    Imports Coordinator, MMD Administration

    Job Purpose:

    To effectively and efficiently track, manage, and clear Import & Export Consignments as well as coordinate expatriate relocations in and out of the country.

    Key responsibilities:

    Financial Management

    • Source, select, and negotiate for the best rates on customs brokerage service on all imports. Ensuring correct clearing procedures and standards as per the Government of Kenya regulatory requirements.
    • Responsible for generating Purchase Orders, and GRNs for importation costs incurred and billed to us by clearing agents in accordance with PSCMD policies and procedures. 
    • Manage the PSCMD receiving & documentation team.
    • Assist in managing and following up clearing agents on quick clearance of consignments both imports and exports to avoid demurrage and storage charges.

    Administration

    • Meet with staff and suppliers to discuss any issues arising from either side and ensure there is a smooth relationship between the two.
    • Source for new suppliers that have better quality services and negotiate better prices.
    • Interview vendors and visit suppliers’ plants and distribution centers to examine and learn about new customs regulations and import procedures.
    • Monitor and coordinate the consignments from the point of origin to the point of discharge.
    • Work our operations with suppliers, such as when and how each consignment should be cleared.

    Quality Control

    • Evaluate suppliers based on price, quality, and delivery time.
    • Evaluate and monitor contracts to be sure that vendors supply comply with the terms and conditions of the contract and to determine the need for changes.
    • Ensure all permits from the relevant regulatory bodies such as PPB, NCK, and KMLTTB have been applied for and approved to facilitate smooth clearance.
    • Ensure SGS inspection.
    • Ensure correct duties/taxes are paid to KRA customs.
    • Plan and manage imports/exports.

    Coordination

    • Co-ordinate all imports/exports with suppliers, clearing agents, regulatory bodies, and customs.
    • Support clearing agents with relevant documentation to facilitate clearance.
    • Coordinate with suppliers to ensure on-time delivery.
    • Monitor and coordinate deliveries of items between suppliers and clearing agents to ensure that all items are imported for each warehouse/site/store on time.
    • Co-ordinate receiving of shipment with the PSCMD receiving bay team.\

    Reporting

    • Maintain complete updated import/export records/data.
    • Maintain and review records of existing contracts.
    • Monitor the seamless flow of invoices to the documentation team.
    • Ensure compliance with institution policies, and procedures and conduct regular checks on the teams dealing with imports/exports to confirm their adherence to the same.

     Qualifications, Experience and Skills required:

    • Business related University Degree.
    • Clearing & Forwarding Diploma from IATA accredited institution.
    • Membership to Chartered Institute of Purchasing & Supply (CIPS) or Chartered Institute of Logistics (CILT) or Kenya Institute of Supplies Management (KISM) will be an added advantage
    • At least two years’ work experience in a related field/work environment
    • Ability to work in team
    • Excellent interpersonal and communication skills; Excellent customer service skills and customer focus
    • Ability to lift heavy boxes, climb and bend
    • Knowledge of warehousing/stocking

    Senior Assistant/Stock Controller, MMD Satellites

    Job Purpose:

    To stock, manage and supply Pathology & Radiology consignments, Medical/Surgical, Food & Beverage, Engineering, CAPEX and General stores items required by various hospital-wide, Outreach and University Centre users.  Accurate reporting of inventory held within respective areas of responsibility.

    Responsibilities:

    • In charge of the assigned warehouse and/or Sub Store
    • Service material requests from end-users.
    • Ensure accurate, timely and complete posting and updating of transactions in the system, accurate and timely issue of items.
    • Stack Items safely and neatly i.e., identifiable, and traceable.
    • Ensure there are no stock outs by pre-empting the purchaser on items running low on stocks.
    • Recommend optimum quantities of items to be replenished.
    • Receiving of inventory from vendors against Purchase Orders, verifying quantity and quality.
    • Accurate and on-time receiving and verification of invoices and forwarding to Finance for processing.
    • Assist in maintaining minimum stock days.
    • Verify the quality of goods received from vendors/Warehouses/Sub stores.
    • Follow up on issues that end users have not accepted.
    • Adhere to the FEFO method of stock movement.
    • Manage a minimum value of expiries and items being obsolete.
    • Take part in quarterly stock takes.
    • Reporting; Ensure daily submission of checklist, Monthly on-time submission of bulk SPR for inventory replenishment, slow moving inventory, approved disposal forms and QVR reports.
    • Any other duties that may be assigned by PSCMD Supervisor, including support in the role of Purchase Assistant.

