    Freight Coordinator

    We are looking for a competent Freight Coordinator to oversee and facilitate the supply chain operations of our company. You will be the one to coordinate personnel and processes to achieve the effective distribution of goods, both the international and domestic shipment bookings (air and ocean). A great asset for a Freight Coordinator is their communication and negotiation skills. They are also well-versed in supply management principles and practices. The ideal candidate will have great record-keeping abilities and a customer-oriented approach. The goal is to ensure the smooth operations of a variety of channels aiming for maximum efficiency.

    Key Responsibilities

    • Coordinate and execute all domestic/International import/exports shipment bookings in both air and ocean
    • Receive pre-alert for the shipments (Air & Ocean), open respective files, and monitor the sailing schedules, vessel sailings and arrivals.
    • Timely confirmations of internal Job to Job and Intercompany billing processes.
    • Tracks shipment (Air & Ocean) arrivals/delivery and timely updating on the tracking portal as per set KPIs.
    • Timely escalations in case of discrepancies on arrivals/short landing and delayed deliveries with carriers/other service providers.
    • Regular customer updates on collections, shipping (Air & Ocean), and deliveries in a timely manner and set KPIs.
    • Timely checking and approval of Pre-alerts to ensure that they meet the country’s requirement to allow effective customs processes.
    • Ensure timely accurate billing in line with the set KPIs, observing invoice accuracy and any billing requirement thereof.
    • Timely payments for all Freight collect movements and ensuring receipts are issued against the payments.
    • Facilitate the handover process with 3rd party clearing agents in line with the agreed company protocol on handovers.
    • Update all sect events and job notes in time in systems.
    • Maximum Utilization of Agility tools on quotations and SECT updates.
    • Express undivided high-level customer service at all levels of interactions with customers and professionalizing in engagements with the network and service providers.

    Requirements

    To be considered for the role, you must have:

    • Minimum of 2 years experience in Freight Forwarding – Air & Ocean
    • Experience in customer service will be appreciated
    • Knowledge of laws, regulations, and ISO requirements
    • Ability to work with little supervision and track multiple processes
    • Computer-savvy with a working knowledge of logistics software (ERP)
    • Excellent communication and interpersonal skills
    • Outstanding organizational and coordination abilities
    • Industry-related Certificate/ Diploma
    • BSc/BA in business administration, supply chain management, or relevant field

    Warehouse Supervisor

    We are looking for an experienced Warehouse Supervisor to oversee and coordinate the daily warehousing activities, ensuring inbound and outbound activities of the warehouse are performed in the most efficient way while emphasizing the criteria of cargo release i.e FIFO, FEFO, etc. You will implement production, productivity, quality, and customer service standards and achieve the appropriate level of volume within time limits. This includes documentation, escalation protocols, and putting mechanisms in place to ensure no pilferages or damages in the area of jurisdiction. Ultimately, you should be able to ensure that daily operations meet and exceed daily performance expectations and increase the company’s overall market share.

    Your Key Responsibilities will include:

    • Adherence to SOPs, SLAs, WI – Inbound and outbound cargo & any deviation on processes to be immediately flagged off to Warehouse Manager.
    • Updates the metrics, inspects, monitors and signs off while ensuring that the requirements are also cascaded down to the team.
    • Supervises offloading, and loadings of trucks and appends signature for release.
    • Inspects all new products – expiry dates, quality, and quantity before acceptance, stacking, and storage as per allocated slots within the warehouse
    • Give suggestions for cost-saving and process improvement initiatives
    • Ensures prompt loading orders dispatch to maintain high truck turnaround times
    • Ensure accurate receipt, storage, retrieval/picking and timely dispatch of goods
    • Adherence to safety, health & environment by conducting safety inspections of the warehouse.
    • Monitor stock aging and ensure no expired products are in the warehouse. Escalate each stock that has a 2-month expiry in the warehouse for action by retail and sales teams.
    • Ensures no damages and pilferage of stocks in the warehouse
    • Daily accurate updating of loadings and document movement to ensure system update
    • Investigate stock variances and provide resolve
    • Circulate daily updated reports of dispatch and receipts together with the appropriate system-generated documents to initiate the process
    • Communicate all loadings done to clients via email
    • Resolve minor client issues by phone or mail
    • Ensure disciple among the team and initiate disciplinary action in the event of violations of labor laws and or company rules and regulations.
    • Monitor stocks in the warehouse and also escalate high stocks or low stock trends
    • Housekeeping of the warehouse as per company standards including the yard through Gemba walks and usage of cleaning logs to document and track.
    • Work allocation, coaching, and mentoring of staff under his/ her supervision

    Requirements

    To be considered for the role, you must have:

    • Proven work experience as a Warehouse Supervisor; minimum of 5 years’ experience in a managerial role in large-scale warehouse and distribution operations
    • Highly effective supervisory skills and techniques
    • Knowledge of warehouse software packages and MS Office proficiency
    • Ability to input, retrieve and analyse data
    • Hands-on commitment to getting the job done
    • Excellent communication and interpersonal skills

    Credit Controller

    We are looking for a Credit Controller to facilitate and manage customer accounts in line with the provisions of the country's credit policy. Credit Controller responsibilities include eliminating if not, minimizing risk associated with bad and doubtful debts by assessing creditworthiness and processing relevant paperwork, preparing credit applications, evaluating clients’ financial information, and calculating risk ratios. To be successful in this role, you should have a good understanding of lending/ credit management procedures and customer service experience.

    Key Responsibilities for the role will include:

    • Ensure the aging on the client’s accounts are as per the company credit policy and where not to apply the collection treatment plans as provided for in the country credit policy.
    • Ensure customers pay on time and chase any overdue invoices
    • Monitoring debtor balance to ensure a reduction in debtors
    • In liaison with the cashier monitor the receipting of the daily collection in the clients’ accounts.
    • Notify the Credit control Manager of any warnings of financial distress on any one of the AGILITY customers in order to advise the management in line with the Company policy
    • Provide a weekly status report on each of the accounts under the portfolio during the weekly debtors' review meeting
    • Ensure payments received from the customers are accompanied by a remittance advice
    • Allocate all clients' receipts as per the remittance advice and where no remittance is provided by the client get a commitment to allocate the receipts from the oldest invoice in the account
    • Liaise and inform the Credit Control Manager of any direct transfers to the company's bank accounts for confirmation and subsequent receipting in the clients’ accounts
    • Send regular statements to clients and ensure that the balances outstanding from the clients are accurate at all times
    • Act as lead in addressing the customer’s disputes in liaison with the operations/ billing/ sales/ CS teams and escalating any unresolved disputes as per the guidelines in the country credit policy.
    • Reconcile to the general ledger all receivable account balances at end of each month and any variance explained and documented accordingly
    • Liaise with the operational staff to ensure that client invoices are accurate, are delivered on a timely basis with all the necessary documentation and any client query addressed as per set KPI’s and as per the country credit policy
    • Liaise with the other credit control team members and ensure there is order and support in the collection department.

    Requirements

    To be considered for the role, you must have:

    • Proven work experience as a Credit Officer, Loan Officer, or similar role, at least 3 years of work experience in a similar role
    • Hands-on experience with lending procedures and products
    • Ability to create and process financial spreadsheets
    • Strong analytical skills
    • Customer service experience
    • BSc in Banking and Finance, Economics, or related field
    • Relevant qualification (ACA, ACCA, CCP or CPA) section 3 and above
    • Able to analyze data and sales statistics and translate results into better solutions
    • Excellent verbal and written communication skills
    • Able to multi-task, prioritize, and manage time effectively
    • Must have excellent interpersonal skills and the ability to work in a team
