    • Identify recurring accident and safety issues and recommend preventive measures.

    Reporting & Performance Analysis

    • Prepare regular fleet operation reports covering vehicle utilization, availability, maintenance, costs, incidents and driver performance.
    • Track vehicle attendance/availability and utilization rates.
    • Analyze transportation efficiency and delivery timeliness.
    • Provide regular operational updates and recommendations to management.

    Qualifications & Requirements

    Academic Qualifications

    • Bachelor's Degree in Logistics, Transport Management, Supply Chain Management, Vehicle Engineering, Mechanical Engineering or a related field.
    • Additional professional qualifications in fleet, transport or logistics management will be an advantage.

    Professional Experience

    • Minimum 5 years' experience in transport, fleet or logistics operations.
    • At least 2 years' experience managing a company-owned fleet of 30 or more vehicles.
    • Demonstrated experience in fleet operations, driver management, vehicle maintenance and transport cost control.

    Technical & Professional Competencies

    The ideal candidate should have demonstrated ability in:

    • Kenyan vehicle registration, inspection and transport licensing requirements.
    • Vehicle and fleet compliance management.
    • Accident management and insurance claims follow-up.
    • Route planning and transportation scheduling.
    • Preventive vehicle maintenance and inspection.
    • Spare parts, tyres and maintenance consumables management.
    • Fleet budgeting and cost control.
    • Vehicle-level cost tracking and analysis.
    • Driver recruitment, interviewing and road testing.
    • Driver performance management and safety training.
    • Development and implementation of fleet management procedures.
    • Fleet utilization and operational efficiency analysis.

    Systems & Tools

    • Proficiency in Microsoft Excel for fleet records, cost analysis and reporting.
    • Experience using TMS, GPS tracking or fleet management systems.
    • Strong data analysis and reporting skills.

    Language Requirements

    • English: Strong written and verbal communication skills, with the ability to independently prepare reports and communicate with management.
    • Swahili: Fluency required for effective communication and direct management of local drivers.
    • Ability to communicate effectively with Chinese management will be an added advantage.