     
    Qualifications and Skills Requirements:

    • Business-related Diploma or Certification. 
    • Membership to the Chartered Institute of Purchasing & Supply (CIPS) or Chartered Institute of Logistics (CILT) or Kenya Institute of Supplies Management (KISM) will be an added advantage.
    • At least two years of work experience in a related field/work environment
    • Proficiency in working with MS Office – MS Excel and MS word
    • Ability to work in a team

    Nurse Supervisor, OR Recovery

    Responsibilities:

    • Implement unit goals and objectives in collaboration with Theatre Manager and the Director, Surgical Services
    • Collaborate with the Unit leaders in development, implementation and review of policies, procedures, protocols clinical pathways, and care guidelines
    • Review and reassign staff based on skill mix and complexity of the booked cases
    • Function as the main point of contact for the Surgical team including surgeons, anesthesiologists, and other nursing staff
    • Provide effective supervision of the nursing staff and utilize learning opportunities for development
    • Work closely with the Clinical Practice Educator to monitor nurses clinical knowledge, skills and competencies
    • Participate in developing action plans to ensure individual staff growth In the development
    • Participate in establishing Standards of care and monitor care delivery in accordance with established key clinical indicators of the department
    • Document surgical procedures, ensuring accurate records are maintained
    • Evaluate customer feedback and take appropriate

    Requirements:

    • Bachelor of Science Degree in Nursing (BScN), perioperative training will be considered advantageous
    • Registered nurse with current licensure with the Nursing Council of Kenya
    • Minimum of five (5) years clinical nursing experience in Operating Room of an acute care hospital
    • Certificate in Basic Life Support (BLS)
    • Demonstrate expert knowledge in Theatre procedures
    • Excellent interpersonal and communication skills
    • Ability to apply critical thinking and to work with minimum supervision.

    Technical Advisor, Newborn Care , Department of Paediatrics

    About the position

    The Technical Advisor will work closely with the MoH’s Division of Neonatal and Child Health under the Directorate of Family Health to support the development and implementation of newborn care policies, strategies and guidelines. He/she will also support the institutionalization of NEST360 newborn care packages into routine government systems. 

    Reporting, roles and responsibilities

    The Technical Advisor will have dual reporting to NEST360 Country Lead and Country Director who will be the immediate supervisors. He/she will have indirect reporting to the Head MOH Division of Newborn and Child Health.   

    Specific roles and responsibilities will be as follows:

    • Support the MoH newborn section in developing newborn care policies, strategies and guidelines.
    • Assist in implementation of small and sick newborns and pediatric quality of care standards through mentorship to county and facility teams.
    • Provide technical support to county governments to facilitate implementation of newborn care packages and interventions.
    • Participate in the development and implementation of small and sick newborn care quality improvement training materials.
    • Support advocacy for newborn and child health at national and county levels to increase visibility and facilitate scale up to new counties.
    • Provide a link between NEST360 and the Division of Newborn and Child Health
    • Work with consortium members wherever applicable to further MOH mission for small and sick newborns.
    • Support strengthening of monitoring and evaluation for newborn and child health indicators.
    • Provide linkage between MOH, KPA and other implementing partners to strengthen collaboration.
    • Maintain detailed and up to date records of NEST360 program implementation activities in the country and share learnings to inform programming and scaling.
    • Engage with county and hospital health management teams to promote their buy in of the project and document learnings from engagements.
    • Maintain effective communication with implementing hospitals and skills labs at all times.
    • Support the integration of neonatal inpatient data (NID), newborn essential equipment list, quality improvement, and education materials into routine government systems.

    Academic Qualifications

    The following are required for pre-qualification:

    • Degree in Medicine (MBChB) or Registered Pediatric Clinical Medicine with a postgraduate degree in public health/global health/health care management; OR Bachelor’s Degree in Nursing with postgraduate training in neonatal nursing or other related MCH disciplines.
    • Valid KMPC, Clinical Officers or Nursing Council registration
    • Certification in the Newborn ETAT+ provider course and/or EmONC an added advantage
    • Computer literacy with proficiency in Microsoft applications

    Competencies

    • A minimum of seven years’ continuous work experience in a pediatric or newborn ward   
    • Previous work experience in a national or international position involving collaborative programs and multi-disciplinary teams
    • Experience working with government agencies, government officials at sub-national and national levels, and development partners or civil society
    • Demonstrated knowledge of contemporary issues around newborn and child health in Kenya and beyond
    • Experience working within the devolved Kenyan health system. 
    • Good understanding of health system building blocks and Kenya’s health system
    • Team leader with excellent interpersonal and communication skills
    • Good planning, coordination and coordination skills
    • Ability to produce high quality reports and policy briefs
    • Ability to travel frequently within the country
