    Finance and Administration Officer

    Job Purpose

    The Kenya Golf Union is seeking a Finance and Administration Officer who will be responsible for managing the financial operations and administrative functions of the Kenya Golf Union (KGU). The role ensures sound financial management, compliance with statutory requirements, effective budgeting, and smooth office operations to support the Union’s strategic and operational goals.

    Key Responsibilities
    Financial Management

    • Provide accurate financial information and analysis to the Finance Committee.
    • Support Heads of Departments in developing annual budgets and consolidate them for Board approval.
    • Monitor budget performance and ensure effective expenditure control.
    • Prepare cash flow forecasts, monthly management accounts, and annual financial statements.
    • Liaise with external and government auditors, ensuring timely submission of required reports.
    • Process and review invoices, vouchers, LPOs, and expense reports for completeness and accuracy.
    • Maintain proper documentation and filing of all accounting transactions for audit readiness.
    • Manage collections, receivables, and credit control to optimize cash flow.
    • Oversee payments to suppliers, ensuring adherence to contractual terms and timely settlement.
    • Prepare and process monthly payroll and ensure timely remittance of statutory deductions (PAYE, NHIF, NSSF, VAT, Withholding Tax, etc.).
    • Ensure compliance with financial and regulatory standards, including IFAS and other legal requirements.
    • Manage KGU’s banking operations and perform monthly bank reconciliations.
    • Develop and implement improved accounting systems, policies, and procedures to enhance efficiency and transparency.
    • Maintain confidentiality of all financial information.

    Administrative Management

    • Oversee day-to-day office operations and ensure a well-organized, efficient, and professional environment.
    • Maintain filing systems for easy document retrieval and record management.
    • Supervise office cleanliness, manage office supplies, and maintain the organization’s asset register.
    • Manage travel logistics for staff and guests, including flight, transport, and accommodation arrangements.
    • Provide administrative and secretarial support to KGU committees, including the Admin & Technical Subcommittee.
    • Serve as a communication liaison for the Secretariat, managing correspondence with clubs, sponsors, partners, and government agencies.
    • Support HR functions by checking staff files for compliance and assisting in employee administration.
    • Train, mentor, and supervise Accounts Assistants and other administrative staff.

    Reporting and Committee Support

    • Prepare daily, weekly, and monthly financial and management reports for review by management and the Board.
    • Serve as the Secretariat to the Finance Committee and Administration committee

    Qualifications & Skills

    • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
    • CPA (K) or equivalent professional qualification.
    • Minimum of 5 years’ experience in finance and administration, preferably within a sports or membership-based organization.
    • Strong knowledge of accounting standards, financial reporting, and statutory compliance.
    • Proficiency in accounting software and Microsoft Office applications.
    • Excellent analytical, organizational, and communication skills.
    • High integrity and commitment to confidentiality.
    • Ability to multitask and meet deadlines under minimal supervision

    Resource Mobilisation and Publicity Officer

    The Kenya Golf Union is seeking a dynamic and results-oriented Resource Mobilisation and Publicity Officer to join its team. The successful candidate will be responsible for mobilizing funds, strengthening the Union’s visibility, and managing communication and publicity activities.

    Key Responsibilities

    • Mobilise funds from donors, partners and sponsors, ensuring sustainable funding streams.
    • Identify and pursue funding opportunities, grants, and partnerships aligned with the Union’s objectives.
    • Develop and craft compelling sponsorship and funding proposals.
    • Manage and grow the Union’s presence on social media platforms.
    • Regularly update and maintain the Union’s website with relevant and timely content.
    • Plan and implement publicity and communication strategies to enhance brand visibility.
    • Build and maintain strong relationships with stakeholders, sponsors, and partners.
    • Prepare periodic reports on fundraising and publicity activities.

    Minimum Qualifications & Experience

    • Bachelor’s degree in Marketing, Public Relations, Communications, or a related field.
    • Minimum of three (3) years’ relevant work experience in resource mobilisation, fundraising, or publicity.
    • Proven experience in mobilising funds, particularly union or membership-based funding.
    • Demonstrated experience in proposal writing and sponsorship development.
    • Strong knowledge of digital marketing and social media management.

    IT Support and Technical Officer

    About the Role

    The Kenya Golf Union (KGU) is seeking an IT Support and Technical Officer to provide technical support and manage information systems for the Secretariat, affiliated golf clubs, and the World Handicapping System (WHS). The role ensures efficient system operations, accurate golfer data management, and compliance with WHS standards across Kenya.

    Key Responsibilities

    • Provide IT support to the Secretariat, golf clubs, and WHS users, resolving issues promptly.
    • Act as the primary liaison between KGU and WHS service providers.
    • Manage and maintain databases of golfers and clubs, ensuring data accuracy and security.
    • Administer and maintain KGU’s hardware, software, networks, and telecommunications systems.
    • Ensure adherence to World Handicapping System and KGU handicapping rules.
    • Develop and update user guides and manuals for IT systems and WHS operations.
    • Manage course rating data on the USGA platform and maintain organized digital and physical records.
    • Support the planning and delivery of Rules Schools, including logistics, materials, and certification.
    • Serve as Secretariat for the IT & Technical Committee and the Kenya Unified Handicapping Committee.
    • To manage memberships and affiliations by tracking memberships on behalf of clubs
    • Prepare periodic reports on system performance, handicap updates, and rankings.
    • Perform other duties as assigned by the General Manager.

    Qualifications & Skills

    • Bachelor’s degree or professional qualification in Information Technology or a related discipline.
    • Experience in database management, systems administration, and user support.
    • Strong problem-solving and troubleshooting abilities.
    • Excellent communication and interpersonal skills.
    • Knowledge of IT security and network management.
    • Familiarity with sports or membership-based systems is an advantage.
    • Knowledge of the World Handicapping System is an added advantage
